matching email address
Tracking Emails (2)
• Dynamic DSM users can track any email in their Outlook and associate it with any record
in their database
• This is done by selecting the Set Regarding button in Outlook
Multi-Client / Multi-Utility Security
Dynamic DSM is able to handle complex security scenarios. Below is an example – based on
Office A that manages multiple programs including Utility 1, Utility 2 and Utility 3.
• A set of users in a single office is able to manage multiple utilities and programs
• Another set of users will only access their own data (they will be permitted to see Utility
1 but not Utility 2 records)
• The evaluators will be able to view the programs they are permitted to see
• The utility employees will only access data relevant to their own utility
• Multiple levels of approvals can be created and managed
• Multiple levels of administrators can be created and managed
Screens can be designed to show different colors/images for different utilities so that users
don’t mix things up.
The foundational structure would allow for one team to easily support multiple programs
from a centralized office. Users would log in to a single database and have access to all
records from multiple programs to which they have access.
Features – Reports/Dashboards
Dashboards (1) – Overview
Dynamic DSM comes with several built-in Dashboards. See at a glance (on one page) all
the information you need to make key business decisions. Assemble and present
information from several places in the database in a quickly-read format—whether to use it
to work through your daily business processes or to get an overview of the status of your
business.
• Users are able to create or customize their own dashboards
• Users are able to share dashboards with other users as read-only or editable
• Users are able to create charts (pie, bar, column, line, funnel, etc.) for each dashboard
• Users are able to drill-down into any dashboard chart and view filtered results
• When charts are filtered, then the corresponding list view is also filtered
• These corresponding list views can be exported to excel as needed (depending on the
user’s permissions)
Dashboards (2) – Options & Flexibility
Dynamic DSM Dashboards contain multiple panels (i.e. views). Users have the flexibility to
have as many Dashboards as they want and combine various panels/views on their
Dashboards in order to optimize their job tasks. For example, if someone is focused on
Approvals for a few hours, they can switch to an Approval Dashboard with multiple
lists/types of required Approvals.
Once selected, any Dashboard can be configured to be Default Dashboard. The next time
the user logs in to the system, they will immediately see their Default Dashboard.
Dashboards (3) – Examples
Dynamic DSM – Dashboard Examples
Dashboards (4) – Corresponding Charts
Each List View in Dynamic DSM can show a set of charts for that module that allows for drill
down interaction. To show chart, click on the bar to the far right of the list view. By
hovering over portions of the chart, details appear in a tool tip
Reporting (1) – Options for Reports
Dynamic DSM’s foundation, Microsoft
Dynamics CRM comes with industry-leading
reporting functionality.
• Easily created, edited and shared
• Able to be auto-generated & emailed
• Sent to users per email

• Any list view can be exported to Excel
• Access to export data controlled by user security
• Excel reports can be created such that the Excel data will automatically refresh each
time the Excel file is opened
• Thus a report can be created for a customer, and every time the customer opens the
report they will see fresh, up to date, data
Export to Excel Options
• Static worksheets
• Pre-configure the data for reimport
• Dynamic pivot table
• Dynamic worksheets
Reporting (3) – Examples
For more report examples, please see the Reporting Appendix
Goal Management and Reporting
• Goals can be defined and compared against most
entities in Microsoft CRM
• Goals can be created for flexible time periods.
Combine smaller goals, such as for specific teams
or programs, into the overall goals for your
organization.
• Create a rollup of all the goals into the actuals that
show how you are tracking
• Goal reporting tracks the following factors
• Actual value
• Target value (including stretch target)
• Where should I be currently in order to hit
the target
• What is the in-progress amount based on
projects not yet complete
Dynamic DSM has the most simple, yet sophisticated, goal tracking management and
reporting in the CRM industry.
Role-based Forms and Views
Microsoft Dynamics CRM 2013 displays forms based on user roles. This role-tailored design
ensures that the business professionals in your organization have fast access to the relevant
information they need. Role-based forms also prevent users from viewing data that they
are not authorized to view.
Record Wall (similar to a Facebook Wall)
Dynamic DSM allows users to “follow” important/relevant records so that any/specific
updates to these records will appear on the user’s wall.
• Users can also view important/relevant updates on the record’s screen (for example, if 3
of the 15 milestones are important, then these 3 milestones can be auto-placed on the
record wall)
• Administrators can determine which events on any record are to be considered relevant
and thus auto-posted to the record wall
• The record wall can be configured/customized for most entities
• Users can post their own comments on the record or with respect to another post
Yammer Integration
Yammer is a very powerful collaboration tool. It is like the Record Wall – yet “On Steroids”.
It allows users to communicate/chat with both internal and external uses.
For example, a Dynamic DSM user can have a dialogue with a Trade Ally regarding a project
at a common customer. The Trade Ally would simply work in his Yammer window while the
Dynamic DSM user continues to work in the Tracking System.
Features – Programs
Multiple Programs & Types
Dynamic DSM is able to handle requirements for multiple Program Types. Examples include:
• C & I
• Residential
• RCx
• New Construction
• Studies
• Prescriptive

• Retail Lighting
• And much more…
Progress toward Goals is calculated and displayed in a
user-friendly manner.
• Targets are set manually.
• Actual data is rolled up.
• The difference is calculated.
Multiple Program Cycles
Dynamic DSM allows users to create multiple Program Cycles to represent Time Periods
under specific Program. This allows more specific reporting information to roll up from
individual measures. Progress toward Goals are calculated and displayed in a user-friendly
manner:
• Targets are set manually.
• Actual data is rolled up.
• The difference is calculated.
Durations Comparison: Target vs Actual
Each project in Dynamic DSM is required to have a Milestone Track
• Milestone Tracks are related to Programs
• Each Milestone in a Milestone Track has a default duration
• Actual Numbers are rolled up as averages from Projects in a Program Cycle (& Program)
• Difference is calculated
• Report can be generated by user as needed
• Durations Comparisons can also be tracked for entire Milestone Tracks.
Dynamic DSM provides the ability to manage Residential and Multi-Family Programs
• Automated Upload of Projects
• Manage multiple Units within a Site
• Manage Master-Projects and Sub-Projects
• Ability to automate the creation of multiple pre-defined Measures
• Ability to track the following data for individual Measures/Units on a Multi-Family
project: Offer Date, Commit Date, Install Date, Cancel Date, Cancel Reason, Units
• Implementation of Dispatch & Scheduling module
• Coordination with Pre-Audit Report
• Coordination with Inventory Module
• High Speed Project creation:
• Fast Milestone Tracks (3 steps)
• Editable Measure Grid
• Ability to create multiple predefined Measures with a single button
• Ability to auto-approve Projects based on configurable rules
Residential/Multi-Family Module
Features – Companies
Company Management (1) – Overview
Dynamic DSM
contains a Company
module
Companies can be
Parents or Sub-
Accounts of other
Company records.
