This document outlines the agenda and instructions for a workshop called "The Solution Room" held on July 11, 2012. The workshop was facilitated by Event Garde LLC and aimed to help participants reflect on a keynote speech and identify behaviors to change and action steps to take. The agenda included introductions, personal reflection through writing, group consultation on the reflections, and identifying action items. Participants were given worksheets to write their reflections and notes from the discussion.

As participants file into the room, please be at the doors welcoming them to your session and ensuring they are in the correct room based upon the first letter of their last name.
Facilitators should begin promptly at 9:30 a.m. and take just about 1 minute each to quickly introduce themselves, including name, position and company.
Facilitators will identify the following resources by holding them up to the group and explaining what each should be used for: 1. Instructions – A copy of the instructions for this session is provided at your table. Participants should read through all instructions first, then begin again with step two and complete all steps in order. Participants should pay special attention to timing to ensure all steps are completed within the allotted time. This session ends at 10:30 a.m. 2. Worksheet 1 – Each participant will find at their table two worksheets. Worksheet 1 will be used throughout the session and, ultimately, will be passed to a neighbor for follow-up and discussion. 3. Worksheet 2 – This worksheet is for personal use only. It can be used to take notes, jot down ideas, record a-ha moments, etc. throughout this session. It will not be shared with anyone. 4. PowerPoint – This session has been developed as a self-directed learning experience. This means that you are being asked in your small groups to manage the learning process for those seated at your table. We’ve provided you with a framework, resources and plan of attack, but what you learn and takeaway from this session is up to you. We will be advancing slides throughout this session when it’s time for you to move on to the next step, but will not be making formal announcements. When asked to select a timekeeper, please know that this person is ultimately responsible for watching the clock and ensuring conversation moves according to the prescribed timeframes. 5. Facilitators – Should you have any questions throughout the next hour related to the learning activities you’re being asked to complete, please let us know. We’ll come over to your table and help you as best we can.
Go ahead and encourage your participants to get started. You’ll want them to read through all instructions first, then begin again with step two and complete all steps in order. [Facilitation ends. Circulate throughout the room to answer questions as they arise.] Once they’ve read through all of the instructions, participations should begin immediately in round robin fashion by introducing themselves to the group. First names, organizations and a “fun fact” are sufficient at this time. This should take no more than 2 minutes total. Then, participants are asked to select one person at their table to be the timekeeper. Again, this person is responsible for watching the clock and ensuring conversation moves according to the prescribed timeframes.
Participants should take a moment to stake claim to their worksheets (both Worksheet 1 and Worksheet 2), and write their names at the top of each one. For 3 minutes, each participant should work quietly by themselves. Using Worksheet 1, the goal is to identify and write down one behavior they would like to change as a result of having attended Joe Gerstandt’s keynote session. At the end of 3 minutes, participants should pass Worksheet 1 to the person on their right.
This will begin the consultation round: One person is selected to begin. This person reads aloud the behavior statement their neighbor wrote down on Worksheet 1 (which they are now holding). Once the statement has been read aloud, the group is to provide feedback, suggestions and recommendations about this behavior statement for no more than 5 minutes (think: group consultation). During this time, the person who read the statement aloud should jot down as much information provided by the group as possible (on Worksheet 1 in the section labeled “crowd sourced ideas that support this change”) while everyone else engages actively in discussion. This process continues until all eight behavior statements have been read and follow-on consultation has been completed. Please note: Throughout the consultation round, participants should consider the advice shared by the group and select the one actionable item that best supports their desire for change. Ultimately, action steps should be achievable by July 31, 2012.
When the consultation round has concluded, Worksheet 1 should be passed back to its owner. Participants should write down their chosen action item at the bottom of the worksheet. The session ends in a round robin fashion by each person having 1 minute to identify aloud the one action step they’ve written down. [Facilitation resumes.]
Participants should identify an accountability partner and share contact information with him/her. There is a place at the bottom of Worksheet 1 to record this information. Participants should make a concerted effort to complete their action item by July 31, as well as consider additional action items that will further support their desired change. Partners should then plan to check in with one another on Aug. 1 (via phone or email) to determine whether or not their action steps have been achieved – and to identify solutions to any roadblocks/challenges that may have arisen. Remember: Sometimes a bit of motivation, encouragement and accountability is all we need to make meaningful changes in our lives. Time permitting, answer any questions that may still remain – and thank everyone for their participation.
