activity in any tourist area. But the process becomes very
time consuming when there is no proper and convenient
system. To deal with this problem, online booking system is a
convenient and an efficient way.But manual system and
online booking system both are efficient.
Reservation System of Hotel
A hotel reservation system, also known as a central reservation
system(CRS) is a computerized system that stores and distributed
information of a hotel or resort.
Advantages of reservation system of hotel:
 Instant answers to their availability inquiries
 Professional, instant automatic e-mail confirmation
 Time savings
 The ability to book anytime, from anywhere with Internet access
 Easy access to your special offers and promotions
Disadvantages of reservation system of hotel :
 The person who wants to book a room has to visit the hotel.
 It is a time and cost consuming process
 There is no surety of availability of rooms
 Lack of security
 Chances of human error
 Slow process of reservation
 Less data integrity
 Difficulty of searching and retrieving records
Modes of reservation system of hotel
1.Verbal mode
Reservation requests may also reach the hotel through verbal mode or oral
communication.
I) In Person- If an individual or a representative goes to the hotel to
book rooms for future it is termed as an In Person reservation.
II) Telephone- By telephone reservation assistant gets information.
2. Written modes
Reservation requests may also reach the hotel through written mode.

Sources of reservation system of hotel
 By Fit: FIT means Free Individual Travelers. When a person individually
visit a room & books it in advance then there source is FIT.
 By Company: When room reservation is done by any company for its
employee then it is know as reservation by company.
 By Airlines: When an airlines company reserves room for its passenger,
then it is known as reservation by airlines.
 By Govt.: When a reservation is done by any public sector company, state
govt., then it is known as reservation by govt.
 By NGO: NGO stands for Non Govt. Organization such as UNO (United
Nation Organization) and they reserves room for their own purpose.
Types of reservation system in hotel
Types
1. Tentative Reservation:
This type of reservation is made by the guest when he is not sure about his
plan.The reservation is cancelled after 1-2 days.
2.Confirmed Reservation:
A room reservation is treated as confirmed when a request comes in
writing (fax, telephone, e-mail, telegram, voucher, CRS, etc).
I) Guaranteed Reservation: The guest must provide a method of
payment.The reservation can be guaranteed by :
 Prepayment
 Credit card
 Advance deposit
 Travel agent
 Corporate (direct billing account)
II) Non-guaranteed Reservation: Insures that the hotel agrees to hold
a room for the guest until a stated reservation cancellation hour (Usually 6
p.m.) on the day of arrival.