Company Management (2) – Screens
Companies have relationships to Sites and Contacts
Company Management (3) – Data Rollups
• Rollup of all key data related to each Company
• Includes Sites, Projects, Measures, Financials and field summary
• Ability to export that list to Excel for further reporting
• Ability to select a Site – thus filtering to view only related Projects/Measures/Financials
• Ability to select a Project– thus filtering to view only related Measures/Financials
Features – Trade Allies
Trade Ally Management (1) - Overview
Dynamic DSM contains a Trade Ally module (this is a feature of the Company module)
• Can relate to Companies as a child record
• Can relate to Site records as a parent
• Contacts can be created under the Trade Ally
• Can have “Connections” with any other record in the database – including Companies,
Sites, Projects, Measures, Financials, Contacts, etc.
• Relate Activities (Tasks, Calls, Meetings, Emails, etc.) with Trade Allies
Trade Ally Management (2) – Data Rollups
Rollup of all key data worked on by a Trade Ally (including prominent fields/data). Ability to
export that list to Excel for further reporting.
• Sites
• Projects
• Measures
• Financials
Features – Sites / Facilities
Sites / Facilities (1) – Screens & Navigation
Dynamic DSM contains a Sites module. Sites typically represent the unique Accounts at a
Utility. Generally the Account Number or Premise Number is a Unique ID for each customer.
Payees can be selected for each Site.
The purpose of the Payee Info is to allow users to auto-
populate Project Financials by selecting a Site record.
Sites / Facilities (2) – Rollup Sub-Records
• Sites can be parents of other Site records
• Sites can have “Connections” with any other record in the database – including Trade
Allies, Companies, Sites, Projects, Measures, Financials, Contacts, etc.
• Rollup of all key data related to each Site (including prominent fields/data) and ability to
export that list to Excel for further reporting (Projects, Measures, Financials)
• Usage Data rolls up from Meters associated with that Site
• Ability to select a Project– thus filtering to view only related Measures/Financials
Sites / Facilities (3) – Opting Out
Sites have the ability to Opt-Out. This can occur through various methods…from the
Company (parent) record or from the Site record. Once opted-out, such records are
visually flagged so that users are unable to create projects from these Sites.
Sites / Facilities (4) – Managing Units
Dynamic DSM allows users to view and manage Units. Units are sub-records to Sites. For
example, an apartment building might have multiple Units or a common area as child
records.
• Each Site can contain one or more Meters. Meter data rolls up to the Site.
• Each Meter can contain one or more Readings. When readings are uploaded, they will
roll up to the Meter which will in turn roll up to the Site.
• This gives analytics for the purpose of locating and targeting “high potential” sites for
business development.
Sites / Facilities (5) – Usage Data
Features - Projects
Projects (1) – Overview / Navigation
Dynamic DSM contains a flexible, powerful Projects module.
• Projects can have Sub-Projects related to them
• Projects can have “Connections” with any other record in the
database – including Companies, Trade Allies, Sites, Projects,
Measures, Financials, Contacts, etc.
• Rollup of all key data related to each Project (including prominent
fields/data). Ability to export that list to Excel for further reporting:
Sites, Projects, Measures, Financials
Simple Navigation
• Navigation Bar – Quick links to each Project section/sub-grid
• Forward & Backward buttons to navigate through Projects,
Measures, Financials, Sites, Companies, Trade Allies, Contacts, etc.
Projects (2) – Milestones
Projects are moved forward in the business process via the Milestone workflow engine.
• Each Project consists of 6 Phases
(Initial Estimate, Pre-Commit, Committed, Installed, Completed, Discontinued)
• Each Project consists of multiple, configurable States (e.g. standard status types are
1-application, 2-study, 3- Pre-Commit, 4-committed, 5-installed, 6-payment pending,
7-completed)
• Each Project consists of multiple Milestones (short tracks might consist of 3-7
Milestones, while long tracks might consist of up to 30 Milestones)
Projects (2b) – Milestones
• The Milestone configuration engine is completely flexible and customizable
• Milestones are connected to Measures such that when a Milestone triggers moving the
Project from the Pre-Commit to the Committed Phase, then all the Pre-Committed
Measure data is frozen and then copied into the Committed section
• The user is now able to edit the Committed data but not able to edit the Pre-
Commit data
• This same logic takes place when moving from Committed into Installed
• Flexible Security on Measures based on Milestone status (see above point)
• Milestones determine which Queue the Project is placed in
Adding Milestones – Ad Hoc
At times users need to be able to add
Milestones directly into an existing
Milestone Track. For example, a Random
Inspection might be needed between
Milestone Steps 8 and 9 of an existing
Project. In this case the user simply hits
the “Add Milestone” button and is
provided a list of Milestones (or
Milestone Sets) that are available to be
inserted. User permissions help
determine whether a user has the rights
to add Milestones. The user then selects
“Random Pre-Inspection”, and the
system adds this step into the
appropriate slot – and then recalculates
all Target Dates.
Projects (3) – Forecasting
Project Milestones allow for detailed Forecasting.
• Each Milestone contains predetermined durations
• Each time an Actual End date for a Milestone is entered, Milestone Track is recalculated
and the Target Start date and Target End date for each Milestone are accordingly
adjusted
• Users are also able to manually override each Target date by manually adjusting the
Estimated End date any Milestone which then recalculates Target Dates on future
Milestone Steps
• Initial Estimate – These are manually editable fields on the Project Summary Screen.
Their purpose is to allow users to estimate Savings and Incentive values before the
Measures are known. They roll into the Pre-Commit Phase. When Measures are added
to the system, then the Initial Estimates are overwritten by these “real numbers”. In this
way, the system allows for the estimation of potential projects.
Projects (3b) – Forecasting
• Methodology empowers users to immediately view the Target date and month for the
following:
• Initial Pre-Commit Date target
• Initial Commitment Date target
• Initial Installation Date target
• These dates allow forecasting for Committed and Installed numbers for each month—
enabling easy reports for the Utility at where each Program resides
Projects (4) – Queues (Auto-Assign Tasks)
Dynamic DSM uses Queues to ensure that “the ball never gets dropped”.
• Each Milestone step is assigned to a Responsible team
• Users in the database can be members of one or more teams
• When a Milestone moves forward, the Queues of each member of the Responsible
team will be updated.
Projects (4b) – Queues & Views
• Users can view their Queue items within their Dashboard or within their Queue views
• Each Queue item includes a hyperlink to the Project that is ready to be moved forward
• When a user updates that Project by moving the Milestone forward, the item will be
removed from their Queue and appear on the Queue for the next Responsible team
• Since the Utility client is also a user in the system, their dashboard will alert them when
a Project is ready for approval (the user can then go in and approve their Milestone and
thus move the Project forward)
• Security roles prevent another user from completing a Milestone for which they are not
a member of that Responsible team
• Option for automated email alerts to be sent whenever a Project appears in a team’s
Queue
Projects (5) – Approvals/Skips
Dynamic DSM contains an advanced Approval Management methodology that is built
directly into the Queue Management system.
