2. Communication Plan Objective
● The objective of this communication plan is to inform
administrators, faculty, and students of the transition from
traditional classes to distance learning through this time of crisis
caused by the Covid 19 pandemic.
● To provide administrators, faculty, and students with a clear
understanding of why these changes are needed
● To present an action plan for targeted changes
● To inform administrators faculty and students of the process going
forward.
3. Target Audience
Administrators, faculty, and students are entering a time of
quick transition due to the COVID 19 crisis. We will be
transitioning to a distance learning online format for the
remainder of the semester.
4. How will we know?
● Administrators faculty and students will be kept informed
of important training dates, and updates via University
Email. Please check your email daily for important
information.
● All training for administrators, faculty, and students
will be done via Zoom in order to comply with the orders
to quarantine.
● The University’s computer labs will remain open during
regular hours of operation.

5. Training Times
● Faculty Training - faculty will be trained in several
areas.
○ 3/12/2020 learning the new software
○ 3/13/2020 Learn new ways to engage students
○ 3/14/2020 Learning how to create assessments for online learning
○ 3/15/2020 Collaboration for online learning
○ 3/16/2020 Effective communication with students in online learning
● Student Training
○ Students will be trained to use the new software through online
tutorials for Blackboard 3/12 -3/16/2020
6. Necessary Technology
● The software program being used is Blackboard
● Students and faculty will need computers, laptops,
tablets, or smartphone to access software
● Computer labs will remain open during regular business
hours at 25% capacity to accommodate those who do not
have access to technology at home.
● Each administrator, faculty member and student must be
assigned a University email 3/12/2020
7. Incentives
Faculty members will be stretched far and fast in order to
accommodate the changes necessary to transition to an online
learning format. In order to show appreciation and motivate
our faculty the University will provide the following
incentives:
● Monetary incentives
● Performance raises
● Employe bonuses
● Recognition certificates
● Extended lunches
8. Communication plan evaluation
Administrators, faculty, and staff will be given a
questionaire to complete to gain an understanding of whether
or not this was an effective plan to communicate the plan for
transitioning during this COVID 19 crisis.

Editor's Notes
The target audience for this communication plan are the administrators, faculty and students of Texas A&M University. These are the people who will be most affected by the change from a traditional classroom to an online learning format. In order for this to be a successful transition we will need for all those involved to work cooperatively. The transition will be a very quick turnaround, so, we will need for everyone to pay close attention to important dates and information that will help us to make this a smoothe transition.
The administrators, faculty and students will be informed by email about all upcoming trainings and any changes through their University email, and are encouraged to check email at least twice daily throughout the duration of this pandemic crisis. We will also be using the Zoom app to convene any meetings and group trainings. This is a convenient way to work together and also comply with the quarantine orders.
During this trying time employees must be made to feel valued. In order to demonstrate our appreciation we will be offering incentives in the monetary form. Those who perform well will be rewarded with raises after an evaluation process. Bonuses will be awarded to those who make extraordinary strides in making this a smooth transition. Faculty who are exceeding weekly expectations will be recognized in an email blast and in ZOOM collaboration, and the will be given a certificate of achievement.
