 Looking after overall administration in the capacity of administrative head of a project site
 Working with a team of accounts, stores ,ERP personnel, supervisors to ensure smooth and uninterrupted
flow of work
 Liaising and coordinating with all external agencies, government bodies, suppliers and vendors and
contractors
 Monitoring and handling all kinds of communication with H.O and vendors to ensure procurement of goods
& articles, maintenance, cash inventory

Roles & responsibilities
 Handling the entire purchase functions including purchase of stationery, grocery, kitchen equipments, cars,
machineries & equipment , etc -taking quotations, placing purchase orders maintaining database of suppliers
,vendors & contractors ,updating the same regularly and development of new vendors ,ensuring cost control
 Checking of the regular supplies like office stationeries, grocery items etc ,processing of bills , MIS
 Monitoring of preventive maintenance and renewal of AMCs like air-conditioner, lift, DG, coffee & tea vending
machines ,CCTV, Access control, EPABX etc, servicing & refilling of company owned cars
 Executing all major repairing , maintenance& installation works
 Tracking & arranging for statutory payments like trade license, electricity and telephone bills, car & health
insurance, property tax, Fire NOC, electricity duty for DG, satellite TV connections, renewal of lease agreement
etc
 Liaison with government offices
 Interviewing & recruiting support staff
 Management of facilities owned by the company including electricity, water supply, generator, air conditioners,
security, firefighting housekeeping, health and sanitation etc
 Monitoring staff conduct including staff employed & retained by the company
 Organizing and managing company sponsored events
 Monitoring of day to day activities ,listening and solving staff grievances

 Looking after the overall administration of the different project sites developed by the company
 Site resource management & maintaining of site office accounts

 Coordinating with suppliers to assure safe & timely arrival of construction materials ,arranging for testing of
steel as & when required and site logistics
 Follow up with purchase department to assure timely delivery of goods
 Raise purchase orders and process bills
 Co-ordinate with contractors for ensuring premises changes / improvements works are carried out as per agreed
schedule & provide administrative support for implementation of the same
 Maintain records of contracts and suggest review in advance before expiry
 Record keeping of fixed asset and inventory and check the accuracy of data per iodically.
 Monitor outsourced security services and ensure the personnel are trained and customer friendly
 Liaison with local representatives of public and other government bodies
 Ensure the supply & maintenance of office amenities
 Maintain impress stock of frequently used items like office stationery etc
 Follow up and payment of statutory bills like municipal tax, trade license
 HR activities like listening to staff grievances, monitoring staff attendance, liaising with H.O for HR related issues