• Multiple Approval levels can be configured
Projects (5b) – Approvals/Skips
• A User can only complete their assigned Milestone if they are a member of the current
Responsible team
• Once a user has approved a Milestone (for example Approval Level 1), then the Project
will move into the next Milestone (for example Approval Level 2) if the dollar amount
passes a specified threshold (for example $10,000)—otherwise it skips additional
Approval Levels at that point
• In cases where it falls below the threshold and doesn’t require further Approval this
Milestone is not necessary and the following takes place:
• This Milestone’s Actual End date is filled in with the date from the previous
Milestone’s Actual End date
• This Milestone’s Skip field is checked (check box) automatically
• The Project moves forward to the next Milestone—the proper Queue is triggered
Projects (6) – Summary Fields
Dynamic DSM contains numerous Summary fields so the User can easily ascertain the
current progress as well as the pending steps for each Project.
• Current Phase (Pre-Commit, Committed, Installed, Completed, Discontinued)
• Completed Milestone and Pending Milestone
• Target Date for the Pending Milestone (which allows users to easily create reports to
show any overdue Projects)
• Responsible team
When Milestones move forward, many of these fields will be automatically updated:
Project Status, Pending Milestone, Responsible, Pending Milestone Actual Start, and
Pending Milestone Target End.
Cost Cap: This field indicates whether or not this Project has a Cost Cap.
Projects (7) – Measure Fields
Dynamic DSM contains numerous Measure Summary fields so the User can easily see at all
times the current progress as well as the pending steps for each Project.
• Current Phase (Pre-Commit, Committed, Installed)
• Measure Summary data
• Savings kWh, Savings KW, Savings thm, Savings CCF
• Incentive Total
• Project Costs
• Incremental Installed Costs
The Measure Summary fields are not editable; they contain summed data from related
Measures. Rollups for Measures contain Pre-Commit, Committed and Installed data.
Projects (8) – Adding Measures
Dynamic DSM allows users to easily add unlimited number of Measures to each Project.
These measures must first be uploaded into the Measure Templates.
Projects (8b) –Add Measures Quickly
Dynamic DSM provides an Inline Editor for Measures. The idea is to avoid having to open
up the Measure screen, edit, and hit Save and Close.
• Users can add Multiple Measures with the click of a button
• Measures can be quickly selected by entering the number or hitting the selector button
• Users can edit the required fields within the grid view (similar to editing in Excel)
• Most importantly, once a user is within this screen, they can use keyboard strokes
throughout the process of adding measures - without ever touching the mouse again
• In this way, users can easily add up to 6 Measures per minute. The entire process is
extremely fast and therefore useful for programs with high volume
Projects (9) –Reporting Fields
Dynamic DSM contains numerous Reporting fields so the User can easily see at all times
the current KPIs and thus easily create their own reports.
• The main purpose of these fields is to provide quick insight into each project as well as
be able to quickly create Project reports without being forced to aggregate data from
the Measure level or Financials level
• There are currently over such 25 fields
Projects (10) –Detailed Job Cost Summary
Dynamic DSM allows users to create detailed Project Cost reports
• Project based
• Measure based
• Trade Ally based
Projects (11) – Site Fields
Dynamic DSM contains a view of Site and Company Information
• Site data of the parent Site for each company is displayed
• These fields are read only and cannot be edited from the Project Record
• These fields can be included in Project level reports
• These fields are viewed in iFrame format and can thus be edited by an
Administrator/Developer
Projects (12) – Record Wall
Each Project record contains a Record Wall where the latest information and most relevant
(as defined by the administrator) data can be auto-updated and easily found.
Any user can “follow” a
record and thus have this
Project appear on their
own “What’s New” wall
– similar to viewing a
Facebook “Status Update”
wall.
Projects (13) – Random Inspections
At times Random Inspections are required. Dynamic DSM provides the ability to assign and
complete Random Inspections.
• Assigned Date
• Completed Date
• Completed By
• Result (Drop Down list: Pass, Fail)
Projects (14) – On Hold
At times, Projects need to be placed On Hold. Dynamic DSM provides the ability to
temporarily place a Project On Hold.
• Checking this box changes the Status of the Project to “On Hold”
• To remove a project from “On Hold”, the user must simply update a Milestone
Other Projects need to be Discontinued.
• When discontinuing a Project, the user is required to select a reason from the drop
down list
• The Discontinued Date automatically populates once the reason is selected
• The user can also enter comments/notes regarding the discontinuation
Projects (15) – Project Numbering
Dynamic DSM is able to provide multiple options for numbering Projects
• The customer has flexibility in choosing how to number projects
• The typical method is to concatenate the following:
• Auto-incrementing a numeric value
• First initial of the Program Type
• First 20 letters of the Site
Project (16) – Key Contacts
Dynamic DSM provides several special Contact relationships for each Project.
When a Project is created from a Site record, the Primary Contact copies over from Site.
The user is able to add this contact’s information (incl. Phone, Address, Email, etc.) to a
Project level report.
When a Trade Ally Contact is selected, the Trade Ally (company) field is populated by the
Company record related to that Trade Ally contact. The Trade Ally company is then linked
to every associated Measure (unless that particular Measure already has a Trade Ally
association).
Features - Measures
Measures (1) – Measure Templates
Dynamic DSM provides an entity for Measure Templates. There is no “official” limit to the
number of fields that can be added to each template.
• Measures that are added here can be flagged to automatically appear in the Selection
window (typically new measures are flagged for this selection)
• Measures can also remain in the database as Templates yet be removed from the
Selection process (his is typically done when a Measure is no longer needed for the
upcoming Program Year)
• In those cases, it is advised to keep the old Measure Template for evaluation purposes
yet remove it from the selection window
Measures (1b) – Templates (Deemed Data)
Dynamic DSM houses deemed data in the Measure Templates.
• When Projects Measures are created and Measure Templates are selected, the deemed
values in the Measure Templates are copied over from the Template into the live
Measure
• This ensures that the deemed values are properly entered – by avoiding user error
Measures (2) – Ability to Add Templates
Dynamic DSM provides the ability for database administrators to add their own Measures.
• A template (Excel format) is provided – and must be filled in by a trained administrator
• Once filled in, the administrator is provided upload permissions
• The entire process is simple, such that an admin can upload a new measure in a matter
of minutes
Dynamic DSM contains 4 types of Measure Calculators
The Measure Calculation Type determines three things:
a) Field Security - - i.e. is a field editable or not?
b) Calculation - - i.e. is a field calculated by the system or not?
c) Override - - i.e. can the Savings or Incentive data be overwritten or not?
Since all fields on “O” Measures are manually entered, the user must pay special attention
to filling in the following fields – for reporting purposes:
a) Incentive Electric (Sub-total of all Electric Incentive Amounts)
b) Incentive Gas (Sub-total of all Gas Incentive Amounts)
c) Incentive Total
Measures (3) – Flexible Calculations (SUTO)
Measures (4) – Flexible Measure Selection
Dynamic DSM provides multiple ways to select Measures:
• Select the Add New Measure button and Double-Click on the desired Measure Template
• Users can also change the view in order to see a more limited list
• Users can also simply Type in their Measure Number
• Once selected, the Measures auto-populate from the Measure Template.
Measures (4b) – Flexible Measure Selection
Dynamic DSM provides a complete view of all Measure Template fields – so that a user can
be completely sure of all field values before selecting a measure.
