How To Manage Your Time & Life
Time Definitions
 Time – The occurrence of the events one after another
 Managing Time – Maximizing the use of your potential
 Time Management – The act of controlling the occurrence of events one after another.
Use of Email
Three Email Types:
 Informational
 CC, BCC, “Facts” transferring
 Someone is communicating with you…YOU have
something TO DO
Email Time Zappers
 Reading
 Deciding
 Filing
 Responding
 ….just thinking about what to do
Prioritize Emails Like a Task
•  Chunk Emails into categories (A, B, C) and respond accordingly
Research reveals you spend at least 7 minutes with each task to get something done.
 Control Interruptions to a “Single Task”
 Don’t spend time on administration.
 Time is precious, disk space is not.
Best Utilization of Your Time
 Increase your awareness!
 Review your DRE (Daily Record of Events
 Define what your priorities currently are and what they should be
 How Do I Do that? By Chunking™

What Is Chunking™?
 A method of blocking periods of time (chunks)
 You must learn to prioritize (A priority is a valued goal) -- to rank them, and then determine your
actions to reach your goals
 You must work from values for goals
Make a Not-To-Do List Daily
 Work from only one pad of paper or Day-Timer™, or computer program
 Prioritize your “To Do” list and accomplish jobs by ranking their level of importance (A, B, C)
 A JOBS – Must be done immediately, have real value (personal or business), and MUST be
prioritized or “chunked”
 B JOBS – Done only after A JOBS
 C JOBS – Of merit but can be put off
Business is not an “Outlook Life”…waiting for reminders of meetings and writing reports.
We Put Off The Urgent
Until it Becomes Vital
Then Involve Others
Invading Their Time
The Rules of Time Discussion
 Don’t confuse efforts with results.
 The more organized you are, the more you get accomplished in the least amount of time.
 The more time you spend pre-planning from a set of objectives, (business or personal) the more
chance you have of success.
 Circumstances in your life ARE NOT SPECIAL.
 Utilizing a DRE and a locked time each day to define values/goals/priorities takes less than 15
minutes.
You are in control of your time and life….you are what you decide. ©
