My name is Ashok Malaviya, I am from Mithi Software Technologies, one of the co-founders and I welcome you all for this joint webinar that we are conducting with Mahanagar Co-operative Bank and Amazon. SO as you know, the title of the webinar is How Mahanagar Co-Operative Bank uses cloud email archiving to reduce the risk of data loss and control email storage bloat. So let’s get started right away, In this webinar w’ll talk about why backup is not same as archival. So this is often a confusion. People think that if they take backup it is the same as archival. Second important thing that we want to discuss is how email archiving and ediscovery can help your business. Third is a story which Mahanagar Co-operative bank would be sharing. The story would be shared by Mr. Makarand Dhumak, as to how they have implemented archival solution from Mithi, how that has benefited them. And last and not the least is Amazon speak on how cloud solves challenges as against in premise infrastructure. And we will be ending this webinar by our QandA, so what we would request you is that you note down your questions, you can out up those questions on the chat and we will try and answer the most common ones. All the questions will be answered, we will be sending you a followup mail with all the answered queries. SO why Business should archive emails? let’s start with the basic questions. Now the truth about email data management, first, is that everybody uses email. So in any business, the main mode of communication is email, it is a no-brainer. It is also true that everybody backs up email, cause we know that there is a lot of important information inside your email data. So you need to back it up. Now the interesting art, not everybody archives email. Although you take backup, you don’t archive, everybody does not archive email and of course the follow up thing is, backup is not archival. Now let’s see what we’re trying to say. So what is our vision or ideal state? Now this vision or ideal state is with respect to the customers, you the customers. First and foremost is, what we are saying is that, a copy of your data has been automatically secured reliably, so what we are saying is that whatever data you have should be automatically be secured. Second, the user needs should be empowered, what we mean by that is that the user himself should be able to locate, extract and use the historical data. Third, you can scan data for all users in your entire organisation, so if our rights are given to an administrator, he can scan data across mailboxes, he can search for data across all the mailboxes, so this is the ideal state that we want to reach. Now what are the obstacles, to realize your ideal state. First and the most important is reliability and disaster recovery, what we mean by that is that where ever you store your data, is it reliable? Second, it is capex intensive, which means that you have to invest upfront. High start up costs, no elasticity and no scalabiltiy, again what we are saying is that you have to revision for your next 3 years or 5 years, so you really don’t have a lot of elasticity. And designing for security on all layers because designing security is one of the major concerns today, everybody knows about that and managing and monitoring this system, 24/7. So these are the obstacles, these are the challenges that we have to face in getting to the ideal state. Now our vision, first and foremost, the data has to be safe, secure and always available. Easy data in for storing safely on the cloud as an immutable alternate copy, what we are saying is that the data cannot be deleted and we are making another copy of that data and keeping it safe. All the data is online, it can be searched and accessed by end users, and then securing it with tamper resistant controls so it cannot be accessed by un-aurthorised people. Providing easy simply methods for easy data out of any size, so when you need to migrate your mail data, it should be done very easily, it should not be very complicated or time consuming. What is the trend today? 60% of all business are on your mail. On an average, plus or minus, 4GB is the average annual growth in users archive account, so if you keep archiving your email account, in one year your will accumulate about 4 GB of data. On an average, a person sends about 126 messages. Now if you look at this, for a 200 user company, we are talking of accumulating in a year, about 1TB of data and this is growing year on year, so you are adding, your email usage is increasing and you are adding on this 1TB of data. So a 200 user company, a mid sized, SME, would accumulate about 1TB of data. Now the future of email archival, now Gartner says that archival data is not just a dead data or a static data that you have kept it, it is a repository which is going to be periodically viewed, almost 75% of the time, the data will be viewed on a regular basis. So it is not something that you take a backup and keep it in cold storage and your archive data is being actively used and searched and retrieved, just as your mailbox, so it is actually complementing your mailbox. Now top 5 reasons a business should archive email. First, like I have already mentioned, a lot of your critical data is on your mail. Second, it improves your mail service and end point performance, because typically what you do is, you keep your mailbox size small and put all your data in your archival storage, thereby increasing your performance. Third, you’re managing risk, tomorrow if there is a ransomware attack, or if there is a security breach, you ensure that your data is safely backed up. It is also necessary to keep this information safe for compliance purpose, specially for BFSI, for banking sector, this is very very critical, every now or then there are audits, and you need to comply and this thing will be very handy and the fourth this is, that it simplifies email management. Again what I mentioned earlier was that keep your mailbox small, put all your email data on archival, on backup and then you can search through that, you can do ediscovery, so what we are essentially