Select the view “Active Measure Templates ALL COLUMNS”. This allows you to scroll left
and right and view all the fields within the Measure Templates if needed.
Measures (5) – Measure Screens & Fields
The Measure screens are very flexible
The user can select the Trade Ally related to a specific Measure. This creates a link to that
Trade Ally—and allows one to go to the Trade Ally and see all Measures linked to it.
Note: If none is selected, then the Project level Trade Ally will auto-populate into this field.
Measure Costs provide several options.
• Cost Breakdown – The Total Cost field sums up from the other Cost fields (such as Labor,
Disposal, Equipment, etc.)
• The user is able to manually override the Total Cost field
• The Total Cost field sums up to the Project Summary
• The Incremental Cost field sums up to the Project Incremental Cost field
Measures (6) – Measure Costs
Measures (7) – Tracking by Phase
Dynamic DSM breaks all Measure KPI values into 3 phases: Pre-Commit, Committed,
Installed
• When the Project is moved into the Committed Phase, the Measure window
automatically displays the Committed tab, while the Pre-Commit and Installed tabs are
collapsed. The user is now able to edit the Committed data (that has been copied from
the Installed fields)
• The same logic takes place when moving from Committed to Installed
• This allows for the evaluation of Project transition by keeping a snapshot of the values
for each phase
Measures (8) – Security
Dynamic DSM provides conditional field level security based on the Project Phase.
Show/Hide functionality is also built into the logic of the system. Users are only shown
relevant data.
• The Committed and Installed data is collapsed when the Project Phase is Pre-Commit.
• The user is able to manually show the Committed and Installed fields by clicking on the
header of each tab
• When the Project moves from Pre-Commit to Committed, (a) the Pre-Commit values get
copied into the Committed fields and (b) the Pre-Commit fields are no longer editable
Measures (9) – Manual Override
At times, Projects & Measures need to be manually edited – even after being locked down.
The Skeleton Key function allows specified administrators to make such manual edits.
Measures (10) – Reporting Fields (Current)
In order to simplify the creation of Measure level reports, Dynamic DSM contains multiple
reporting fields that represent the current data – regardless of Project Phase. These are
found under “Current Totals” on the Measure screen.
Measures (11) – Relationship to Financials
Dynamic DSM is designed to update Financial
records based on Measure totals at specific time
periods in the life cycle of a Project.
• Performance Payment Amounts are triggered
when a Project is “Committed”
• The Committed Performance Payment is
adjusted if necessary – based on NTG
revisions that have taken place after the
Project became “Committed”
• Performance Payment Amounts are triggered
when a Project is “Installed” (Amount factors
in both of the above Amounts)
• The Installed Performance Payment is
adjusted if necessary – based on NTG
revisions that have taken place after the
Project became “Installed”
Measures (12) – Relationship to Trade Ally
Dynamic DSM is designed to
allow each Measure to be
related to a Trade Ally. The
Trade Ally can be selected in
one of two ways.
• Copied over from Trade Ally
selection on the Project
• Manually selected at the
Measure level.
In this way, different Measures
on a Project can rollup to
different Trade Ally records.
Measures (13) – Editable Grid
One of the most highly requested features has been an Editable Subgrid for Measures – on
the Projects screen.
Not only do we have this, it can be managed exclusively via Keyboard Clicks (rather than
requiring additional Mouse Clicks throughout). The goal of this feature is to increase the
speed (and reduce the time) for data entry. Features include:
• Grouping of Header fields by Category
• Immediate update of screen data based on calculations
• Automatic resorting of Fields based on Phase (For example, the screen below shows the
3. Installed fields BECAUSE my current project phase is 3. Installed).
• Numerous time-saving Keyboard shortcuts
Features - Financials
Financials (1) – Related to Projects
Dynamic DSM contains a flexible Financial module – as a sub-entity to each Project. These
Financial records will roll up to the following records:
• Site of the Project
• Parent Company of the Project
• Trade Ally of the Project
There are multiple Financial Types and Disbursement Types
Financials (2) – Screen & Fields
Dynamic DSM contains a flexible set of Financial Stages as well as Financial data and Payee
info.
Financials (3) – Payee
Dynamic DSM provides the ability to select and relate the Payee. This takes a snapshot of
current Payee data and copies it to the Financial record. To select a payee, hit the button
“Who Gets Paid”.
• Users have 3 options to select for “Who Gets Paid”:
Customer, Trade Ally, and [Customizable]
• If you select Trade Ally or Customer, you will need to hit the selector button in order to
choose the specific record
• Once selected, the Payee Information fields on the Financial will be auto-populated from
this selected record
• Payee Information is used for the Check Request file that gets sent to the financial
institution (i.e. Citibank)
Financials (4) – Calculated Incentive
The Calculated Incentive Amount field is not editable. It is determined by a formula that
factors in the “moving target” of NTG (net-to-gross) values. If a Financial is calculated on the
basis of the previous year’s NTG, and the NTG has an increase this year, then an adjustment
payment may be required to cover the difference.
The user must manually enter the Actual Incentive Amount in order for a payment to occur.
The Calculated Amount Data tab contains more detailed information such as Program Year
and NTG rate.
Financials (5) – Financial Stages
Financials are built on a flexible set of Stages with the following fields:
• Stage Name
• Target Start Date
• Actual Start Date
• Target End Date
• Duration
• Actual End Date
Financials (6) – Check Request File
The Check Request File can be generated from the system. Currently, the user goes through
the following steps:
• Each Financial must have a specific set of criteria fulfilled
• Users can then view the Check Request view in Dynamic DSM and export this to Excel
• Users then apply the Dynamic DSM macro to produce the desired report
• The format of the report is TXT Fixed Width
• The user uploads the file to Citibank
Financials (7) – Project Completion
In Dynamic DSM, Projects are completed from the associated Financial records.
• Although a Project can contain numerous Financials, only a pre-designated Financial
provides the ability to complete a Project
• The Milestone Track determines which Financial completes a Project
• Only specified users have the permission to complete Projects
• Completing a Project results in a number of Fields being automatically locked to preserve
data integrity
Financials (8) – Detailed Payment Tracking
Because all the fields are properly placed, users are able to create detailed Payment Tracking
Reports as needed:
• Invoices
• Payments
• By Disbursement Type
Financials (9) – Editable Grid
The editable Subgrid for Financials can be managed exclusively via Keyboard Clicks (rather
than requiring additional Mouse Clicks throughout). The goal of this feature is to increase
the speed (and reduce the time) for data entry. Features include:
• Grouping of Header fields by Category (e.g. 1. Check Requested)
• Immediate update of screen data based on calculations

activities, and where the Microsoft Dynamics ERP system is used to perform accounting
functions.
Dynamic DSM is thus able to synchronize data with:
• Microsoft Dynamics AX
• Microsoft Dynamics GP
• Microsoft Dynamics NAV
• Microsoft Dynamics SL
• Microsoft Dynamics CRM
Data Updates from External Systems
Dynamic DSM is able to easily perform daily updates from external systems.
