WORK INSTRUCTION SCOPE
Instructions on how HR files must be organized in order to best track the improvements and
needs of Unigaz staff
Recruitment
Please refer to the newly formed Recruitment Procedure PR-HR01
1. Performance and Training needs Evaluation:
Responsible: HR Director & Dept Managers.
At the end of each year, each department manager evaluates the performance
and training needs of his staff. This evaluation is documented on the Yearly
evaluation record RE-HR05. A copy of this record is signed by the employee
and the evaluator and is kept in the employee file.
At the end of the evaluation, the Qualification Matrix can be updated if
necessary and each department manager can prepare a planning for the training
needs of his department - record ref RE-HR07.
Responsible: Management.
All training needs must be reviewed maximum during the next management
review.
A Consolidated training plan must be issued at the end of each year, followed
up on a monthly basis for implementation and execution. To be reviewed by the
management review meeting(s) RE-HR07

2. Internal & External Training:
Responsible: Participants & Instructors.
In case of an internal Training, a presence record form (RE-HR11) must be
signed by the different participants. (Trainee & Instructor)
In case of an external training session the trainee must get a training certificate
and fill a training evaluation record form ref (RE-HR10). This evaluation sheet
will help the HRD and the Department Manager in best choosing their training
providers in the future and to better assess the employee at the end of the year..
Responsible: HR Dept.
The Labor Officer in the HR Department must keep in his files
the original copy of the presence record form ref (RE-HR11) with a copy of
the given documentation if any (for the internal trainings)
the original copy of the training evaluation and a copy of the training
certificate ( for the external trainings)
For both cases, the HRD must update the Employee trainings summary record
ref (RE-HR04) for every employee
Responsible: HR Director & Dept Manager.
At the end of each training, the Human resource Director will ask each
department Manager to evaluate the impact of the training session and to
document it in record form ref (RE-HR04).
Responsible: Dept Manager.
Accordingly each department manager must update the Qualification matrix of
his employees: (RE-HR06).
Updated copy (RE-HR06) to be sent to the HR Director
