4. File Management Systems.
 A file management system is a software tool used for file maintenance operations.
 It is a type of software that manages data files in the computer system.
 Examples are Desktop, One drive, Laptops and Computers

 File management ensures that a computer is user-friendly, and
that you will be able to find data and information without
wasting time
 It allows users to name, organize and arrange files and folders
in a way that they are easy to find and distinguish.

7. Tips on effective file management
 When installing new programs, use the default installation folders.
 Save all your documents in the same root folder, such as music, pictures and videos
 Create subfolders within the same folder in order to distinguish between documents
 Name or rename your folders appropriately. When a folder is created, it will be named “New folder”
 File new documents as they are created. It will ensure that the document is in the correct folder and
can be found with more ease.

8. Tips continued…
 Remove old documents and folders as they can take up space and computers to become cluttered.
 To prevent this, you have to delete documents and folders that are no longer needed
 Make regular backups of important files, such as saving them on One Drive and this will prevent
you from losing any important information