Typical synchronization methodology is to (a) regularly update predetermined fields and
then (b) allow the user to choose if this data is “better” than the existing data in the system.
• Nightly batch update (from SAP, for example)
• This data updates the “SAP” fields in the system
• The users sees both the system fields AND the “SAP” fields
• The user is able to easily see which fields are different
(because the system flags the differences via field color)
• The user has the option to hit the button “Update from Source”
• This will then overwrite the system data
SharePoint Integration
Dynamic DSM provides the ability for users to integrate with SharePoint. In 2014 Microsoft
greatly simplified the integration between CRM Online and SharePoint Online managed
within Microsoft Dynamics CRM Online. Customers of Dynamics CRM Online and
SharePoint Online will no longer need to install and configure the CRM List Component to
enable the Document Management integration. An Alert is shown in CRM notifying CRM
Administrators when Server-based SharePoint Integration is not enabled (similar to Outlook
Client install notification).

  • 11. Tracking Emails (2) • Dynamic DSM users can track any email in their Outlook and associate it with any record in their database • This is done by selecting the Set Regarding button in Outlook
  • 12. Multi-Client / Multi-Utility Security Dynamic DSM is able to handle complex security scenarios. Below is an example – based on Office A that manages multiple programs including Utility 1, Utility 2 and Utility 3. • A set of users in a single office is able to manage multiple utilities and programs • Another set of users will only access their own data (they will be permitted to see Utility 1 but not Utility 2 records) • The evaluators will be able to view the programs they are permitted to see • The utility employees will only access data relevant to their own utility • Multiple levels of approvals can be created and managed • Multiple levels of administrators can be created and managed Screens can be designed to show different colors/images for different utilities so that users don’t mix things up. The foundational structure would allow for one team to easily support multiple programs from a centralized office. Users would log in to a single database and have access to all records from multiple programs to which they have access.
  • 14. Dashboards (1) – Overview Dynamic DSM comes with several built-in Dashboards. See at a glance (on one page) all the information you need to make key business decisions. Assemble and present information from several places in the database in a quickly-read format—whether to use it to work through your daily business processes or to get an overview of the status of your business. • Users are able to create or customize their own dashboards • Users are able to share dashboards with other users as read-only or editable • Users are able to create charts (pie, bar, column, line, funnel, etc.) for each dashboard • Users are able to drill-down into any dashboard chart and view filtered results • When charts are filtered, then the corresponding list view is also filtered • These corresponding list views can be exported to excel as needed (depending on the user’s permissions)
  • 15. Dashboards (2) – Options & Flexibility Dynamic DSM Dashboards contain multiple panels (i.e. views). Users have the flexibility to have as many Dashboards as they want and combine various panels/views on their Dashboards in order to optimize their job tasks. For example, if someone is focused on Approvals for a few hours, they can switch to an Approval Dashboard with multiple lists/types of required Approvals. Once selected, any Dashboard can be configured to be Default Dashboard. The next time the user logs in to the system, they will immediately see their Default Dashboard.
  • 16. Dashboards (3) – Examples Dynamic DSM – Dashboard Examples
  • 17. Dashboards (4) – Corresponding Charts Each List View in Dynamic DSM can show a set of charts for that module that allows for drill down interaction. To show chart, click on the bar to the far right of the list view. By hovering over portions of the chart, details appear in a tool tip
  • 18. Reporting (1) – Options for Reports Dynamic DSM’s foundation, Microsoft Dynamics CRM comes with industry-leading reporting functionality. • Easily created, edited and shared • Able to be auto-generated & emailed • Sent to users per email • Built with Boolean logic/filters • Results can be printed to PDF • Filters can be edited on the fly
  • 19. Reporting (2) – Export to Excel Export to Excel Reporting • Any list view can be exported to Excel • Access to export data controlled by user security • Excel reports can be created such that the Excel data will automatically refresh each time the Excel file is opened • Thus a report can be created for a customer, and every time the customer opens the report they will see fresh, up to date, data Export to Excel Options • Static worksheets • Pre-configure the data for reimport • Dynamic pivot table • Dynamic worksheets
  • 20. Reporting (3) – Examples For more report examples, please see the Reporting Appendix
  • 21. Goal Management and Reporting • Goals can be defined and compared against most entities in Microsoft CRM • Goals can be created for flexible time periods. Combine smaller goals, such as for specific teams or programs, into the overall goals for your organization. • Create a rollup of all the goals into the actuals that show how you are tracking • Goal reporting tracks the following factors • Actual value • Target value (including stretch target) • Where should I be currently in order to hit the target • What is the in-progress amount based on projects not yet complete Dynamic DSM has the most simple, yet sophisticated, goal tracking management and reporting in the CRM industry.
  • 22. Role-based Forms and Views Microsoft Dynamics CRM 2013 displays forms based on user roles. This role-tailored design ensures that the business professionals in your organization have fast access to the relevant information they need. Role-based forms also prevent users from viewing data that they are not authorized to view.
  • 23. Record Wall (similar to a Facebook Wall) Dynamic DSM allows users to “follow” important/relevant records so that any/specific updates to these records will appear on the user’s wall. • Users can also view important/relevant updates on the record’s screen (for example, if 3 of the 15 milestones are important, then these 3 milestones can be auto-placed on the record wall) • Administrators can determine which events on any record are to be considered relevant and thus auto-posted to the record wall • The record wall can be configured/customized for most entities • Users can post their own comments on the record or with respect to another post
  • 24. Yammer Integration Yammer is a very powerful collaboration tool. It is like the Record Wall – yet “On Steroids”. It allows users to communicate/chat with both internal and external uses. For example, a Dynamic DSM user can have a dialogue with a Trade Ally regarding a project at a common customer. The Trade Ally would simply work in his Yammer window while the Dynamic DSM user continues to work in the Tracking System.
  • 26. Multiple Programs & Types Dynamic DSM is able to handle requirements for multiple Program Types. Examples include: • C & I • Residential • RCx • New Construction • Studies • Prescriptive • Custom • Commercial Lighting • Weatherization • Industrial • Retail Lighting • And much more… Progress toward Goals is calculated and displayed in a user-friendly manner. • Targets are set manually. • Actual data is rolled up. • The difference is calculated.
  • 27. Multiple Program Cycles Dynamic DSM allows users to create multiple Program Cycles to represent Time Periods under specific Program. This allows more specific reporting information to roll up from individual measures. Progress toward Goals are calculated and displayed in a user-friendly manner: • Targets are set manually. • Actual data is rolled up. • The difference is calculated.
  • 28. Durations Comparison: Target vs Actual Each project in Dynamic DSM is required to have a Milestone Track • Milestone Tracks are related to Programs • Each Milestone in a Milestone Track has a default duration • Actual Numbers are rolled up as averages from Projects in a Program Cycle (& Program) • Difference is calculated • Report can be generated by user as needed • Durations Comparisons can also be tracked for entire Milestone Tracks.
