1. Brittney Kunder - Project and Portfolio V
Girls 3 on 3 Basketball Tournament
UGA Women’s Basketball
Hello and thank you for joining me today, my name is Brittney Kunder. As an Event Manager for the University of Ga I am here to discuss the second year of our 3 on 3
Girls ages 14-18 Basketball Tournament hosted by the UGA’s Women’s Basketball team.
2. What We Have Planned…
Saturday, June 18th 2022
Stegeman Coliseum
Presented by SmartWater
16 teams compete in a 3 on 3
Tournament
Alright, let’s get into it. What do we have planned. Our event will take place at Stegeman Coliseum Saturday June 18th after the women’s league has ended and school
has come to an end. All parties schedule should be a bit more relaxed and have time to participate. We’re happy to announce that this year our main sponsor, Coca-
Cola has decided to partner with us with their popular water brand- SmartWater. We’re happy to have them on board and look forward to working with them for this
event.
Our event will consists of 16 teams playing in a bracket style tournament were the hefty prize is not only a trophy but also a practice session with the UGA team, and
tickets to the home opener the following season.
3. 3.2%
Of all media coverage is devoted to women, even though women count for 40% of
all sports participants in the US.
Are you aware that only 3.2% of all media coverage is devoted to women. That is just a sad but true fact. Women actually make up 40% of all athletes in the US alone.
This is our chance to make a change. Set and example. We’re giving our girls a chance in the spotlight and to show the community their talent.
4. Objectives
Now when it comes to objectives we have to think SMART, you know specific, measurable, attainable, realistic, and timely. Let’s look at what are goals are for this event.
5. Objectives
- Sell $5000 in UGA Merchandise
- Achieve 10% conversion of attendees for season tickets for
upcoming UGA Women’s Basketball Season
- Increase Instagram and Twitter followers by five hundred by
the end of event
The first- we want to increase our number of followers the uGA women’s basketball team has on social media. UGA is a major name school. We have fans stretched all
over the US. We need to start spreading the love to our other branches as well.
Second, we are going to be selling merchandise at the event. I would like us to reach a minimum of $5000. I think that is an attainable goal when we look at the amount
of people we expect in attendance.
Lastly, of those same people in attendance I would like to see 10% of them purchase tickets for the upcoming women’s UGA basketball season. We can look at
discounts we can utilize and create an incentive for those to purchase.
6. Changes to be Made
- Open 2nd Concession Stand
- Invite Local Radio and TV Station
- Bring in More Volunteers
Moving on. Like I had mentioned this will be our second year for this event so I would like to make some changes that we learned from last year.
First- last year we only ran with one concession stand. This created long lines and some missed their loved one playing on the court. If we open up another stand it will
give us the chance to move through the attendees quicker and keeping them happy.
Also too something we didn’t utilize last year was inviting our local radio and new center to the event to broadcast. Let year we used them as an advertisement tool but
none were at the event. I think the participants would like to have a chance to get a bit more spotlight if they can.
Lastly, I would like us to see that we gather more volunteers. Not only does it help with our budget but it also helps people give back to their community and people truly
do like that
7. Team on 3….
- Marketing
- Budget and Revenue
- Human Resources
- Event Leaders
- Concessions - Merchandise
- Sponsors
- Tournament Play
- Equipment
-work with creative and social media teams
-oversee budget and will hold weekly meetings
-will be responsible for hiring staff members
-will be point of contact during the event
-will be responsible for ordering food/beverages and
training staff
-will work and collaborate directly with sponsors
-will be responsible for ordering merchandise
and training staff
-will work with participants and officials day of event
-will ensure equipment is ordered and working
properly for day of event
Ready …set….team on 3.. no I’m kidding but for real we will have quite a few teams overseeing this event. Each will have a team leader and they will serve as point of
contact from the beginning stages till even after the event. We will look to offer 9 teams. …….
8. The Timeline
4-6 months before event 2-3 months before event 30 days before event
• Create board committee
• Create budget
• Prepare marketing tools and activate ads
• Reserve venue-Stegeman Coliseum
• Contact large sponsors and donors
• Communicate with Basketball team members
• Reach out to local sponsors
• Purchase insurance for event
• Open registration for teams
• Open Tickets for purchase
• Order jerseys and awards
• Order signage
• Review budget
• Hire staff members to work event-concessions
and merchandise
• Order food and beverages
• Organize merchandise needed for event day
• Review budget
• Send out information to all participants regarding
event plans and rules
• Contact local radio and tv stations
• Set up signage for event
Now this is the most important aspect to the event. The timeline. Here is where we have to stay in communication with each other and do what we need to by our
deadlines. I’ve separated what needs to be done in 3 categories- 4-6 month, 2-3 month, and 30 days.
Keep in mind after the event we don’t stop there. We will run final meetings to gather information based off the event totals.
9. Event Stakeholders
- University of GA - Women’s Basketball Team - Sponsors
- The Participants - The Attendees - The Event Staff
When it comes to the even’t stakeholder, I think of them as our golden egg. We must think about them throughout the event. They are reaping the benefits of the event
but also will reap the consequences if something negative arises at the event.
10. Stakeholder Wins
- Lead by Example
- Women’s Basketball Gain More Awareness
- Make a Profit
- Sponsors Gain Awareness
Now why are the stakeholders so invested in the event, what are they getting out of it? Let first look at the university. We have a chance to lead by example. We’re giving
women’s basketball more awareness as they so rightfully deserve it. We can be the example where other organizations can learn and make changes in their own
organization. And yes, at the end of the day when we talk about the budget we are predicting to make a budget. Now I do believe this event means more than just the
money, but at the end of the day this is still a business.
Now for our sponsors, they’re not going to fork up the money without getting anything in return. They want to make sure this event is a success and will take a huge
interest in that.
11. Event Risks
- Injury - Equipment Malfunction - Low Engagement
Now with every event comes risk, lets take a look at our.
This first risk that comes to mind is injury. Whether its a participant, a attendee or staff member we need to be prepared. This is why I plan to hire a trained medical staff
with an ambulance so we have the proper equipment and service if needed.
The next risk that comes to mine is equipment malfunction. Now this could be the sound equipment or something in the merchandise store or concession. Even though
we can run tests the day before event we still can’t promise something won’t occur. For this I want to make sure we have a maintenance member and technical specialist
on staff. This way we have the resources to hopefully fix in a timely manner.
12. Budget
- Expenses - Income
Venue
Utilities
Signage
Officials
Awards and Trophy
Food and Beverages
Social Media
Labor
Equipment
Donors
Merchandise
Ticket and registration Sales
Food and Beverages
Sponsors
Alright the time is here, what you’ve been waiting for. The money. We have multiple ways where money is going out the doors. However, our income budget goals are
much higher. Take a look.
13. Year 1 Year 2
Total Income $41,485 $48,825
Total Expenses $34,940 $38,025
Total Profit $6,545 $10,800
Budget
Our first year our expenses were roughly $35,000 and we were able to bring in just over $41,000. We took away $6500. This year we’re looking to do even more. We’re
estimated to profit over $10,000. Now keep in mind this event is not all about the money, but at least it isn’t going to cost the organization a ton of money with no return.
14. Why?
Now again why do we want to do this event? It’s for the little girls out there who think they don’t belong. It’s for the young girls who quit completely at a young age
because they think they won’t make a difference. We can make a difference, we already have. And we can continue doing so.
