Description
In this post I lead the school clerical team to provide administrative and clerical services to staff,

the Network Janitorial Team in relation to financial and staffing duties.
Financial
Financial duties using Oracle Finances and D-Cal Purchase Card system - purchasing,
receipting, invoicing, journals and reporting.
Liaise with and advise the Senior Management Team and Budget holders regularly re: their

Ensuring that the school adheres to financial regulations/procedures and meets audit
compliance.

Staffing/HR
School Staffing Administration: EMIS forms, absence recording, reporting, monitoring of
absence triggers and maintaining staffing records on SEEMIS (our Management Information
System), Arcadia Absence & Accident Recording system.
I-Grasp for staff recruitment – input vacancies, monitor, communicate with candidates and

I have daily use of the Internet using Internet Explorer, e-mail using Aberdeenshire Council Lotus
Notes, Microsoft Outlook and I also use Wordpad to produce the Banff Academy.
Other
I am a confident, organised, enthusiastic and positive person. This is reflected in the service that I
provide within my post and the service that is provided by the clerical team for which I am responsible.
I currently line manage 6 members of a clerical team. I am responsible for the day to day running of
all admin/clerical support within Banff Academy and I am the first line of support for the Senior
Leadership Team. Arranging meetings for the Rector, booking Lets for the rooms within the School
and generally being one of his 'go to' people for support.

I feel it is vitally important to be there for my staff and be a team member as well as a team leader. I
assist with workloads in peak times and I can cover the duties of all posts within the team. This also
included ‘helping out’ the School but stepping up to the promoted post of Interim CSN Co-ordinator. I
undertook the duties of that post, in conjunction with my own, until a new full time member of the team
was appointed.
I have good communication and interpersonal skills, with a pleasant manner and I consider myself to
be an approachable person to my staff, service users and in all walks of my life.
A school office can be a very stressful and extremely hectic environment but I always approach this
with flexibility within my own tasks and with a calming and organised manner with the team. No matter
how hectic things get I find it important to make sure you have time for the people around you, to
create a good working environment, even in the most stressful of times and tight deadlines.
I am a born organiser, whether it be at work or at home and I have organised a Fund Raising Hair and
Fashion Show. I did this from the initial concept to the presentation of a cheque for over £3000 to
Marie Curie. This involved a sell-out night with over 200 guests, 50 models and also participating
businesses. All of which I thoroughly enjoyed.
I welcome changes of procedures and updates in technology as a new challenge and would be willing
to undertake any further training required of me to ensure that I give any employer the best service
possible.