  • 29. Dynamic DSM provides the ability to manage Residential and Multi-Family Programs • Automated Upload of Projects • Manage multiple Units within a Site • Manage Master-Projects and Sub-Projects • Ability to automate the creation of multiple pre-defined Measures • Ability to track the following data for individual Measures/Units on a Multi-Family project: Offer Date, Commit Date, Install Date, Cancel Date, Cancel Reason, Units • Implementation of Dispatch & Scheduling module • Coordination with Pre-Audit Report • Coordination with Inventory Module • High Speed Project creation: • Fast Milestone Tracks (3 steps) • Editable Measure Grid • Ability to create multiple predefined Measures with a single button • Ability to auto-approve Projects based on configurable rules Residential/Multi-Family Module
  • 31. Company Management (1) – Overview Dynamic DSM contains a Company module Companies can be Parents or Sub- Accounts of other Company records.
  • 32. Company Management (2) – Screens Companies have relationships to Sites and Contacts
  • 33. Company Management (3) – Data Rollups • Rollup of all key data related to each Company • Includes Sites, Projects, Measures, Financials and field summary • Ability to export that list to Excel for further reporting • Ability to select a Site – thus filtering to view only related Projects/Measures/Financials • Ability to select a Project– thus filtering to view only related Measures/Financials
  • 35. Trade Ally Management (1) - Overview Dynamic DSM contains a Trade Ally module (this is a feature of the Company module) • Can relate to Companies as a child record • Can relate to Site records as a parent • Contacts can be created under the Trade Ally • Can have “Connections” with any other record in the database – including Companies, Sites, Projects, Measures, Financials, Contacts, etc. • Relate Activities (Tasks, Calls, Meetings, Emails, etc.) with Trade Allies
  • 36. Trade Ally Management (2) – Data Rollups Rollup of all key data worked on by a Trade Ally (including prominent fields/data). Ability to export that list to Excel for further reporting. • Sites • Projects • Measures • Financials
  • 37. Features – Sites / Facilities
  • 38. Sites / Facilities (1) – Screens & Navigation Dynamic DSM contains a Sites module. Sites typically represent the unique Accounts at a Utility. Generally the Account Number or Premise Number is a Unique ID for each customer. Payees can be selected for each Site. The purpose of the Payee Info is to allow users to auto- populate Project Financials by selecting a Site record.
  • 39. Sites / Facilities (2) – Rollup Sub-Records • Sites can be parents of other Site records • Sites can have “Connections” with any other record in the database – including Trade Allies, Companies, Sites, Projects, Measures, Financials, Contacts, etc. • Rollup of all key data related to each Site (including prominent fields/data) and ability to export that list to Excel for further reporting (Projects, Measures, Financials) • Usage Data rolls up from Meters associated with that Site • Ability to select a Project– thus filtering to view only related Measures/Financials
  • 40. Sites / Facilities (3) – Opting Out Sites have the ability to Opt-Out. This can occur through various methods…from the Company (parent) record or from the Site record. Once opted-out, such records are visually flagged so that users are unable to create projects from these Sites.
  • 41. Sites / Facilities (4) – Managing Units Dynamic DSM allows users to view and manage Units. Units are sub-records to Sites. For example, an apartment building might have multiple Units or a common area as child records.
  • 42. • Each Site can contain one or more Meters. Meter data rolls up to the Site. • Each Meter can contain one or more Readings. When readings are uploaded, they will roll up to the Meter which will in turn roll up to the Site. • This gives analytics for the purpose of locating and targeting “high potential” sites for business development. Sites / Facilities (5) – Usage Data
  • 44. Projects (1) – Overview / Navigation Dynamic DSM contains a flexible, powerful Projects module. • Projects can have Sub-Projects related to them • Projects can have “Connections” with any other record in the database – including Companies, Trade Allies, Sites, Projects, Measures, Financials, Contacts, etc. • Rollup of all key data related to each Project (including prominent fields/data). Ability to export that list to Excel for further reporting: Sites, Projects, Measures, Financials Simple Navigation • Navigation Bar – Quick links to each Project section/sub-grid • Forward & Backward buttons to navigate through Projects, Measures, Financials, Sites, Companies, Trade Allies, Contacts, etc.
  • 45. Projects (2) – Milestones Projects are moved forward in the business process via the Milestone workflow engine. • Each Project consists of 6 Phases (Initial Estimate, Pre-Commit, Committed, Installed, Completed, Discontinued) • Each Project consists of multiple, configurable States (e.g. standard status types are 1-application, 2-study, 3- Pre-Commit, 4-committed, 5-installed, 6-payment pending, 7-completed) • Each Project consists of multiple Milestones (short tracks might consist of 3-7 Milestones, while long tracks might consist of up to 30 Milestones)
  • 46. Projects (2b) – Milestones • The Milestone configuration engine is completely flexible and customizable • Milestones are connected to Measures such that when a Milestone triggers moving the Project from the Pre-Commit to the Committed Phase, then all the Pre-Committed Measure data is frozen and then copied into the Committed section • The user is now able to edit the Committed data but not able to edit the Pre- Commit data • This same logic takes place when moving from Committed into Installed • Flexible Security on Measures based on Milestone status (see above point) • Milestones determine which Queue the Project is placed in
  • 47. Adding Milestones – Ad Hoc At times users need to be able to add Milestones directly into an existing Milestone Track. For example, a Random Inspection might be needed between Milestone Steps 8 and 9 of an existing Project. In this case the user simply hits the “Add Milestone” button and is provided a list of Milestones (or Milestone Sets) that are available to be inserted. User permissions help determine whether a user has the rights to add Milestones. The user then selects “Random Pre-Inspection”, and the system adds this step into the appropriate slot – and then recalculates all Target Dates.
  • 48. Projects (3) – Forecasting Project Milestones allow for detailed Forecasting. • Each Milestone contains predetermined durations • Each time an Actual End date for a Milestone is entered, Milestone Track is recalculated and the Target Start date and Target End date for each Milestone are accordingly adjusted • Users are also able to manually override each Target date by manually adjusting the Estimated End date any Milestone which then recalculates Target Dates on future Milestone Steps • Initial Estimate – These are manually editable fields on the Project Summary Screen. Their purpose is to allow users to estimate Savings and Incentive values before the Measures are known. They roll into the Pre-Commit Phase. When Measures are added to the system, then the Initial Estimates are overwritten by these “real numbers”. In this way, the system allows for the estimation of potential projects.
  • 49. Projects (3b) – Forecasting • Methodology empowers users to immediately view the Target date and month for the following: • Initial Pre-Commit Date target • Initial Commitment Date target • Initial Installation Date target • These dates allow forecasting for Committed and Installed numbers for each month— enabling easy reports for the Utility at where each Program resides
  • 50. Projects (4) – Queues (Auto-Assign Tasks) Dynamic DSM uses Queues to ensure that “the ball never gets dropped”. • Each Milestone step is assigned to a Responsible team • Users in the database can be members of one or more teams • When a Milestone moves forward, the Queues of each member of the Responsible team will be updated.
