Summary
This proposal provides information on the current system and
what the new system will do for Riordan.

Current System
Currently when raw materials are ordered, they are shipped to
the raw materials plant, unloaded, checked for correct amounts,
and then entered into the inventory system.

Flaws
Many of the processes that Riordan currently employs could be
streamlined into fewer steps. Some processes, such as receiving
raw material currently require more steps than necessary to
complete.
With the current system the labor cost does not justify the
productivity level.
The current process is flawed by human error
When there is an issue with low inventory, the Manufacturing
and Assembly plant will not know until they are in need of the
raw materials or when the inventory check is done.
With current flaws Riordan is paying more for labor than they
are receiving in production.

New system proposal
This new system will allow shipping data to be sent from
manufacture to factory, when truck arrives the supervisor will
scan all raw material into inventory and then it will be checked
against what was shipped. Instead of a clerk having to check
shipping manifest, the supervisor scans all docs and raw
material which is them imported into the inventory database.

New system proposal – Cont.
This new system will provide Riordan with the tools to take the
company into the new technology age. It will allow them to
have fewer employees working when receiving raw materials
from suppliers. It will also ensure that all material being
received is the correct amount that’s was shipped by the
supplier based on the shipping manifest that is received when
the order is loaded onto the trucks. This new system includes a
new raw materials management software, new mobile scanners,
and team training.
Information Flow
The information flows from the time the supplier of the raw
material sends a shipping manifest all the way to the
manufacturing and assembly plant of Riordan. Since the new
system incorporates everything electronically, there is no longer
a need for paper filing. All packing slips and other
documentation will be scanned and inputted into the Riordan
inventory database.

Information Used
When the order is placed with a raw materials supplier, the
supplier send Riordan a manifest on what to expect at the
delivery time. By receiving this information ahead of time, by
the time the truck arrives with the materials those items are
scanned directly into inventory for a more streamlined process.
Security and Ethical Concerns
Theft
Employees can fudge numbers to steal raw materials
Company infrastructure Breech
Due to the increase network security breeches, Riordan
inventory system will not be available outside of the intranet.
There are no Ethical Concerns
To ensure that there are no data breeches of proprietary
software, there will be no access to any of this new information
System outside of Riordan.

Mobile Access
With this new system mobile access will be limited to being
able to see inventory real-time.
It will not be available outside of the intranet for security
reasons.
The mobile devices will be Windows CE wireless scanners.
It will allow for the devices to be updates on a normal basis.
Using windows mobile devices will allow Riordan to order new
devices as production needs or devices get damaged. The system
will not be available to mobile devices outside of Riordan.

Acquisition
When acquiring a new information system organizations should
ask, “What expenditure are we willing to spend on
implementing this new process and what are the benefits that we
will have over our current system?” The answers from these two
questions will help guide the organization into the correct
direction of implementing a new information system.
Objectives should be set as to what is needed out of this new
information system. Lists should include the goals of upper
management and low level supervisors
The goals set within the organization will encourage the
selection process of executing a new information system in
multiple ways. Riordan must decide who will be using the
system and what requirements will they need to achieve the
duties as an employee and satisfy the manufacturing and
assembly plants. Before making any decisions based upon a new
information system ensure that goals have been set and are
clearly understood by all parties involved. This will decrease
any confusion in the planning process.
When the new system is acquired there will be little system
downtime because all of the implementation will be completed
after hours.

Maintenance
The primary function of maintaining an information system is to
lower downtime or try to avoid it altogether. The money lost by
a department being idled by an downed system can become an
issue in a short amount of time. The embarrassment to
customers can cost the firm even more if production is lost as a
result, in addition to any added costs Riordan may incur.
Another dynamic consideration regarding the project and
conception of an system is to determine which users have access
to which information. The system should be organized to grant
access to the different parts and levels of the inventory system.
A shared method of administering system access rights is create
different levels of contents for supervisors and the receiving
and inventory clerks.
Individual passwords can be used to distinguish each user and
their level of access rights, as well as identify the appropriate
job by each team member. Information regarding the current
inventory can also be collected assessed through the user
identification process on the intranet.
To make sure the system is always maintained we will train
Riordan personnel on the proper use and maintenance of their
new system.

Strategic Role
The strategic role of this information system is to enhance the
performance of information Services in an Riordan. It plays a
role in the inventory management department from the time the
order is placed until it leaves Riordan as a finished product.

Summary
At the time of proposal Riordan has to address decisions in the
Acquisition, Utilization, and Allocation of funds for the
proposal. With this new system Riordan’s labor wages will be
lowered and their productivity rate will be increased. A real-
time inventory amount will always be available in the company
system as well as mobile devices. Inventory will be more
accurate with the new scanning system implemented in
conjunction with a new inventory system. Training will be
provided to everyone who will be using this new system to
make sure that the transition is a smooth process. Updates will
be catered to the current hardware and will not exceed it’s
capabilities.

