These are the processes, methods, and/or resources that are currently helpful relating to communication and interaction between peers. TOP EIGHT! Monthly Division meetings Employees are appreciative of their co-workers. They feel that they’re experienced, knowledgeable, and willing to assist others. Some departments have provided desk reference manuals to outline processes and procedures. Some departments have implemented regular meetings and training sessions. One-on-one scheduled meetings with managers and/or directors. The creation and maintenance of the :Mdrive Most felt that on an intradepartmental level, the effectiveness of communication was good and that there was a high level of trust. 100 Day Challenge- it encourages and motivates people among the division to interact with one another.
  • What’s not working? On the opposite side of the spectrum these are the processes, methods, and/or resources that could be improved, altered, or added. All were reviewed, not all were listed.

    • Item # 12 - Different levels of employees within Children’s Medical Center communicate effectively with each other.

    • Monthly division meetings
    • Employees that are experienced, knowledgeable and willing to help
    • Desk reference manuals in some departments
    • Meetings and training sessions that take place in some departments

    • Not all of the HR staff members are able attend the monthly divisional meetings
    • Occasionally, there is a lack of consistency in information given to our clients or co-workers
    • There are members of the HR staff that are unfamiliar with the duties and responsibilities of other departments within the division

    • Feedback from HRLT
      • Notes from non-Power Point presentations should be prepared and posted to the M Drive in a folder that will be created for each meeting time.
        • Responsibility for taking the notes and posting them should be a shared responsibility that is rotated among the group.
        • Power Points presented during the meeting will be posted to the M Drive in the meeting folder.
      • HRLT will look into opportunities for closing Occupational Health and the Satellite Office for meeting times or at least have some sort of other coverage during the meeting.

    • Feedback from HRLT:
    • HRLT and Kim are going think about the suggested solutions and work on a plan for this issue.
    • The Employee Opinion Group is going to review this further with the HR Team.
    • HR Calendar of Activities is being developed by HRLT, it should help with this.
    • The HR University is too much of a stretch at this time with everything else going on. (May look at this in the future.)
    • Possibly create a template that could be used to enter information and then be sent out as an email newsletter.
      • There was concern as to whether the email newsletter would be a duplication of information, since the topics suggested are covered during monthly divisional meetings.
      • Emailed newsletter could be for key reminders about upcoming dates, events such as PTO Buyback, etc.
    • Discussion regarding expansive desk reference manuals indicated that this solution will tie back to the creation and implementation of the Shared Service Center. (More to come on this in the future.)

      • Employees tend to stick to their own cliques
      • Conversations are restricted at “get-togethers” due to being “too busy”
    • Suggested Solutions
      • Monthly/bi-monthly brown bag lunches with other departments
        • Increase camaraderie
      • Seating arrangements at division meetings with a scheduled group activity
        • Group activity responsibility rotates between departments monthly
      • Social Events Planning Committee
        • Quarterly potlucks
        • Christmas tree lighting ceremony for which people bring ornaments
        • Teambuilding activities
