I. Description of ATHENA Co., Ltd
ATHENA Co., Ltd is a professional education center providing network administration,
network security, and online marketing training services, as well as online marketing
solution and human resource solution services. ATHENA was founded in 2004 by Mr. Vo
Do Thang, who has been the general director until now, with the desire to contribute to the
development of information technology industry and turn it into the key sector in the
economy of Vietnam. The main office of ATHENA is located in 2 Bis Dinh Tien Hoang
Street, Da Kao Ward, District 1. This office is the place where the general director and the
HR/marketing manager are working and meeting with clients. Besides that, ATHENA sets
up a branch in 92 Nguyen Dinh Chieu Street, Da Kao Ward, District 1 in order to serve the
training services, online marketing solution services, and human resource solution services.
ATHENA has three official website: www.athena.edu.vn, www.athena.com.vn, and
www.athenavn.com. Customers who take network administration, network security, and
online marketing training courses can contact via email address daotao@athenavn.com.
Meanwhile, customers using online marketing and human resource solution services could
mail to marketing@athenavn.com and thangvd@athenavn.com.
These above details are the brief introduction to ATHENA Co., Ltd. In the following
sections, the customers and services that the company offer to them will be specified, and
the organization structure as well as the responsibility of each functions in ATHENA will
be described.
1. Services
ATHENA specializes in three major types of service: training, online marketing
solution, and human resource solution.
- Training services of ATHENA cover network administration, network security, and
online marketing area. Customers of network administrator and security training
courses are IT students who seek for more career opportunities or anyone that want
to participate in network administration and security business. Similarly, online
marketing training courses are aimed at people interested in doing online business.
- ATHENA also provides small and medium enterprises with online marketing
solution. Customers are offered comprehensive online marketing strategies such as
7
email marketing, social network marketing, video marketing, and SEO, etc., in
order to bring their brands, images, products, and services to their consumers.
- Among other services, human resource solution is the newest service of ATHENA.
It focuses on recruitment and recruitment training. In this sector, ATHENA also
operates as a middleman between graduates/candidates and employers.
2. Organization structure
The size of the company is small so that the organization structure is not complex. There
are five main positions: general director, marketing/HR manager, technical manager,
and lecturers.
Figure 1. Organization Structure
- General director: controls all the activities of ATHENA. He is also an online
marketing lecturer and network administration/security lecturer. He participates in
every functions to make the whole organization working sufficiently.
- Marketing/HR manager: is responsible for managing marketing and HR
department. Her role is to plan marketing strategies and HR projects with the
general director and to ensure marketing and HR department serve customers
efficiently.
- Technical manager: manages the IT system of the company and support lecturers
as well as HR department in HR solution services.
- Online marketing and network administration/security lecturers: are responsible for
training services. They will participate in online marketing and human resource
solution services when needed.
8
Beside, ATHENA uses interns as the major staff in marketing and HR department.
However, the performance of interns in marketing and HR department are quite good
due to the professional training before and the appropriate management during the point
they do tasks in those sections.
9
II. Internship Activities
Throughout the internship period, I was assigned to do tasks in HR department, marketing
department, to support the technical manager, and even to tutor a customer of online
marketing training services. In addition, I had chances to attend free online marketing
courses.
1. HR Department
My major task during the internship was to work as a vice manager of HR department.
I was assigned to this role because of the good working effort and attitude after 2 weeks
of doing basic tasks in marketing department, which is mentioned in the section 2, like
all of interns at ATHENA.
As a vice manager of HR department, I was supposed to manage IT students interning
at ATHENA, assess their performance by checking reporting email as well as internship
diary, and notify to the HR manager. In the early period, this job is very hard because
the number of IT interns are very large. Aside from that, no officer was responsible for
evaluating their efforts before me. Despite difficulties, I succeed in managing IT interns
and assess their performance by using shared email, google docs and forming a group
of HR interns to do that.
Moreover, I supported the general director to turn his plan into actual HR solution
services. My missions were to establish, manage a HR team, which was responsible for
contacting to employers and recruiting employees, and also participate in these jobs.
More specific, I recruited interns in HR department to attend the HR team. Next, I
assigned each member to take appropriate position and discuss with them about the
steps and methods to approach employers and recruit employees. After that, we decided
to search for employers’ information on recruiting websites, newspapers, magazines,
and television, then contact to them via email and phone call. When employers accepted
our offer, we would create lists of criteria from their working requirements and recruit
employees based on these lists. The sources of candidates were collected from
recruitment websites, newspapers, magazines and database of ATHENA. In the
recruitment process, we recorded interviews of candidates to store their information in
the database of ATHENA for further accession. Technical skills of candidates were
evaluated by the general director through direct tests on ATHENA’s servers. I sent CVs,
10
evaluation, and testing results of candidates that meet working requirements to
employers. Finally, I continued to receive feedbacks from these companies and keep in
touch with them. Unlike the task to manage IT interns, some members left at the critical
point of this project, everything still has run smoothly because we prepared carefully at
the beginning and planned for replacement though.