  • 51. Projects (4b) – Queues & Views • Users can view their Queue items within their Dashboard or within their Queue views • Each Queue item includes a hyperlink to the Project that is ready to be moved forward • When a user updates that Project by moving the Milestone forward, the item will be removed from their Queue and appear on the Queue for the next Responsible team • Since the Utility client is also a user in the system, their dashboard will alert them when a Project is ready for approval (the user can then go in and approve their Milestone and thus move the Project forward) • Security roles prevent another user from completing a Milestone for which they are not a member of that Responsible team • Option for automated email alerts to be sent whenever a Project appears in a team’s Queue
  • 52. Projects (5) – Approvals/Skips Dynamic DSM contains an advanced Approval Management methodology that is built directly into the Queue Management system. • Multiple Approval levels can be configured
  • 53. Projects (5b) – Approvals/Skips • A User can only complete their assigned Milestone if they are a member of the current Responsible team • Once a user has approved a Milestone (for example Approval Level 1), then the Project will move into the next Milestone (for example Approval Level 2) if the dollar amount passes a specified threshold (for example $10,000)—otherwise it skips additional Approval Levels at that point • In cases where it falls below the threshold and doesn’t require further Approval this Milestone is not necessary and the following takes place: • This Milestone’s Actual End date is filled in with the date from the previous Milestone’s Actual End date • This Milestone’s Skip field is checked (check box) automatically • The Project moves forward to the next Milestone—the proper Queue is triggered
  • 54. Projects (6) – Summary Fields Dynamic DSM contains numerous Summary fields so the User can easily ascertain the current progress as well as the pending steps for each Project. • Current Phase (Pre-Commit, Committed, Installed, Completed, Discontinued) • Completed Milestone and Pending Milestone • Target Date for the Pending Milestone (which allows users to easily create reports to show any overdue Projects) • Responsible team When Milestones move forward, many of these fields will be automatically updated: Project Status, Pending Milestone, Responsible, Pending Milestone Actual Start, and Pending Milestone Target End. Cost Cap: This field indicates whether or not this Project has a Cost Cap.
  • 55. Projects (7) – Measure Fields Dynamic DSM contains numerous Measure Summary fields so the User can easily see at all times the current progress as well as the pending steps for each Project. • Current Phase (Pre-Commit, Committed, Installed) • Measure Summary data • Savings kWh, Savings KW, Savings thm, Savings CCF • Incentive Total • Project Costs • Incremental Installed Costs The Measure Summary fields are not editable; they contain summed data from related Measures. Rollups for Measures contain Pre-Commit, Committed and Installed data.
  • 56. Projects (8) – Adding Measures Dynamic DSM allows users to easily add unlimited number of Measures to each Project. These measures must first be uploaded into the Measure Templates.
  • 57. Projects (8b) –Add Measures Quickly Dynamic DSM provides an Inline Editor for Measures. The idea is to avoid having to open up the Measure screen, edit, and hit Save and Close. • Users can add Multiple Measures with the click of a button • Measures can be quickly selected by entering the number or hitting the selector button • Users can edit the required fields within the grid view (similar to editing in Excel) • Most importantly, once a user is within this screen, they can use keyboard strokes throughout the process of adding measures - without ever touching the mouse again • In this way, users can easily add up to 6 Measures per minute. The entire process is extremely fast and therefore useful for programs with high volume
  • 58. Projects (9) –Reporting Fields Dynamic DSM contains numerous Reporting fields so the User can easily see at all times the current KPIs and thus easily create their own reports. • The main purpose of these fields is to provide quick insight into each project as well as be able to quickly create Project reports without being forced to aggregate data from the Measure level or Financials level • There are currently over such 25 fields
  • 59. Projects (10) –Detailed Job Cost Summary Dynamic DSM allows users to create detailed Project Cost reports • Project based • Measure based • Trade Ally based
  • 60. Projects (11) – Site Fields Dynamic DSM contains a view of Site and Company Information • Site data of the parent Site for each company is displayed • These fields are read only and cannot be edited from the Project Record • These fields can be included in Project level reports • These fields are viewed in iFrame format and can thus be edited by an Administrator/Developer
  • 61. Projects (12) – Record Wall Each Project record contains a Record Wall where the latest information and most relevant (as defined by the administrator) data can be auto-updated and easily found. Any user can “follow” a record and thus have this Project appear on their own “What’s New” wall – similar to viewing a Facebook “Status Update” wall.
  • 62. Projects (13) – Random Inspections At times Random Inspections are required. Dynamic DSM provides the ability to assign and complete Random Inspections. • Assigned Date • Completed Date • Completed By • Result (Drop Down list: Pass, Fail)
  • 63. Projects (14) – On Hold At times, Projects need to be placed On Hold. Dynamic DSM provides the ability to temporarily place a Project On Hold. • Checking this box changes the Status of the Project to “On Hold” • To remove a project from “On Hold”, the user must simply update a Milestone Other Projects need to be Discontinued. • When discontinuing a Project, the user is required to select a reason from the drop down list • The Discontinued Date automatically populates once the reason is selected • The user can also enter comments/notes regarding the discontinuation
  • 64. Projects (15) – Project Numbering Dynamic DSM is able to provide multiple options for numbering Projects • The customer has flexibility in choosing how to number projects • The typical method is to concatenate the following: • Auto-incrementing a numeric value • First initial of the Program Type • First 20 letters of the Site
  • 65. Project (16) – Key Contacts Dynamic DSM provides several special Contact relationships for each Project. When a Project is created from a Site record, the Primary Contact copies over from Site. The user is able to add this contact’s information (incl. Phone, Address, Email, etc.) to a Project level report. When a Trade Ally Contact is selected, the Trade Ally (company) field is populated by the Company record related to that Trade Ally contact. The Trade Ally company is then linked to every associated Measure (unless that particular Measure already has a Trade Ally association).
  • 67. Measures (1) – Measure Templates Dynamic DSM provides an entity for Measure Templates. There is no “official” limit to the number of fields that can be added to each template. • Measures that are added here can be flagged to automatically appear in the Selection window (typically new measures are flagged for this selection) • Measures can also remain in the database as Templates yet be removed from the Selection process (his is typically done when a Measure is no longer needed for the upcoming Program Year) • In those cases, it is advised to keep the old Measure Template for evaluation purposes yet remove it from the selection window
  • 68. Measures (1b) – Templates (Deemed Data) Dynamic DSM houses deemed data in the Measure Templates. • When Projects Measures are created and Measure Templates are selected, the deemed values in the Measure Templates are copied over from the Template into the live Measure • This ensures that the deemed values are properly entered – by avoiding user error
  • 69. Measures (2) – Ability to Add Templates Dynamic DSM provides the ability for database administrators to add their own Measures. • A template (Excel format) is provided – and must be filled in by a trained administrator • Once filled in, the administrator is provided upload permissions • The entire process is simple, such that an admin can upload a new measure in a matter of minutes
  • 70. Dynamic DSM contains 4 types of Measure Calculators The Measure Calculation Type determines three things: a) Field Security - - i.e. is a field editable or not? b) Calculation - - i.e. is a field calculated by the system or not? c) Override - - i.e. can the Savings or Incentive data be overwritten or not? Since all fields on “O” Measures are manually entered, the user must pay special attention to filling in the following fields – for reporting purposes: a) Incentive Electric (Sub-total of all Electric Incentive Amounts) b) Incentive Gas (Sub-total of all Gas Incentive Amounts) c) Incentive Total Measures (3) – Flexible Calculations (SUTO)
  • 71. Measures (4) – Flexible Measure Selection Dynamic DSM provides multiple ways to select Measures: • Select the Add New Measure button and Double-Click on the desired Measure Template • Users can also change the view in order to see a more limited list • Users can also simply Type in their Measure Number • Once selected, the Measures auto-populate from the Measure Template.