saying is that there is a lot of data stored, now we need to manage it properly and mine the data for whatever information I need. And the fifth reason is that the email data is on tap, what do we mean by tap is that it is available to you continuously, a user can immediately get access to the data, unlike earlier if you had put your data on a tape drive on a hard disk then you had to download the hard disk and all those things need to be done. Here the data is in sync, you can immediately access that data. So these are the reasons why you need an email archival system. Now one lesser known reason to archiving email, which is also very important is that you are not tied to a particular vendor, so what happens is that, let’s say you are using a mail service of a particular vendor. When you archive mail, you are keeping a copy of your data in a separate physical location, so you can do analytics, use whatever tool you want, independent of the first vendor, independent of the email vendor, so you are not tied to that vendor. Now this is the diagram which suggests how email archiving works, it is a very very simple diagram to understand. Basically what happens is that when you send a mail, the journaling feature of the mail server is used to forward a copy of that mail onto a separate vault, which is like a safe deposit, and once it goes there, the data is immutable which means that it cannot be deleted. So a copy of every incoming and outgoing mail s kept over there and when you need to retrieve that data, you can either retrieve it in pst format, a user can do it himself for his own mailbox or an admin can do it for any user as long as he has the rights. So it is a very simple thing to understand that we use the journaling feature of a mail server to forward a copy of that mail and keep it safe, that is what basically archiving is and that’s how it works. Now coming back to why we should use Vaultastic, let’s give some reasons why you should use Vaultastic. Number one it is a saas based solution, it is pay as you go, it is self service like I mentioned, the user himself can use his own archival mailbox to retrieve the data, pay forward or whatever. There is no hardware required cause it is a cloud based solutions, zero management again because it is a cloud based solution, all the management is done by us. It has got SLA backed warranties, again, very very important and then very strong data integrity, that means all your secrecy and your data is maintained which cannot be tampered with, it is kept in an encrypted format, so the data, the storage data which is critical data of your organisation, we maintain that data integrity. Now the second reason is that it is a true cloud application, to give you an example, we are growing at a rate of adding 3GB of data per second, this is what is happening on Vaultastic, on AWS cloud, so we are adding very rapidly, in fact this 3GB per second has gone up to almost 5GB now. As I mentioned, the data is secure, we are using very secure platforms, all your data is encrypted, we have role based adminsitration, and very strong audit trails, so security which is a main concern of all organisations, specifically for banks, we maintain security of your data as well as keep it encrypted and tamper proof. Now the third very important reason why you should use Vaultastic is that it works across all email platforms, so you could be having your basic mailing platforms, as Zimbra, Lotus Note, MS Exchange, O365, G Suite, whatever. Vaultastic is a common archival system, which will attach to any of these mailing systems. Even if you have a hybrid mailing system, let’s say you are using exchange and an open source system, still your archival will be common. Easy data in easy data out, again what we are saying is that, let’s say you have already collected a lot of data which you are storing in some tape drives or whatever, and you need to move this to Vaultastic, you need not go through the internet, cause it will use a lot of bandwidth and it will be a slow process. We use a service from amazon which is known as Snowball, where we physically go and download all your data and this is transferred again physically to the data centre where it is uploaded, so this happens very quickly and is done very easily. Now ediscovery, now this is one very very important feature of this archival solution Vaultastic. So apart from the fact that it is securing your data, the second part of it is that you can do a lot of analytics on your data. So you have a lot o data accumulated in your mail. I will just talk a little more on the subsequent slides about how ediscovery work. But if you want to just understand it very simply, what it allows the administrator, is that it allows it to search across mailboxes, so I can search across 10 mailboxes fro a particular information, Let’s see that in more detail. Another very good advantage of Vaultastic is that you have mixed plans, this is basically based on the fact that in any organisation, you have profiles of different people and their requirements are different. Now what we are saying is that you can use different plans, based on the profile and requirements of that person. Of course all the plans have unlimited storage by default. Now ediscovery, coming back to ediscovery, what is ediscovery. it’s a very powerful indexed search across archived mailboxes. You can find any information no matter how old, within seconds. You can leverage all that accumulated data like I said you can analyze that data and you can drive decisions based on the data you have collected. And of course you can respond to compliance requests. So let’s say your auditors ask for a particular query. For example your auditors say, I need to get all the mails which were transacted on this particular date, by a firm named abc whatever, so many people within your organisation would have transacted their mail on that particular day with that particular oganisation, so you can actually search across those mailboxes, accumulate all that data and present it to the compliance officer. Some examples of ediscovery, you can fire