2. Marketing Department
As mentioned above, the basic jobs I did before joining HR department belonged to
marketing department. In a short duration of the internship, I spent my efforts in
creating blogspot, wordpress, online open cart, fanpage on facebook, posting
advertisement on website, forums, hunting, filtering, and sending marketing email to
introduce training courses off ATHENA to potential clients. Although my major is
business management and HR management, these tasks attracted me more than I
expected. A reason of this was the free online marketing class I took at ATHENA. It
give me the basic understanding of exactly what and how I need to do in actual work.
3. Assisting Technical Manager
Surprisingly, the technical manager asked me to help him control the dedicated mail
server of ATHENA. This job was quite simple. I just needed to open the remote desktop
connection of Windows OS, then logged in with the account given by the technical
manager to gain the access to the server. After that, my task was to create/delete
dedicated mail address for interns/customers, and to remove junk files. This job may
not be related to my major, I learnt a few experience from that.
After the internship, I realize that ATHENA Co., Ltd has two problems that are necessary
to be improved. The first one is the motivation of employees. The second one is the balance
between the image customers expect based on marketing strategies of ATHENA and the
image impressing customers when they experience services of ATHENA.
11
III. Suggestion for the Thesis Topic
According to above problems, the thesis is able to follow two directions.
The first direction is “ATHENA Employees’ Motivation: Reality and Solution”. I think of
this thesis topic because, as I observed, parts of interns and employees at ATHENA were
not motivated when working. The major of this type are interns and employees in marketing
department, while people in HR management show much better attitude and motivation.
Therefore, it is essential to investigate what make the differences between employees in the
same environment and how to exterminate negative effects on employees’ motivation.
The second direction is “The relationship between customers’ expectation and experience
at ATHENA”. ATHENA focuses on online marketing deeply so that it is well-known
among students, who are the potential customers of training services, and IT enterprises.
ATHENA is trying to create a professional and reliable organization. In fact, ATHENA is
successful somehow. However, ATHENA is unable to maintain such a good image when
customers truly experience ATHENA services. It is not only about the quality of these
services, because ATHENA has great lecturers and managers, but also the appearance of
facilities. Therefore, there is a need to find out how the differences between customers’
expectation and experience affect customers’ satisfaction and impression on ATHENA.
12
IV. Assessment of the Internship
During the internship in HR department of ATHENA Co., Ltd, I had golden opportunities
to work as an actual employee in an active, friendly, and challenging environment with
supportive advisor and enthusiastic collaborations. Taking jobs in HR department,
marketing department, and assisting the technical manager, I was compulsory to interact
with various personalities and working styles of many different people such as the official
staff, the colleagues, the bosses, the lecturers, the customers studying at ATHENA, and
clients from other enterprises so that I gained many benefits.
The first one is the communication skill, which used to be one of my weakness. Now, I am
more confident when interacting with unfamiliar people. I also learnt how to make
customers comfortable when receive their phone call.
The second one is the knowledge of online marketing. My major is, as said before, business
management and human resource management so I did not understand much of online
marketing features, concepts, and tools. After the internship period, I can create websites
to market my own business and start an attractive store to sell my products or services. I
even know the way to find out email address of potential customers, verify email’s status,
and send a great numbers of marketing email without flagging as a spammer.
The third advantage I take from this internship is the method to encourage and convince
others. It is much easier to encourage and convince people to do something if we can
indicate what they are able to earn from doing that.
The fourth qualification that I gain is the vast experience of human resource in general and
recruitment process in more specific. From now on, I am confident to take a management
positions in challenging SMEs as well as to participate in complex recruitment projects in
big organizations. I also realize the most important things that candidates need to express
in order to impress employers.
Finally, I am likely to be familiar to the pressure and stress while assigning in many tasks
at the same time. This ability is very necessary if I want to become a top officer at big
enterprise in the future.
The theoretical classroom knowledge has changed my understandings and critical thinking
while the internship experience has changed my working attitude and self-confidence. The
realistic working experience affected me more deeply than the university’s theory did.
13
However, without classroom understandings, effects of the working experience on my
ability will decrease significantly.
14
V. Conclusion
In brief, this report is an overview of the operation of ATHENA Co., Ltd and my account
of main activities carried out during the internship at ATHENA. This company is a
professional education center providing network administration, network security, and
online marketing training services, as well as online marketing solution and human resource
solution services. All of the benefits and qualifications I gained while interning here were
introduced in the previous part. The only lesson I want to add is that “To be successful in
any organizations, we must understand company’s product, services, and culture”.