  • 72. Measures (4b) – Flexible Measure Selection Dynamic DSM provides a complete view of all Measure Template fields – so that a user can be completely sure of all field values before selecting a measure. Select the view “Active Measure Templates ALL COLUMNS”. This allows you to scroll left and right and view all the fields within the Measure Templates if needed.
  • 73. Measures (5) – Measure Screens & Fields The Measure screens are very flexible The user can select the Trade Ally related to a specific Measure. This creates a link to that Trade Ally—and allows one to go to the Trade Ally and see all Measures linked to it. Note: If none is selected, then the Project level Trade Ally will auto-populate into this field.
  • 74. Measure Costs provide several options. • Cost Breakdown – The Total Cost field sums up from the other Cost fields (such as Labor, Disposal, Equipment, etc.) • The user is able to manually override the Total Cost field • The Total Cost field sums up to the Project Summary • The Incremental Cost field sums up to the Project Incremental Cost field Measures (6) – Measure Costs
  • 75. Measures (7) – Tracking by Phase Dynamic DSM breaks all Measure KPI values into 3 phases: Pre-Commit, Committed, Installed • When the Project is moved into the Committed Phase, the Measure window automatically displays the Committed tab, while the Pre-Commit and Installed tabs are collapsed. The user is now able to edit the Committed data (that has been copied from the Installed fields) • The same logic takes place when moving from Committed to Installed • This allows for the evaluation of Project transition by keeping a snapshot of the values for each phase
  • 76. Measures (8) – Security Dynamic DSM provides conditional field level security based on the Project Phase. Show/Hide functionality is also built into the logic of the system. Users are only shown relevant data. • The Committed and Installed data is collapsed when the Project Phase is Pre-Commit. • The user is able to manually show the Committed and Installed fields by clicking on the header of each tab • When the Project moves from Pre-Commit to Committed, (a) the Pre-Commit values get copied into the Committed fields and (b) the Pre-Commit fields are no longer editable
  • 77. Measures (9) – Manual Override At times, Projects & Measures need to be manually edited – even after being locked down. The Skeleton Key function allows specified administrators to make such manual edits.
  • 78. Measures (10) – Reporting Fields (Current) In order to simplify the creation of Measure level reports, Dynamic DSM contains multiple reporting fields that represent the current data – regardless of Project Phase. These are found under “Current Totals” on the Measure screen.
  • 79. Measures (11) – Relationship to Financials Dynamic DSM is designed to update Financial records based on Measure totals at specific time periods in the life cycle of a Project. • Performance Payment Amounts are triggered when a Project is “Committed” • The Committed Performance Payment is adjusted if necessary – based on NTG revisions that have taken place after the Project became “Committed” • Performance Payment Amounts are triggered when a Project is “Installed” (Amount factors in both of the above Amounts) • The Installed Performance Payment is adjusted if necessary – based on NTG revisions that have taken place after the Project became “Installed”
  • 80. Measures (12) – Relationship to Trade Ally Dynamic DSM is designed to allow each Measure to be related to a Trade Ally. The Trade Ally can be selected in one of two ways. • Copied over from Trade Ally selection on the Project • Manually selected at the Measure level. In this way, different Measures on a Project can rollup to different Trade Ally records.
  • 81. Measures (13) – Editable Grid One of the most highly requested features has been an Editable Subgrid for Measures – on the Projects screen. Not only do we have this, it can be managed exclusively via Keyboard Clicks (rather than requiring additional Mouse Clicks throughout). The goal of this feature is to increase the speed (and reduce the time) for data entry. Features include: • Grouping of Header fields by Category • Immediate update of screen data based on calculations • Automatic resorting of Fields based on Phase (For example, the screen below shows the 3. Installed fields BECAUSE my current project phase is 3. Installed). • Numerous time-saving Keyboard shortcuts
  • 83. Financials (1) – Related to Projects Dynamic DSM contains a flexible Financial module – as a sub-entity to each Project. These Financial records will roll up to the following records: • Site of the Project • Parent Company of the Project • Trade Ally of the Project There are multiple Financial Types and Disbursement Types
  • 84. Financials (2) – Screen & Fields Dynamic DSM contains a flexible set of Financial Stages as well as Financial data and Payee info.
  • 85. Financials (3) – Payee Dynamic DSM provides the ability to select and relate the Payee. This takes a snapshot of current Payee data and copies it to the Financial record. To select a payee, hit the button “Who Gets Paid”. • Users have 3 options to select for “Who Gets Paid”: Customer, Trade Ally, and [Customizable] • If you select Trade Ally or Customer, you will need to hit the selector button in order to choose the specific record • Once selected, the Payee Information fields on the Financial will be auto-populated from this selected record • Payee Information is used for the Check Request file that gets sent to the financial institution (i.e. Citibank)
  • 86. Financials (4) – Calculated Incentive The Calculated Incentive Amount field is not editable. It is determined by a formula that factors in the “moving target” of NTG (net-to-gross) values. If a Financial is calculated on the basis of the previous year’s NTG, and the NTG has an increase this year, then an adjustment payment may be required to cover the difference. The user must manually enter the Actual Incentive Amount in order for a payment to occur. The Calculated Amount Data tab contains more detailed information such as Program Year and NTG rate.
  • 87. Financials (5) – Financial Stages Financials are built on a flexible set of Stages with the following fields: • Stage Name • Target Start Date • Actual Start Date • Target End Date • Duration • Actual End Date
  • 88. Financials (6) – Check Request File The Check Request File can be generated from the system. Currently, the user goes through the following steps: • Each Financial must have a specific set of criteria fulfilled • Users can then view the Check Request view in Dynamic DSM and export this to Excel • Users then apply the Dynamic DSM macro to produce the desired report • The format of the report is TXT Fixed Width • The user uploads the file to Citibank
  • 89. Financials (7) – Project Completion In Dynamic DSM, Projects are completed from the associated Financial records. • Although a Project can contain numerous Financials, only a pre-designated Financial provides the ability to complete a Project • The Milestone Track determines which Financial completes a Project • Only specified users have the permission to complete Projects • Completing a Project results in a number of Fields being automatically locked to preserve data integrity
  • 90. Financials (8) – Detailed Payment Tracking Because all the fields are properly placed, users are able to create detailed Payment Tracking Reports as needed: • Invoices • Payments • By Disbursement Type
  • 91. Financials (9) – Editable Grid The editable Subgrid for Financials can be managed exclusively via Keyboard Clicks (rather than requiring additional Mouse Clicks throughout).
