Duties & Responsibilities
1. Reporting directly to the Associate Executive Director of Nursing Services.
2. Arrange meeting appointments for the Associate Executive Director and to Directors of Clinical Nursing.
3. Receive all incoming documents through Enterprise Archiving and Tracking Solutions (EACTS), scan, file sorting and reduce size
(electronically) and appropriate dissemination.
4. Outgoing documents are property disseminated through Enterprise Archiving and Tracking Solutions (EACTS), scanning & onward
distribution either through inter-hospital mail or hand carry if urgent and confidential.
5. Established, maintained and enhance filing system to ensure efficient departmental operations.
6. Responsible in filing confidential documents and personal file of the Associate Executive Director and Directors of Clinical Nursing.
7. Take full responsibility in assuring that the Database (Master) of all Nursing Staff is updated.
8. Take and transcribe a variety of correspondence, agenda, reports, presentations and minutes meetings both intra and inter departmental
meetings. Assures that copies are circulated as required.
9. Prepares the following:
a. Departmental statistical reports with coordination of the concerned staff.
b. Assist in creation of departmental policies and procedures.
c. Assist in the creation of manuals required for policies and procedures, educational sessions.
d. All required support materials such handouts, slides, venue or location, audio visual equipment for the department’s educational
sessions i.e., lunchtime lectures, workshops etc.
e. All required documents are readied prior to intra and inter departmental meetings.
10. Assist in preparation of the Associate Executive Director’s vacations, transport requests and other personal documents which has to be
coordinated with the concerned department.
11. Monthly requests are being raised through the intranet system of departmental office supplies which are monitored or maintained at
adequate level.
12. Assist in resolving departmental personnel, administrative or other problems occurring on a day-to-day basis.
13. Supervise departmental secretarial/clerical personnel as required.
14. Other assignments:
a. Responsible for the maintenance of databases, physical filing and status updating on relative action of any case referred to;
i. Nursing and Pharmacy Committee.
ii. Nursing Management Board.
15. Back up support for other administrative staff when on leave to maintain basic office operation i.e., data encoding and statistical report
generation as required.
16. Minute taker during the JCI Mock Survey 2015
17. Oversight all activities and ensure flow of activities as scheduled.