some queries, something like show me all mail sent by Rohit to external domains and which contain a pdf attachment. Or show me all inbound mail in April to my domain or show me all communication between Mary and Acmecorp for the last seven years. Or show me all mails where an attachment contains contract, so you can choose a keyword, or show me all mails where an attachment has a check or a draft, so it will search across maiboxes and give you that. Now ediscovery used by customers, so these are some of our customers, Eureka Forbes is one of our customers which has been there with us for almost 10-12 years now. T&T Motors is using this. They are using it for supervising communication by their sales staff. So the sales manager wants to know how his staff is communicating with his customers, so he checks all the communication which his staff has done by using ediscovery. There is another wealth management company in the US. In US they have a clot of compliance and audits, so these people have automated some of the tools which they use to answer all the audit queries that keep coming and also for analyzing and collaborating on search results using Ideolve. So now I am handing over this session to Mr. Makarand Dhumak from Mahanagar Bank. So he will be sharing his story about how they have implemented, first of all why did they implement an archival solution, why did they choose Vaultastic, that is the first and foremost and secondly how it has helped them, when they have been using this solutions how it has really helped them, so you will hear from the horses mouth, his own experience of how they have been using this product and how it has benefited, and then you can also map it to your own environment, as to whether you have the same requirement and same challenges and how you can meet those. - Good afternoon everyone. Thanks for introducing me and inviting me to speak about our experience with using the Vaultastic email archiving solution and how the solution helped Mahanagar Coop Bank reduce the risk of data loss and control email storage bloat.To give you a little backdrop about how the bank was started. The Bank was established by the people from the Ahmednagar Dist. in the name of “The Ahmednagar Sahakari Bank Ltd.” on 6th October 1973, with a humble but very inspiring beginning. In order to start, a minimum amount of Rs.10/- per share was required from prospective members and as such practically, from all over Mumbai, the founders collected the initial share capital of Rs.1.36 Lakhs. With this small amount they started this co-operative activity in Greater Mumbai. The bank was initially set up to help out Mill workers, Dock Workers, a few small shops and self employed persons. However, later it was decided that the bank would cater to the needs of the common people from all the sectors of society and changed its name to The Mahanagar Co-operative Bank Ltd. Thanks to the sustained and assiduous efforts over 43 years after its inception, the bank has gained a strong foundation in terms of its membership, resources, assets and profits. Today, the Bank has a total of 67 Branches and nonstop 12 hours service in 5 Branches and 52 ATM machines. Being a bank, by law, and regulations such as SEBI, we are required to store all our emails for a certain period of time. As such, before moving to Vaultastic, we used to backup all our emails on premise on local devices or USB’s. As we are a growing co-operative bank, the number of emails exchanged kept on increasing to a point that we were backing up mail onto one USB every week! In addition to the manual unproductive effort of procuring, attaching, mounting and copying email data from the server to a USB drive, we found it difficult to index and store so many USB drives at our local facility. This sort of storage system was not only cost ineffective, but was also putting the bank at a greater risk of data loss. With the volume of email growing and the number of backup devices growing week on week, we were finding it very difficult to access and restore old email Moreover we observed that the email bloat on the primary mail server was slowing down our user access to their primary mailboxes for day to day work. Our mail conversations and the content of the mails are often sensitive, and may need to be restored in the future in case of compliance or if an old customer case or situation needs to be brought up again. With our on premise backup solution, we also found it very difficult to restore these mails and look through any specific conversations. To help us manage our ever growing email data, we were on the look out for a solution that would provide easily scalable storage. Adding USB’s every week was becoming very ineffective and not economically feasible. We were also looking for a solution which was on cloud, as that it would be out of our premise, providing storage in a separate operational infrastructure, acting as a safe backup in case there was any downtime on our in premise servers. As the mails were being stored on USB’s, restoration of all the mails was almost impossible. We were therefore on a lookout for a solution that would help restore all our mails as well as give easy access to individual mails, which we could restore on a need basis. When we came across Vaultastic, we were happy to see the capabilities the solution had to offer, which was in line with all our requirements. We have been using Vaultastic for one year now and have been very satisfied with its functionality. The solution comes with unlimited storage, so we no longer need to worry about running out of space or dealing with storage management issues. Another very unique offering that Vaultastic has provided, is the ability for individual users to access their own archive accounts using the self service portal. With this individual access, our users can export selective or all mail from their own archive account that further helps them to perform a full mailbox or selective email recovery. Using ediscovery, our users are able to input various permutation and combinations to quickly find a particular or desired mail, helping