1. Welcome to the Advertising
Department!
Manager: Holly Gauldin
Email: Holly Gauldin@student.kaplan.edu
Cell: 336-552-3683
2. What do we do?
In short, the advertising department is the team that creates the
advertisements for the nonprofit clients.
Your manager will send you a task list at the beginning of the week that
will instruct you on which organizations you will be working with. There
will be a short description of the company and what needs to be
accomplished.
It is up to you to be creative in making the Ads!
3. Setting Email Signature
Make sure that you have your signature set within your email.
This will allow for other departments to know what your position is, or
for outside clients to know what department you work for within
KapConsulting. This is also done for professionalism purposes.
Follow the “how to guide” on the next slide and send an email to your
manager to show you have completed this action.
4.
5. Saving Ads in JPEG
You may create your Ads in PowerPoint or another design program of your
choice; such as Adobe InDesign or Microsoft Publisher. However, upon
completion they must be saved in JPEG format.
Weekly ads need to be submitted as a JPEG file. This allows for easier saving
for management, as well as making formats easier for the other departments
that these ads are forwarded to.
Ads are used for social media and client websites, added to the weekly
newsletter, included in the weekly meetings, and proudly viewed by all of
KapConsulting!
6.
7. Recording Audio in PowerPoint
There will be opportunities for radio ads within the department as well.
These are easily recorded and saved within PowerPoint.
It may be easiest to record each part within it’s own slide and the
manager can edit to get it all in one file.
More details are given when the assignment is given.

9. Getting set up with KapConsulting
Here is a list of things you need to do in your first week.
• Time Clock
• Podio
• Google Drive
• DocHub
• Attend Orientation
• Fill out forms
• (I9, W2, Handbook, Corrective Action Agreement )
• Attend Weekly Meetings
You should receive an additional email titled “Welcome Packet” with more
information on each of these from the HR Department.
10. Time Clock
https://www.opentimeclock.com
You will receive an email with your login information. If you have this go ahead and set it up!
You should clock in anytime you are completing work for this internship.
• Reading this PowerPoint is included!
• Creating Ads
• Reading/ Replying emails
• Researching companies
You are required to spend 10 hours each week in the internship- the academic course does not count towards
your hours. Make sure that you are keeping track of everything that you are doing when you are clocked in by
adding notes. This will be helpful for you when you are filling out your weekly Accomplishment sheets (Discuss
these later).
This is also used by management to determine that you are actually doing the work and not just clocking in and
earning hours with no work involved.
11. Time Clock
Your view should be similar to this when using your time clock.
https://www.opentimeclock.com
12. Time Clock Corrections
This is to be filled out any time you
forget to clock in, forget to clock out,
or have logged hours while having
issues with your time clock.
They need to be filled out and
submitted to your manager as the
events occur.
13. Weekly Accomplishment Sheets
These need to be filled out on a weekly
basis.
They will be due to your manager after
the AHOD meeting on Tuesday nights.
If you plan on working after the meeting,
make sure that this is submitted to your
manager no later than midnight.
14. Podio
Podio is a site were all members of KapConsulting can post and review
information from one another.
Podio’s main function for this internship will be to find recordings of
meetings from all departments. Managers or Directors will post the
meeting link within 24 hours after meeting.
If you miss a meeting Podio is where you will find the link to listen to
the recording and complete your written review.
15. Google Drive
Google Drive is where documents are uploaded for the entire company
to see; such as the “Phone Tree.”
If you must use a form located in Google Drive, save the document to
your computer before editing.
Any changes you make to the document before downloading it to your
personal computer will result in a change of the document for
everyone.
16. DocHub
DocHub is a site you will use when signing any documents; such as the
I9, W2, Handbook, and Corrective Action Agreement.
You will download the document to DocHub, fill out the information,
then create your signature, sign, and send.
You will receive a how to guide in your welcome packet with more
detailed information.
17. Weekly AHOD and Department meeting
You will receive invites to attend both meetings on a weekly basis. If
you cannot attend, let your manager know as soon as possible.
Make sure that you are clocked in while attending the meetings, they
count towards your hours on a weekly basis.
BOTH meetings are MANDATORY. If you miss them at the time that
they are scheduled, then you will need to view them on Podio.
