PROJECT BACKGROUND
San Fernando Integrated School teachers
use manual monitoring system of
attendance during face-to-face classes.
Teachers usually forget to check the
attendance of the students especially
those in between periods.

PROJECT BACKGROUND
Moreover, teachers
sometimes accidentally loss their
attendance sheets. Hence, hinders
proper monitoring of attendance of
their students and results to less
accurate report in School Form 2.

Due to the COVID 19 pandemic, the school
implements distance learning modality.
Parents receive and return the modules to
the teachers. Teachers ask parents to log in
the attendance sheets as a means of
verification that they really come to school to
get and return modules.
PROJECT BACKGROUND
This method is risky since parents and
teachers touch the papers and pens
that might cause the transfer of
infectious diseases.
With the stated problems, the
team decided to solve this. How
would they improve the
monitoring of attendance of the
parents or students at San
Fernando Integrated School?

They are not sure whether the

STATEMENT
The attendance monitoring system of SFIS is
not safe, efficient and effective. During the
pandemic, safety is the top priority. Logging
in and out of parents and learners in school
using the traditional use of pen and paper is
risky because of the potential transmission of
diseases especially COVID 19 virus. In
addition, the efficiency and effectiveness of the
attendance is quite difficult to attain.

WE DO IT? The use of pen and logbook is the only available system for
monitoring the attendance.
San Fernando Integrated School had been using pen and
logbook during the attendance of parents and students as they enter
the school especially during the pandemic. We had observed that
they are quite hesitant as they hold the pen and write their name on
the logbook. The school have sensed fear in the reaction of the
parents and students during their log in and log out.
The availability and consolidation is quite difficult in using
the pen and logbook. The teacher had to skim one by one on the
logbook and record it. This procedure is inefficient and ineffective.

WHERE DO WE GO FROM HERE?
FIRSTTARGET
The AMS was created to make the log in and log out of
parents as they go to school to get modules for their
children.
Later, limited Face to face was approved and students are
allowed to go to school. Because of the change of target
recipients, it is used for the recording of the attendance of the
students .

THE AMS ( Attendance Monitoring System) is
currently trying to improve the system using the
data gathered from the implementation and
survey.
The schoollooks forward to fund the necessary
materials and equipmentto improve the machine.
WHERE DO WE GO FROM HERE?
HighTechattendancesystemexistedbut its veryexpensive.
Only privateschools could affordtohave this system.
Withthe use of AMS,this will improvethe attendance
systemof the Public schools.
It will also addsecurityand assurancetoparentsas they
receivemessageswhentheirson/ daughterlogs in and
out the school.

  • 3. PROJECT BACKGROUND San Fernando Integrated School teachers use manual monitoring system of attendance during face-to-face classes. Teachers usually forget to check the attendance of the students especially those in between periods. 02
  • 4. PROJECT BACKGROUND Moreover, teachers sometimes accidentally loss their attendance sheets. Hence, hinders proper monitoring of attendance of their students and results to less accurate report in School Form 2.
  • 5. PROJECT BACKGROUND Due to the COVID 19 pandemic, the school implements distance learning modality. Parents receive and return the modules to the teachers. Teachers ask parents to log in the attendance sheets as a means of verification that they really come to school to get and return modules.
  • 6. PROJECT BACKGROUND This method is risky since parents and teachers touch the papers and pens that might cause the transfer of infectious diseases.
  • 7. With the stated problems, the team decided to solve this. How would they improve the monitoring of attendance of the parents or students at San Fernando Integrated School?