us increase our efficiency and productivity, in terms of responding to our clients or compliance requests. There is no longer a fear of loss of information or the inability to retrieve the mail if there is a downtime on premise, as all the data is stored in a separate operational infrastructure on the cloud. I would highly recommend Vaultastic if you want to safely and conveniently store and retrieve mail. It is a true SaaS solution that requires no infrastructure, no manpower and no maintenance from the users end. With this I come to the end of my presentation. - Thank you for having me today, My name is Krishnan Mani, I am a solutions Architect with Amazon Web Services and I work closely with Mithi Software solutions, who are one of our trusted partners who provide a service to their end customers and leverage the services and infrastructure that Amazon Web Services provides to our many customers here in India as well as globally. So today I want to spend a little bit of time, maybe the next 10-12 minutes talking about a few of the aspects. You know just about, for example in terms of storage, the most critical aspect, in terms of email backup and archival is that Vaultastic makes a promise to their customers such as Mahanagar Bank that once a copy of an email is journaled and/or archived, with Vaultastic they can pretty much rest assured that this email, the data in that email will not be tampered with, it will never be lost and that it can be retrieved or searched for pretty much at any time in the future. SO for them to be able to make this promise, to their customers they need to make sure the building blocks they choose for the applications and the service that they have created can give them the similar guarantees in terms of the durability, the availability and the scalabitlity of the underlying services. On this slide if you see, typically a customer, end user has many uses for their data. IN the case of Vaultastic, we are talking specifically around backup, restore and recover as well as archive and of course with ediscovery you are also trying to maybe, you want to be able to retrieve critical email, you want to meet any regulate compliance requests and so on. So, if you look at the storage platform and solution that AWS provides like, I mentioned there are some building blocks that our customers can use when they create products and solutions like Vaultastic. So as far as storage is concerned, we have these services including Amazon S3 and Amazon Glacier, these are what are called object storage services. We also have other services such as Amazon EFS which is a shared file system service. We have block storage including Amazon EBS and EC2 instant store and then a number of other services such as Snowball, which Ashok spoke briefly about, where, when you want to transfer large volume of data, for example anywhere between 50-80TB of data, it is no longer sensible to rely on doing this over the internet. So the Snowball is a service which actually you can use in that scenario. With this background, I want to also talk a little bit about contrasting how the use of a service is fundamentally different from the use of a particular storage setup or storage that you may have created either on premise or in a data centre hosting that you may have chosen to run your applications in. So I want to talk a little bit about durability and S3 is one of the key services that the Vaultastic product uses as Ashok said, the Vaultastic product currently is receiving and saving close to 5Gb of data per second, which is a phenomenal data rate, and how do you achieve the durability so that the figure on the screen, I know that it is difficult to read this, but we refer to it as 11 9’s of durability. So when we say 11 9’s of durability, I understand that it can be difficult to comprehend, but so that you can make some sense of what this number means. What it means that if you storage let’s say 10,000 objects, so an object in S3, you can think of it roughly as a file, or a part of a file. So a file can become an object in S3. It can be a small object or a larger object. So when we say 11 9’s of durability, what is means statistically, is that if you were to store 10,000 objects or files in S3 then you can expect to lose maybe one object of those 10,000 in about One Crore years, that is what this number really means and that is the kind of expectation of Durability that Amazon tried to work towards. We are basically promising our customers. That we are investing in all of the engineering efforts and the infrastructure provisioning so that we can make sure that we fulfill this promise. Now I want to talk about why it is that only some services can give you this kind of durabilty and this level. What we see here is, on the right hand side what we see now, Let’s say you are operating on premise, which is where you might have begun with your operations and you are currently using some form of storage, in this case, let’s say tape storage. It has been established that with the best practice setup you can achieve something like 4 9’s of durability that means 99.99% durability. Now what do you do? You realise maybe this is not necessarily adequate, because you may have realised over a period of time that you tend to lose some data, because let’s say the tapes went bad or drives went bad or you could not trace where some data was backed up, so what you then do is, you add an additional offsite storage location, which means that every time you backup some data, you have a scheduled mechanism whereby a copy of that data is also stored in a separate location, maybe 50, 100, 200 miles away, so that it gives you a better chance to recover the data in case some of it is lost at one of the locations. Now it has been established again following best practices, this is only going to give you another incremental duarabilty, which is 5 9’s of durability, now going ahead, when we architected a service like S3 or Glacier, we are deliberately investing in the engineering behind this service, basically you are jumping from what you can achieve on premise, or what