Summar :y When Overture started its
India o ce in Bangalore, it
outsourced its leave and payroll
management to an agency. Over
time, with growing number of
employees, the HR team felt a need
for leave automation. This is because
the interaction with the agency was
highly people dependent and the
process too manual to keep pace
with increasing employee queries.
Being a people-centric company,
Overture wanted to set easy
work ows that would enable
automation of leave management
and its smooth administration in
house for quicker turn around.

employees and managers moved
away from emails to a cloud-based

Challenges
Outsourcing and month-end
work pile up
Outsourcing leave management to an
agency worked well when the India
operations for Overture kick started a
couple of years ago. It became
cumbersome when staff numbers
grew.
An employee had to query HR for
leave balance and then apply for
leave and, at times, follow up for
approvals.
The manager, with many other emails
to attend to every day, had to keep
track of leave application emails, take
necessary actions, and keep HR
informed.
At the end of every month the
Accounts team had to verify the leave
status of the employees and give the
data to the Payroll team.
This resulted in increased data
exchange between the HR team in
Bangalore and the agency on open
queries and pending leaves.
Therefore, the two-member HR team
felt a strong need for a simple system
that could automate these workflows
and reduce data transfer time. They
also wanted a system that was more
agile, people oriented, and self-
managed by employees and HR.
One of the main reasons of
looking out for a software
was to remove the people
dependency.

Overture chose the Leave module of greytHR for ease of use and quick online
transactions. This streamlined operations and provided a better climate for
employees to function optimally.
The leave workflow was automated and moved online to greytHR. Additionally, a
login access was given to the agency to log in and create reports and take
necessary leave data for payroll. Automated triggers between applicant and
approver replace manual emails and this is a great time saver for all
stakeholders. The number of employee queries and follow up on pending
leaves have also come down.