  • 9. WHERE WERE WE? Security Guard Teacher School Head Asks the parents or students to log in their attendance using pen and logbook Records the attendance of the students to be recorded in the SF 2 Consolidates the attendance for the SF 4
  • 10. receives an ID with a unique barcode to be used during the distribution and retrieval of the modules as they enter and exit the school. Each time the parent or student gets in and out the school, they will receive an automated text message indicating the exact time of log in and log out PARENT / STUDENT The class adviser provides the information needed to create the barcode ID. TEACHER The school head asks the system admin to create a system that will monitor the attendance of the parents/ learners. creates a Barcode ID for the parents and learners generates attendance log for each learner daily, weekly and monthly prints the ID with Barcode creates a template for the Barcode ID system in which the data will be provided by the class adviser SYSTEM ADMIN

  • 17. 02 Conclusion IDENTIFY NEEDS AND WANTS HOW DID WE DO IT? The parents of San Fernando Integrated School is not confident with their safety as they log in inside the school. They are not sure whether the teachers are monitoring their attendance during the distribution and retrieval of modules.
  • 18. HOW DID WE DO IT? 03 FOCUS PROBLEM STATEMENT The attendance monitoring system of SFIS is not safe, efficient and effective. During the pandemic, safety is the top priority. Logging in and out of parents and learners in school using the traditional use of pen and paper is risky because of the potential transmission of diseases especially COVID 19 virus. In addition, the efficiency and effectiveness of the attendance is quite difficult to attain.
  • 19. 04 DO ROOT CAUSE ANALYSIS HOW DID WE DO IT? The attendance monitoring system of SFIS is not safe, efficient and effective. The parents or students are only using one pen and logbook making it a potential factor for disease transmission. The use of pen and logbook is the only available system for monitoring the attendance . WHY? WHY?
  • 20. 04 Root Cause Validation DO ROOT CAUSE ANALYSIS HOW DID WE DO IT? The use of pen and logbook is the only available system for monitoring the attendance. San Fernando Integrated School had been using pen and logbook during the attendance of parents and students as they enter the school especially during the pandemic. We had observed that they are quite hesitant as they hold the pen and write their name on the logbook. The school have sensed fear in the reaction of the parents and students during their log in and log out. The availability and consolidation is quite difficult in using the pen and logbook. The teacher had to skim one by one on the logbook and record it. This procedure is inefficient and ineffective.
  • 21. 05 Objectives DEVELOPING SOLUTIONS HOW DID WE DO IT? i. toeffectivelyandefficiently monitortheattendanceof students Theschooldevelopedanautomatic systemthatwillrecordtheloginand logoutofstudentsdigitally.Thesystem willcreatealogtobegeneratedbythe systemmanagertohaveaprecise recordoftheattendanceoftheparents orstudents. ii. toreducetheriskofdisease transmissionusingthepenand paperattendancesystem Theusershavetheiruniqueidentity cardtobeusedinlogginginandout theschoolpremiseswithoutusing paperandpen.Thiswillassurea contactlessrecordintheschool resultingtoasaferandrisk-free attendancesystem. iii. toassuretheparentsthattheirstudentsenterandexitthe schoolinrealtime Theschoolmustcreateanautomaticsystemthatwillinformtheparentswhentheir studentsenterandexittheschool.   • 22. 05 Process Steps DEVELOPING SOLUTIONS HOW DID WE DO IT? Step 3 The automatic attendance system will send a text message to the parents as their students enter and exit the school in real time scenario. Step 1 The system manager will create a database with information of the students and parents . Step 4 The system manager will generate a log with actual time the students enter and exit the school. Step 6 The school head will give a copy of the attendance to the class advisers. This will be their basis for attendance. Step 5 The generated log will be submitted to the school head for checking. Step 2 Each student will be given a unique identity card embedded with a barcode. The card will be identified by the automatic attendance machine as they enter and exit the school.

  • 26. WHERE DO WE GO FROM HERE? FIRSTTARGET The AMS was created to make the log in and log out of parents as they go to school to get modules for their children. Later, limited Face to face was approved and students are allowed to go to school. Because of the change of target recipients, it is used for the recording of the attendance of the students .
  • 27. WHERE DO WE GO FROM HERE? THE AMS ( Attendance Monitoring System) is currently trying to improve the system using the data gathered from the implementation and survey. The schoollooks forward to fund the necessary materials and equipmentto improve the machine.

Withthe use of AMS,this will improvethe attendance systemof the Public schools. It will also addsecurityand assurancetoparentsas they receivemessageswhentheirson/ daughterlogs in and out the school.
