Basic Application Letter Construct
5 Paragraph Letter Format
While there are multiple ways to approach writing an application letter, we focus on this construct and I expect your work to be in the 5 paragraph construct.
You need an introduction that states you want the job. You need a body that describes how you have the ‘things’ they require and conclude with asking for an interview and offering your contact information. The next three slides offer more details on the sections.

State a summary sentence (thesis)
Spark interest. Create curiosity.

Application Letter Construct
The introduction of an application letter is as important as all other first impressions. Remember, they are feeling you as they read, so create the experience through your words that you want them to have.
In the intro,
Be direct (remember that means telling upfront what you want – your purpose). State the job and your interest. Saying what you want in an assertive manner demonstrates confidence.
If you have a connection with that organization, talk about that, but be every-so-brief.
State a summary sentence – All communications need a thesis statement. And in that thesis statement inform the reader regarding specific focus – preview the 3 items you will detail in the body.
Create curiosity. Build their interest in you in the way you language.
Remember, once again, I tell you – be audience-centered. It’s about your contribution, not you.
Oh, and, this paragraph is NOT to be the longest one on the page. Typically it the second smallest with the conclusion being the smallest.

2. Business writing is different from other types of writing
because it needs to be purposeful, economical and reader-
oriented. It is important for business writers to focus on
expressing their ideas rather than impressing the
intended audience. The goal is to get the message across
in a clear and simple manner.
Business writing often involves collaborating with others,
such as when working in teams. Generally, team
members get together in the beginning, during Phase 1,
to exchange ideas. During Phase 2, each member can
work separately to do some writing. Once that's done,
members can meet again for Phase 3 to revise the
document as a team.
3. To inform, maintain goodwill, persuade, and request
as well as to present the writer in a positive light.
Be clear and correct.
Meet the reader's needs first.
Don't use "I", don’t use “you” (use reader’s name).
Single space within paragraphs and short lists.
Double space between paragraphs, within top
matter, after headings, and within long lists.
Triple space above a heading and after top matter.
Use words that are generally short.
4. Writing a business plan is a crucial step in
starting and/or operating a small business.
However, the thought of writing a business plan
can seem overwhelming. To help you avoid some
common errors, consider these suggested do's
and don'ts of writing a business plan.
5. Do understand that the planning process is critical
to running a successful business.
Do answer key questions such as who, what,
where, when, how, why, and how much?
Do take time to research all components and write
a comprehensive, detailed plan.
Do include market research.
Do include a financial plan and projections.
6. Do explain how the plan relates to the financial
projections.
Do discuss your experience and skills in detail.
Do state the amount of funds requested if you are
using your plan to obtain financing.
Do revise and modify your plan as circumstances
change.
Do consider all your competition.
7. Don't just "guess" what your costs may be.
Don't handwrite your business plan.
Don't expect to complete your plan in a couple of
days.
Don't limit your plan to a minimum or
maximum number of pages.
Don't misspell words or make grammatical
errors.
Don't fill your business plan with meaningless
fluff.
Don't plagiarize or copy/paste from other
sample business plans.
