An electronic document management system
(EDMS) is a software system for organizing and
storing different kinds of documents. This type of
system is a more particular kind of document
management system, a more general type of
storage system that helps users to organize and
store paper or digital documents. EDMS refers
more specifically to a software system that handles
digital documents, rather than paper documents,
although in some instances, these systems may
also handle digital scanned versions of original
paper documents.
An electronic document management provides a
way to centrally store a large volume of digital
documents. Many of these systems also include
features for efficient document retrieval.

10. • Key Features and Benefits of CDE
Document Management
The CDE provides a centralized repository for all project information (drawings,
models, contracts, reports, schedules, tenders, and bid documentation).
It is a means to organize, access, retrieve and manage information at
any time, from anywhere, for all project participants.
Correspondence
Project communication in all forms (e.g., mail, drawings, models, revisions,
bids and tenders, contracts, RFIs, change orders) is managed centrally. All
communications and transactions are automatically tracked by time, user,
recipient and purpose.
11. BIM Collaboration
Many CDE tools provide a model viewer for IFC or native models. Some providers
also have developed plug ins for authoring software through which
models and plans can be directly uploaded from the modelling tool to the
CDE.
Workflow Management
Workflow management tools allow project members to create customized
workflows that reflect the way they work, capturing best practices and putting
them in place project-wide. This supports the management of all transactions
from plan submittals to contract administration, from document
reviews to handover.

Field apps for mobile devices can provide the model or plans on site, as well
as creating checklists and punch lists that transform the inspection process
by capturing, distributing and tracking defects and other issues in real time.

13. Handover to O&M
Subcontractors are typically required to submit their operations and maintenance
(O&M) information and as-built documentation in a standardized
format directly to the CDE as the asset is being built. This means that all
as-built and operational data is centrally and intelligently stored when the
project is completed.

14. 4. Who is responsible for establishing and managing CDE?
The standard clearly states that an appointing
party is responsible for establishing and
managing the Common Data Environment for
the whole project.
If project implements an outside solution, then
CDE should be the first signed contract in the
project. Ideally, appointing party should
establish CDE before issuing a tender.
The person responsible for keeping information
secure, updated, coherent and synchronized for
the project is ‘Information Manager’. Please do
not confuse with BIM coordinator, as an
Information Manager has no responsibility for
the design or model coordination.
