Charity Drive Business Report
In a group of 7, we were given a task to organize a Charity Drive event in our campus to raise funds
to donate to a specific charity organization to help them through their though times and to solve
issues that happens around the whole world. At the same time, it is a good way to learn about how
the business functions is in the world and this is an opportunity for us taking Introduction to
Business to further understand it by doing it practically and how to set our goals to help the charity
organization.
After we had our discussion as a group, we decided to help raise fund for the Malaysian
Association for the Welfare of Mentally Challenged Children with the Intelligence quotient (IQ) of
only above 70. The purpose of this organization is to help those children who are incapable of going
to school and are unable to do simple task, this organization helps this children by giving them
proper education and by helping them out in their daily lives when their parents may be unable to.
We will be donating the funds raise to the organization to help them with their resource fee and any
expenses involved. We chose this organization because we believed that everyone deserve a chance
to experience more in the world and that everyone should be equal in this world. Mentally
challenged children has been steadily increasing and that this is also one of the purpose we chose
this organization, to help the mentally challenged children which is increasing in the world. We could
at least donate the targeted amount to give them an opportunity to be a part of an impact in the
world by basic education and learning the basics no matter how hard it may be. Everyone is this
world deserve a fighting chance and that everyone may need help no matter the situation, to
collaborate and make this an equal world and a better place for everyone.
Our group has decided to raise the funds by selling Chicken Popcorn, Fried chicken, pastries,
mash potatoes, mango fizz, sausages and nuggets. Our main products are our food where they are
the best sellers among the drink. We managed to sell most of our products but we were only able to
raise a total of RM1300.00 for the organization.
A total of RM1300.00 has been made by our group to help the Malaysian Association for the
Welfare of Mentally Challenged Children.
Objectives
In relation of the project, we were required to donate all the fund raise to support a charity
organization of our choice. Due to the sudden increase in mentally challenged children in the whole
world, we chose to donate all our profit to the Malaysian Association for the Welfare of Mentally
Challenged Children. We decided to transact the money we earned as profit straight to the
organization.
The reasons why we decided to do so is because we wanted to do a charity through our
business project in order to help those who are in need of help. We opened our stall for three days
23rd
, 24th
, and 27th
May 2016, this creating a new opportunity for us to achieve our business target.
After a thorough discussion among our group members before the charity drive event, we
set our target donation amount as a minimum of RM2500.00. In consideration of our target amount,
we had to make the price of our products much more expensive and that the number of days we
decided to open our stall in Taylor’s Lakeside Campus should also take consideration.
Our targeted sales unit for each product.
 200 cups of mango fizz each day
 100 cups of fried chicken and chicken popcorn
 100 cups of nuggets and sausages
 100 bowls of mash potatoes
 100 packets of pastries
The reason that each unit is so highly sold is because some of the products are only sold on
specific days and not every day we are going to have that product. One way to maximize our profit,
we have to reduce the least demanded product and increase the highest demanded product.
Target Market
Most of our customers are students studying in Taylor’s University. The most popular demand from
students from a charity drive are food and drinks products. Thus selling our products such as chicken
popcorn, fried chicken, pastries, mash potatoes, mango fizz, sausages and nuggets would attract
most of the students to buy from us. Most of the students would not buy expensive food due to
their budget plan. In other words, they have a limited amount of money that they are willing to
spend.
Besides that, since we have only 7 members in our group from different backgrounds and
friends, there are more friends who support us throughout the sales. They would buy from us no
matter what we sell or how much it cost because they know how hard it is to sell especially during
this period of time where not many students will buy due to the assignments in hand. Even though
we have various friends, but there are also students which also have limited cash on them.
On the other hand, another group of people who are our customer are the staffs, especially
the lecturers. Most lecturers that are on their way from their classes supported us when we
encounter them and since lecturers are all adults, they have no budget plan and are willing to spend
more compared to students.
