Deze workshop werd op de LIBISnet gebruikersdag van 6 juni 2019 door Filip Neesen en Gijs Noels gegeven. Inhoud : Zijn kleinere leveranciers voor bibliotheken nog interessant? Na een korte introductie rond RTA (Real Time Ordering) en EDI (Electoronic Data Interchange) werd een brainstorm oefening gehouden om samen te bekijken waar de opportuniteiten liggen om acquisitieprocessen te stroomlijnen/ te automatiseren en bijkomend na te gaan op welke manier LIBISnet hierin ondersteuning kan bieden.

Electronic Data Interchange: edifact (Since 1987)
EDI communication has successfully been tested with the
following vendors: Baker & Taylor, Coutts (ingramcontent),
Dawson, Harrassowitz, Swets, YBP, and Ebsco.
EDI communication should work with any vendor that uses
the EDI message types used by Alma, but it has not been
tested.

EOD enables libraries to automatically create purchase
orders with BulkImport based on embedded data in
vendor-supplied MARC records.

STEP 1: Based upon an ISBN Alma export Ebook Central performs an overlap
check to see whether or not the selection contains ebooks which are already
present in the KULeuven collection.
STEP 2: Export selection
STEP 3: Use the Alma “Import Repository as part of PDA” profile to import the
E-books and create PF’s
STEP 4: Export to PRIMO – Provide access to end users (Expose/Consult)
STEP 5: Ebook Central counts the usage (based upon the chosen business
model)
 Ebook Central sends an email concerning the acquired Ebooks (NO EOD
file is delivered by Ebook Central)
STEP 6: KULeuven staff creates a POL manually. A note at PF level is also being
added.
STEP 7: KULeuven staff terminates the PDA project when their budget is
“gone”.
STEP 8: Clean-up of NON acquired pf’s. (Batch delete based upon (set) search
of note fields)

RTO: Real Time Ordering
Since aprox. 2017: possible improvements?
1. For new subscriptions/Monographs we would
like to use the current real time ordering
integration.
2. For already existing subscriptions we would
like the integration to be enhanced.
• The vendor frequently updates their platform with new
delivery dates or delivery statuses of issues/items. At
this moment it involves quit some manual intervention to
check the platform of the vendor and to update Alma to
avoid unnecessary Claiming.
• Because the POLine number is known at the platform of
the vendor, it should be possible that delivery date/status
(cancellation) updates trigger a real time api Poline
update in Alma.
• Concerning Issues generated based upon a prediction
pattern it should be great if the expected receiving date
could be automatically adjusted. (Probably more difficult
to retrieve and update the correct item via api’s?)

AHU: Automatic Holding Update
Since aprox. 2018 - 2019
Alma enables institutions to automatically update electronic holdings from information providers.
Purpose of this functionality is to ease the library management of electronic holdings by automatically
activating and updating library specific electronic resources and eliminating any manual interaction in
the process.
This is currently supported with ProQuest Ebook Central, Ovid, Springer and Elsevier electronic
holdings.
