Hello everyone, and welcome to “Top Reasons to Step Up from Vault Basic”!
My name is Chris Fabri and with me today is Jim Kahle, and together we’ll be your hosts and presenters for today’s session.
Our goal today is to share with you some of the top reasons clients make the transition from using Vault Basic, the solution included with many of your Autodesk CAD products, to one of the more robust or advanced solutions offered by Synergis.
Before we begin, I want to provide you with a brief overview of Synergis capabilities, expertise and experience in data management solutions.

Our focus is not on one product or the other – but on showing you powerful capabilities available in these other solutions. In order to determine which solution is best for you, we would need to spend some time with you understanding your goals, requirements, systems and the processes you wish to automate.
All of you should have a score card that lists each of the top reasons to step up that we’ll be talking about today. At the end of each topic covered, we’ll ask you to rate the importance of that reason to your organization, on a scale of 1 to 5, with 1 being not at all important, and 5 being extremely important. Jim – Data Management serves as your central point for document access and automatically ensures all users always find the latest version of a document. Previous revisions can be automatically saved. When files are “checked out”, a copy of the file is placed in the user’s work area, and the master file is locked safely on the server. Other users may view the original document, or copy it for re-use on another project, but only one user can edit a document at a time. This ensures users are not overwriting each other’s work. When a file is checked in after editing, it becomes the latest version others will see, and the original is saved as a revision.
Data Management can track both major and minor revisions, and can also automatically increment your own custom revision field that may be contained on your drawing title block. Last, Data Management helps to control your hardcopy output as well, placing watermarks on the output that indicate file status, such as “released – valid for 24 hours” or “under revision – not for production”
FAB - Adept’s electronic Audit Trail provides your company a simple method to understand the complete history of each document. Authorized users can see the ongoing activity history of a file, including what action was taken, by whom, and the date and time the action occurred.
Leveraging Adept’s electronic information tracking capabilities dramatically reduces the time and effort it takes to comply with industry standards and regulations and gain industry certifications, such as ISO 9000/9001, QS-9000, AS9100, FDA 21-CFR11, Sarbanes-Oxley, and others.

All users are working from a central repository – one version of the truth – so everyone is connected and teams can collaborate effectively.
FAB - Adept’s Transmittal Automation feature makes the process of creating, editing, sending, and tracking transmittals easy and fast, and reduces the chance of errors compared to paper-based transmittal processes. And because transmittals are created from within Adept, your single point of document access control, you can rest assured that you have the correct document versions and any referenced files that may be required.
FAB - Each license of Adept includes and is tightly integrated with Oracle’s AutoVue visualization software, the premier solution for enterprise-wide viewing, markup and compare. Adept provides native support for hundreds of formats including 3D CAD parts & assemblies, 2D CAD drawings, electronic and PC board layouts & schematics, scanned & raster documents, office documents and graphics files. With Adept, stakeholders across the extended enterprise can access critical data and provide feedback at all stages of the design process and project lifecycle, reducing communication barriers and project costs while accelerating project completion times.
Adept delivers native document viewing, allowing users to view and interrogate original documents.
Adept’s multi-user markup capabilities allow team members to collaborate on designs and project information. Team members can communicate feedback, change requests, comments, and instructions in an effective and timely manner, through markups and real time collaboration. And Adept allows users to compare different versions of 2D drawings or 3D models to see what has changed.
JIM - Attributes from AutoCAD-based drawings and Properties from Inventor and SolidWorks files are automatically extracted, eliminating manual data entry and ensuring this information can be leveraged when searching for files. Because this link is bi-directional, authorized users can update one or many attributes from the Client interface, in single or batch mode, without opening the files themselves. Data Management can track AutoCAD XREF, image and overlay file relationships throughout their lifecycle. It manages the complex file relationships that exist between Inventor or SolidWorks parts, assemblies, drawings and configurations as well. As files are checked out, revised, routed through workflows, copied, moved, or renamed - all relationships remain intact. These file relationships are displayed in an easy to understand tree structure so you can see “where-used” and “composed of” information.
The integration inside AutoCAD, Inventor and SolidWorks is easy to use so designers have fast access to the information they need, and good document management tools at their fingertips.
JIM - The Automatic File Naming functionality provides powerful and flexible configuration options to make it easy for administrators to create diverse naming schemes for all departments. Administrators have the ability to provide numbering templates using a variety of format segments, including an auto-generated number sequence, fixed width text placeholders for user entered text, pre-defined data from drop down lists, delimiters, restricted field data, and user entered free text. All of these Automatic File Naming format segments can be combined in any sequence to create easy-to-use, error-free naming standards.
FAB - Adept PublishWave, an add-on module, enables single or batch mode printing to hardcopy and publishing to PDF, DWF or TIF formats directly from the Adept application. You get high fidelity, native application output quality – without having to open the file in its native application.
PublishWave enables Adept users to print or publish large jobs efficiently without monopolizing a workstation, and without the need for an expensive license of a CAD application on each user’s desktop. It allows you to publish and print AutoCAD, Inventor, and SolidWorks drawings as well as Word and Excel files.

Files can be published to Adept, or to a network folder or ftp location. And of course Adept takes care of ensuring the correct document versions are being printed and published, and places watermarks on your output to indicate file status.
JIM - The application of Bill of Material management in product development and manufacturing is extremely important. BOM is a cornerstone of almost all processes and activities – from early requirement and design, to manufacturing, services and support. Therefore, efficient BOM management is an absolutely important element of product development processes.
Leveraging the parent/child relationship information, we can quickly create an accurate BOM from CAD models.
The BOM enables the final transition from product concept to a concrete, touchable object. The more accurate and complete the contents of the bill of materials are, the better decisions can be made about how to get the product efficiently and cost-effectively into the customer’s hand.
Utilizing property mapping, this makes for consistent numbering of the BOM data in preparation for export to the Enterprise Resource Planner application.
When companies utilize an MRP or ERP system, BOM management information is commonly transferred with manual methods. These processes require valuable employee time and greatly increase the opportunity for human error, indirectly resulting in product items that are out of specification.
Exporting this accurate BOM data to a standard file format, increases accuracy when bring this information to the ERP system.
The amount of time it will take hinges on many factors.