All the of the group mentioned above are willing to buy from us because they are willing to
donate their money to the charity organization, Malaysian Association for the Welfare of Mentally
Challenged Children.
Competition Analysis
The first competitors is Wen Jun’s group where they sold drinks, honey lemon, tofu fa, honey sticks,
herbal jelly and also chicken popcorn. Their group’s strength is that their chicken popcorn is sold
with a special sauce and that they are willing to give away free honey sticks to customer. They had
more healthy products such as honey lemon, tofu fa and herbal jelly. Although, their weakness are
that they do not have much promotion or set products compare to ours where we are willing to sell
all the food with an increase of RM1 for a drink, we also had more food in our group. Besides that,
customers also gave their comment saying that they are willing to pay for our food compare to their
due to the price which is cheaper.
The other competitor is Pei Di’s group. Their main products are nasi lemak and spaghetti.
Their strength is they have more members and they sold packed food where they are able to sell
their food fast without waiting for them to cook, but their weaknesses is that their food is not hot
after being put there after some time and that their food are more expensive compared to ours. We
have a promotion where consumers can buy our food at a cheap price which can include drinks too.
Product and Packaging
During the charity drive, we sold various types of products. We had chicken popcorn, fried
chicken, pastries, mash potatoes, mango fizz, sausages stuffed with cheese and nuggets. These are
the 7 types of products for the customers to choose from.
1. chicken popcorn – small “bite-sized” piece of chicken that have been breaded and fried
2. fried chicken – A piece of breast or drumstick which is breaded and then fried
3. Pastries – bite-sized snack or desert commonly known as kuih and bun.
4. Mash potatoes – a bowl of mashed potatoes that is mixed with unsalted butter and cream.
5. Mango fizz – A drink which is nutritious and refreshing which is mixed by mango syrup and
sprite to give it more tasty.
6. Sausages – Made by ground meat that is usually barbecued but we used the pan-fryer to
cook it.
7. Nuggets – A chicken product made from chicken breasts cut into shapes breaded or battered
then deep-fried.
The chicken popcorn and fried chicken were fried then put into cups for customers to be
able to eat it easily. For the sausages and nuggets, it was also put into cups but because of the
demand of the customers which some may want to combine both together, we had to ask put both
of them together in a polystyrene cup.
The mash potatoes are cooked then placed in a polystyrene bowl to serve the customer with
a spoon where they can eat their mash potatoes which sauces such as chilli sauce and cheese sauce.
Pastries were wrapped in plastic which is a very simple packaging.
The mango fizz although was kept in a large water dispenser which was then poured into
plastic cups to serve customers.
Since the mango fizz can be seen by everyone, it was one of our best sellers. Besides that,
customers gave us reviews saying that our products were in fact nice and cheap compared to others
selling during the charity drive. Some customers wouldn’t like the way we place our fried chicken in
polystyrene cups but we managed to sell quite a number of them. The sausages and nuggets was
one of the products which was a best seller too due to the hungry customers which wouldn’t want
to eat such a big piece of chicken but they rather chose the sausages and nuggets which caused it to
be a best seller. The mango fizz and sausages and nuggets was the fastest sellers where the others
were slower selling products.
Pricing
We sold a variety of food products which fell under the category of snacks. These are the list
of products and each of their respective selling and cost price that we sold during the sales:
Product Selling price (RM) / unit Cost price/ unit (RM)
Chicken popcorns 3 1.00
BBQ Chickens 4 1.20
Fried chicken 4 1.20
Mango fizz 2 0.20
Traditional Pastries 3 0.50
Breads 3 1.00
Nuggets 2 0.50
Sausages 2 0.50
Mashed potatoes 3 0.80
Promotion
For promotions, we were advocating the message “Cheap and Nice Food”. It is simple and
straightforward where customers can understand easily. When customers come, they would agree
that we were selling our products much cheaper compared to the other groups. When donators
came to ask more questions, we would explain more about the charity organization that we chose
such as the Malaysian Association for the Welfare of Mentally Challenged Children that was having a
big impact in Malaysia.
