Unit 7: Training administration

  Design & Management of Training Programme
Objectives

At the end of this unit, students will be able to carry out:
1. Pre-course administration
2. Post-course administration
A. Pre-course Administration
 1.Book location, accommodation, food,
   refreshments, equipment, and trainers
   • Book preferred dates and alternative dates
   • Make sure trainers are available on these dates
   • Book in writing and be specific about requirements
   • Confirm dates with trainers
2. Prepare Working Agreements
  • Contract between the training department and
    customer
  • Include what work is going to be done, when it will be
    done, how much it is going to cost, when the charge is
    going to be made, and who will be paying
3. Prepare Course Lists
    • Show title, date and location of the course
    • Maximum number of places
    • Names and location of delegates
    • Unfilled places
    • Reserved and “wait-listed” participants
4. Confirm Places
    Inform participants and their managers
 
  5. Ensure Course is Full
    Fill drop-out with reserves
    Charge cancellation fee to keep cancellation to
     minimum
6. Send out registration forms
  Send out at least 6 weeks before the course is due to
    start
  Form should have name of the course, start and end
    dates
  Show charges and cancellation fees
  Identify person or organization responsible for paying
7. Send Out Pre-work and Giving Instructions
  Send out no later than 2 weeks before the course
  Keep pre-work to minimum
  Joining instructions include course title, start and
    finish dates, locations, start and finish times, direction
    to the venue, accommodation arrangements, dress
    code, what participants have to pay
8. Send Delegate Details to Trainer
   Information will help the trainer decide on seating
    plans and sub-group arrangement
 
9. Send Delegate Details to Training Centre
   Includes participants’ names, number of nights they
    need accommodation, and any special requirements of
    the participants
A.     Post Course Administration

1. Trainer Confirms Students’
  Attendance
  After the course, the trainer gives the list of
   the attendees to the training administrator
  Copies of the course critique is also sent to
   the administrator
2. Amend Training Records
  Keep records accurate and up to date by assigning this
    task to a named person/training administrator
  Records should be amended as soon as the
    administrator receives the list of attendees from the
    trainer
  Attendees are to fill critiques forms and give them
    back to the administrator
3. Analyze Course Critiques
  To understand trainees’ perception of the course
  Keep the analysis and critique forms on file


  4. Complete Finances
  Make payments of invoices related to the course
