• Managing an Online booking site
o Booking new courses onto the system
o Booking presenters against public courses

o Ensuring that the links which are added to the booking site are working, and gets sent off for advertising.
o I receive the course material for the public courses, in house courses, webinars.
o I receive the course material back after being formatted , and I combine it to make a PDF Book.
o I create a link for the material as well from the Core FTP server, which is placed online for material sale.
o I print the manuals for the public, and in house course
o The material is then couriered to the destination of training.
o The clients receive confirmation from the on line automated system, and I ensure that all queries, and maps
t o the venue are sent timeously.
o I plan the schedule, to ensure that the venue’s are booked out for the year, and that there are no
duplications.
o I liaise with the venues, about set ups, dates meals (Venue coordinating for the courses)
o I receive the invoices and reconcile them to the online system, for payment.
o I assist clients with Pastel invoices.
• Liaising with corporate clients (Managing directors, partners of Audit and accounting firms), regarding
training requirements, and quotations for in house training.
o I assist with all client queries, due to the staff compliment of 3, I have extensive product knowledge and all
call are directed to me .
o A client will call in to request a course.
o The Course coordinator will discuss the content of the course with the client as well as the number of delegates.
o The course c coordinator will discuss the training with the manager, and decide on which accredited facilitator will present
the course.
o The course coordinator will negotiate pricing with the manager and client.
o The course coordinator will draw up a quote and send it to the client, based on the above information.
o The course coordinator will then received a written (e-mail) confirming the agreement of the quotation.
o The course coordinator will assist in the booking of an in house course.
o In order to make a booking on the Probeta Training site, one would need a booking number.
o The course coordinator will assist in creating the booking number for the client..
Back Office Process to be completed by the Course Coordinator
The Course coordinator, the presenter as well as the client will receive an e-mail, stating the booking is completed.
o The email informs the presenter of the following, to diarise:
o The date of the course
o The name of the course
o The time that the course needs to be presented.
o The venue
o What equipment is already at the client, or what equipment needs to be taken to the client?
The e-mail informs the client of the following:
o The amount which they will be invoiced
o The times of the course
o The equipment required.
o Assisting in booking the client onto the course.
Webinars
Webinar Definition: Web conferencing is used to conduct live meetings, training, or presentations via the
Internet. In a web conference, each participant sits at his or her own computer and is connected to other
participants via the internet.
The professional staff will decide what webinar should be presented. They will then e-mail you, to
confirm a time and date, and to make sure there are no clashes with other webinars .
Once a date has been decided you request the it be added to the presenters diary.
You will then request the following from the presenter in order to start the process
• The name of the course
• The Overview
• Course Content
• Objective
• Who should attend the course
• The manager will decide on the pricing
• The course coordinator will request the duration.
When the course coordinator receives all the relevant information, the following steps need to be
taken to add the webinar to the booking site.
There are 2 steps to adding the webinar information to the booking site, and therefore it is imperative to make sure
that there is no duplication.
• Booking with citrix to ensure that links are in place and downloadable for clients.
• Creating links after the recordings, to send to clients
• Marking off registers for post assessments
• Adding post assessment questions from material sent through.
