Notes from the 1st
board meeting held on the 31 March 2014
Members of the (fantastic and new) Rotary E-club of District 9400.
It was decided at the first board meeting – held on line - that that a summary of salient points would be sent to
all members for comment and reaction.
Whilst the very nature of an E-Club means that we are far apart and seldom meet it is essential that we are all
connected and integral to the affairs of our Rotary Club.
These Notes will be sent by email to you all but, in future, they will also be posted on the Members’ Portal on
the website and you may respond by email or by comment in the Members Portal.
Proposed structure for 2014/15 Rotary year
There were two proposals pertaining to the election of Officers for the board for the incoming Rotary
year, they were:
a. That the current board members bearers remain in office for the following (2014/2015) Rotary year.
b. The present committee and all incoming committee members serve for a period of two years until
the end of the 2015/2016 Rotary year.
No consensus was reached as the Board wished to garner the views of all members of the Club
The members of the board are at present:
 President /Vocational Kanthan Pillay
 President Elect/Service Projects Annemarie Mostert
 Vice President/Rotary Foundation Mark Doyle
 Secretary/Club Administration Trevor Watson-Thomas
 Treasurer - Liana Van der Walt
 Sergeant/New Generations Rudi Viljoen
 Membership Development & Retention Rhett Gardener
 Public Relations & Newsletter Shirley Downie
 International Sue Paget
The first five members form the Executive.
Members are urged to keep up their attendance by logging into the Club website
www.rotaryeclubsa9400.org log into the Members Clubhouse for at least for 40 minutes once a week
and leave a comment on the topic of the week to show attendance. Members need not make a
comment on the topic and merely indicate that they have been on line. This is the only way to record
attendance. This is also a good way to record any make-ups at other Rotary Clubs that you may visit.
Membership fees are due by new members (joining fee R150.00 and R120 monthly) and must be paid
to by EFT to the Club bank account as soon as possible:
THE ROTARY E-CLUB OF SOUTHERN AFRICA 9400

On our Webpage you may also use under the Membership Clubhouse the “pay button” options as we are an
E-Club
Existing Rotary members that transfer from other Rotary Clubs are obliged to obtain a letter of good
standing from their previous club
New Members:
 Induction: it was agreed that all new members be formally inducted. Due to the geographic
problems it was agreed that this could take place in the following ways:
o Request a Rotary Club near to the new member to induct them on our behalf with
appropriate E-club regalia
o Request the new member to give us their schedule for the following few months so we
can arrange an occasion with one or more members of the Board to perform the
induction.
 New members will only be accepted and inducted when they have submitted all their
documentation and have paid their joining fees and subscriptions for at least three months in
advance (R150.00 + (3 x R120.00) R360.00.
The Rotary Foundation:
It will be interesting to know how many existing members of the Club are Paul Harris Fellows and all
members who are Paul Harris Fellows are requested to send the relevant details to the Secretary by
email.