you can achieve on premise and off site copies and so on. However it can never give you the kind of durability that a service which is deliberately engineered to give you the quality can give you which is you are jumping directly from a 5 9’s to an 11 9’s kind of durability. How do we achieve this? So whenever a customer suggests, when the Vaultastic product is writing data to S3, as S3 receives objects, it is basically persisting copies of objects to multiple facilities within our data centres, and as part of this service we are constantly verifying that the integrity of the data n these multiple locations and as and when we upgrade our infrastructure as and when we attend to any hardware, software failures and as and when we upgrade our own software ans services, we take special steps to ensure that these number of good copies of your data continue to be maintained, continuous to be accessible to you at the service level that we are promising to customers. So these kinds of things, this can only be achieved only if you use a service concept, so if you think about it, Mahanagar Bank is providing banking services, Mahanagar Bank wants to focus on giving the best banking facilities to its customers They are relying on Vaultastic so that Vaultastic can focus on giving the best backup and archival services and in turn Vaultastic is relying on AWS and the S3 service and we in turn are focusing on giving you the best durability, availability and scalability. So in this increasingly complicated and fast moving world, we believe that this is the kind of model where we are all able to co-operate and work together and scale how we can best serve our customers. Here are some of the large users of this service on a global scale. Many of these companies and names you might be familiar with because they act as multinational corporations such as Philips. Little bit more around S3, so at this point in time, the S3 Service has been in operation for over a decade, we started sometime back in 2006, ever since then we have an increasing number of customers storing billions of objects, or you can think of objects as files and the data that we store in the service is growing rapidly, it is both durable and reliable. We are constantly looking to ensure hat it can provide high performance at a massive scale, so it never gets easier for us as you can see, as more and more customers with more and more data are adopting this service across the world. So for example, to talk about the performance, Mithi Software or Vaultastic never needs to do anything special as the amount of data that they are saving to S3 is growing every second. They don’t need to provision or request a particular storage amount or a rate at which they can read and write the storage, the service is designed in such a way that it can respond to increases in the rate at which the data is being read, the rate at which the data is being stored and so on. So we are doing this for Vaultastic and all our customers at a massive scale. In terms of Data transfer, what happens is that, the Vaultastic product actually uses our API’s for S3 and translates the operations that they perform to be able to save email or to discover email into the API operations, so this makes it easy and flexible, because you can test this. You can make sure that this works well, these operations can be monitored, so that both Vaultastic and us, we can basically ensure that we are able to meet the customer service requirements. S3 is secure by default, so every customer has a number of different options and that is available to them, so when you store objects in S3, the Vaultastic product and Mithi Software, they make decisions on a granular level, right down to a single object or file. They can determine who is allowed to read that data, who is allowed to write that data, who is allowed to even detect the presence of a particular file or object, so they are able to do this on a granular level across their customers, even when they are operating in a Software as a service fashion. SO in this way they can ensure that there is good isolation and they are able to assure each of their customers that their data will be maintained safely, maintained independently and that only the particular customer will have access to their corresponding data. S3 is gradually adding many different, new features as we innovate, so for example as of last year we have introduced a service whereby data can be queried in place. The reason why customers and you can start to take advantage of these innovations, going forward so that both the Vaultastic product and the end users can rely or find the new ways to take advantage of the rapidly increasing data. The challenge today for customers, once you have gone past the point of how do I store the data securely, once you have conquered that challenge, the next thing that you are thinking about is that, now how do I actually take advantage of all of the information that is, there is a wealth of information in this data. Also S3 is just one of the services that you can choose to use and it is integrated with an ecosystem of other AWS services at last count, over a 100 plus services including compute, networking, databases, analytics and so on as well as an ecosystem of partners just as Vaultastic and Mithi Software solutions, there are many other partners as well, who are building on top of the AWS cloud so that you can actually get more value out of this investment. So that was pretty much, basically I wanted to just try and talk a little bit about one of the key services that Vaultastic uses and if you have any questions, please do communicate that to Ashok and I will be happy to answer them later. Let me just run you through a few statistics that we have, As you can see on the screen right now, these are a few of our customers, apart from this, as I mentioned earlier, we are growing at approximately 5GB or rather ingesting approximately 5GB of data per second. We have a total of 500,000 plus users globally. Till date we have had zero reports of complaints of ransomware or malware for any of our solutions.