We chose this charity through the internet, it was an uprising news of the number of
mentally challenged children around the whole would. Some of those numbers were also from
Malaysia which caused us to be shocked and wished to help those who are in need of help. Many
children suffer from mental retardation which causes them to reach slower and talking late.
Symptoms such as slow mastering of simple tasks, poor remembering skills, behaviour problems and
difficult in problem-solving and logical thinking.
We wanted to help them in any way we can and this charity event gave us the opportunity
to do that. Our main tools for promoting are the internet such as social media like Facebook and
posters. We used social media to promote the charity sales to get more people to attend to our
charity drive. We asked for donations through Facebook and other social media if anyone would like
to help. We made poster so that customers could see us selling from afar. We had different types of
deals such as buy 2 or more food to get 1 free drink. During the last day, we had a promotion where
u can get drinks for free where u need to just donate any amount to help the charity organization.
This promotion worked best while on the last day as we were getting more people to come and
support us. This is the poster used to show the prices of each of our products.
Sponsor
We actually tried to approach a few big companies such as Kentucky Fried Chicken also known as
KFC to sponsor us products or cash but we were rejected. KFC is a company which produces one of
the best chicken in Malaysia which we wanted to use to sell our chicken popcorn and fried chicken.
KFC was also one of the most successful businesses in Malaysia and we though that we could get
some sponsors from them since they were so financially stable and well-known throughout the
whole world.
We tried to approach them through telephone calls by contacting particular individual in the
business such as the manager. We even tried using sponsorship letter like written proposal but we
still didn’t get the sponsors from KFC.
Distribution
We got most of our products such as the cups from the largest retailed organisation in
Malaysia, Mydin. One of the nearest branch is in Subang Jaya where we would go to buy the
products. Some of our products such as the pastries and ice was delivered to the campus latest by
noon. The pastries were freshly made and they also provided us a big yellow tray without charge to
be used to place the pastries or trays which allows us to sell our products around the campus.
Everything was made before 10 a.m. which causes the customers to not have to wait for the
products because all the products are already made by that time. They can buy and instantly eat the
food from our stalls, but there may be a short delay when there is a numerous number of customers
that we have to serve and that our products are going off too fast that they have to wait around 5
minutes to get them cooked.
From our business, customers cannot purchase our product through phone or online.
Although that was the case, some of our members were able to walk around the campus and sell
food to walking customers and also get some donation too.
Green Measures
For this business sales, we used 3 different types of method in environmentally-friendly
measures.
First, we set up our own rubbish bin beside our stall. Since we sold products such as chicken
popcorn, fried chicken, sausages, nuggets and pastries which are packaged using cups and wrapped
in plastic, it would be convenient after the customer have finish eating to throw the rubbish into the
rubbish bin. Most of the customers would buy one and then eat it and get another one to go. So we
usually prepare the rubbish bin for such situation.
Besides that, we prepared plastic bags in numerous sizes just in case customers would buy a
lot and needed to carry it around. We would only provide customers if they asked for it. As we all
know, wastage of plastic bag is a big issue and that this has been increasing each year and that this is
a simple task that we can do.
Lastly, to prevent any littering, we posted a poster near our signboard which states that no
one should litter and that we should keep the surrounding area clean and tidy as we will have to
clean up if it was dirty. The poster was right beside our signboard so it can be easily noticeable to
customers.
Human Resources Planning
Before we started our charity drive, task have been distributed along our group members
equally. This is to prevent any miscommunication among members and that we would know our
individual task in this charity drive. The team leader is Juergen Christian Martin, whereas the
members are Melvin Tan, Arron Goh, Vaanarasu Vasudevan, Kelvin Douglas, Gan Man Ling, Yin Sunn
and Alice Swansa. Jobs are distributed equally as mentioned above to avoid any conflicts among
group member which can ruin the business.