New System Proposal Automatic truck to inventory database (Hardware & Software) Objectives Current System Current Flaws New System Information Flow Information Used in System Security and Ethical Concerns Mobile Access Acquisition Maintenance Strategic Role Summary This proposal provides information on the current system and what the new system will do for Riordan. 2 Current System Currently when raw materials are ordered, they are shipped to the raw materials plant, unloaded, checked for correct amounts, and then entered into the inventory system. 3
  • 2. Flaws Many of the processes that Riordan currently employs could be streamlined into fewer steps. Some processes, such as receiving raw material currently require more steps than necessary to complete. With the current system the labor cost does not justify the productivity level. The current process is flawed by human error When there is an issue with low inventory, the Manufacturing and Assembly plant will not know until they are in need of the raw materials or when the inventory check is done. With current flaws Riordan is paying more for labor than they are receiving in production. 4 New system proposal This new system will allow shipping data to be sent from manufacture to factory, when truck arrives the supervisor will scan all raw material into inventory and then it will be checked against what was shipped. Instead of a clerk having to check shipping manifest, the supervisor scans all docs and raw material which is them imported into the inventory database. 5 New system proposal – Cont.
  • 3. This new system will provide Riordan with the tools to take the company into the new technology age. It will allow them to have fewer employees working when receiving raw materials from suppliers. It will also ensure that all material being received is the correct amount that’s was shipped by the supplier based on the shipping manifest that is received when the order is loaded onto the trucks. This new system includes a new raw materials management software, new mobile scanners, and team training. Information Flow The information flows from the time the supplier of the raw material sends a shipping manifest all the way to the manufacturing and assembly plant of Riordan. Since the new system incorporates everything electronically, there is no longer a need for paper filing. All packing slips and other documentation will be scanned and inputted into the Riordan inventory database. 7 Information Used When the order is placed with a raw materials supplier, the supplier send Riordan a manifest on what to expect at the delivery time. By receiving this information ahead of time, by the time the truck arrives with the materials those items are scanned directly into inventory for a more streamlined process. Security and Ethical Concerns Theft Employees can fudge numbers to steal raw materials
  • 4. Company infrastructure Breech Due to the increase network security breeches, Riordan inventory system will not be available outside of the intranet. There are no Ethical Concerns To ensure that there are no data breeches of proprietary software, there will be no access to any of this new information System outside of Riordan. 9 Mobile Access With this new system mobile access will be limited to being able to see inventory real-time. It will not be available outside of the intranet for security reasons. The mobile devices will be Windows CE wireless scanners. It will allow for the devices to be updates on a normal basis. Using windows mobile devices will allow Riordan to order new devices as production needs or devices get damaged. The system will not be available to mobile devices outside of Riordan. 10 Acquisition When acquiring a new information system organizations should ask, “What expenditure are we willing to spend on implementing this new process and what are the benefits that we will have over our current system?” The answers from these two questions will help guide the organization into the correct direction of implementing a new information system. Objectives should be set as to what is needed out of this new information system. Lists should include the goals of upper management and low level supervisors
  • 5. The goals set within the organization will encourage the selection process of executing a new information system in multiple ways. Riordan must decide who will be using the system and what requirements will they need to achieve the duties as an employee and satisfy the manufacturing and assembly plants. Before making any decisions based upon a new information system ensure that goals have been set and are clearly understood by all parties involved. This will decrease any confusion in the planning process. When the new system is acquired there will be little system downtime because all of the implementation will be completed after hours. 11 Maintenance The primary function of maintaining an information system is to lower downtime or try to avoid it altogether. The money lost by a department being idled by an downed system can become an issue in a short amount of time. The embarrassment to customers can cost the firm even more if production is lost as a result, in addition to any added costs Riordan may incur. Another dynamic consideration regarding the project and conception of an system is to determine which users have access to which information. The system should be organized to grant access to the different parts and levels of the inventory system. A shared method of administering system access rights is create different levels of contents for supervisors and the receiving and inventory clerks. Individual passwords can be used to distinguish each user and their level of access rights, as well as identify the appropriate job by each team member. Information regarding the current
  • 6. inventory can also be collected assessed through the user identification process on the intranet. To make sure the system is always maintained we will train Riordan personnel on the proper use and maintenance of their new system. 12 Strategic Role The strategic role of this information system is to enhance the performance of information Services in an Riordan. It plays a role in the inventory management department from the time the order is placed until it leaves Riordan as a finished product. 13 Summary At the time of proposal Riordan has to address decisions in the Acquisition, Utilization, and Allocation of funds for the proposal. With this new system Riordan’s labor wages will be lowered and their productivity rate will be increased. A real- time inventory amount will always be available in the company system as well as mobile devices. Inventory will be more accurate with the new scanning system implemented in conjunction with a new inventory system. Training will be provided to everyone who will be using this new system to make sure that the transition is a smooth process. Updates will be catered to the current hardware and will not exceed it’s capabilities.
