Overview :
This HRMS Userβs Guide has been developed to assist management, system admin, users etc.
The flow of the system, use of each modules providing functionalities such as recruitment process, keep
track of employees and their work on daily basis, organizationβs information such as clients, agencies,
assets etc.
Features :
β HRM Dashboard keeping track of counts of necessary data also providing easy access
to all modules in HRMS system depending on counts.
β Keep track of recruitment process in the organisations using modules like opening /
position, candidates, interviews etc.
β Manage records of different business units and their departments in the organizations.
β Manage records of employees using modules like employee, employee family details,
employee document, employee children, employee credentials etc.
β Manage login credentials(username and password) using module like user name setting.
β Manage employee work, leaves, formal or informal trips using modules like projects,
project task, leaves,trips,expenses etc.
β Make announcements to all employees of the department using announcement module.
β Save notes using notepad module.
β Generate Tickets using ticket module.
4. Modules :
1. Module Name: HRM
Purpose:
β’ It contains links which shows counts of necessary data from different
modules, also contain links for all settings modules such as exit types,
user name settings etc.
Steps:
β’ To see the dashboard, Go to HRM menu β Click on HRM.
5. 2. Module Name : Business Units
Purpose:
β’ Business Units module is used to manage Business related information. It
contains informations like name of the business unit, date of
establishment, description,etc.
Steps:
β’ To see list of business units, Go to ABOUT ORGANIZATIONβBUSINESS
UNITS.
β’ To save new record, Go to ABOUT ORGANIZATION β BUSINESS
UNITS β Create Business Units.
6. β’ To see details about particular record, go to ABOUT ORGANIZATION β
BUSINESS UNITS β View Business Units β click on name of the
business unit.
β’ To see list of assets provided to the particular business unit, open detail
view β click on subpanel ASSETS.
7. β’ To create new asset, for that particular business unit, open detail view β
click on subpanel ASSETS β click on Create button.
β’ To select from assets module, for that particular business unit, open detail

β’ Departments module is used for manage information of different
departments of different Business Units. It contains informations like
name of the department, date of establishment, description etc.

Purpose:
β’ Opening / Positions module is used in Recruitment process of employees
in an organization. It contains informations such as required number of
positions, requisition code, requisition status etc.
Steps:
β’ To see list of opening / positions, go to HRM -> Opening / Positions.
β’ To save new record, go to HRM -> Opening / Positions -> Create Opening
/ Positions.
37. β’ To see details about particular record, go to HRM -> Opening / Positions -> View
Opening / Positions -> click on the requisition code.
β’ To see list of candidates for the particular opening / position, open detail
view -> click on subpanel CANDIDATES.
38. β’ To create new candidate, for that particular opening / position, open detail
view -> click on subpanel CANDIDATES-> click on Create button.
β’ To select from Candidates module, for that particular opening / position,
open detail view -> click on subpanel CANDIDATES--> click on Select
button.

on select button -> click on Search button.
40. 4. Module Name : Candidates
Purpose:
β’ Candidates module is used in Recruitment process of employees in an
organization. It contains informations of candidates appearing for
interviews.
Steps:
β’ To see list of candidates , go to HRM β Candidates.
β’ To save new record, go to HRM β Candidates β Create Candidates.

Candidates β click on name of the Candidate.
β’ To see list of interviews given by particular candidate, open detail view β
click on subpanel INTERVIEWS.
β’ To create new record of interview, given by particular candidate, open
detail view β click on subpanel INTERVIEWSβ click on Create button.

6. Module Name : Interviews
44. Purpose:
β’ Interviews module is used in Recruitment process of employees in an
organization. It contains informations regarding interviews taken such as
interview status, type of interview, interviewer comments etc.
Steps:
β’ To see list of business units, go to HRM β INTERVIEWS
β’ To save new record, go to HRM β INTERVIEWS β Create Interviews.
β’ To see details about particular record, go to HRM β INTERVIEWS β
View Interviewsβ click on name of the Interview.
45. 7. Module Name : User Name Settings
Purpose:
β’ User Name Settings is used to set User Name of the user for login into
HRMS system.
β’ You need to do the user name setting before saving employee record or
before converting candidate to employee.
Steps:
β’ Go to menu HRM β click on HRM β click on User Name Settings from
Settings section.
46. β’ Select Multiple Fields From Select Field: Dropdown β Click on Submit
button. (Note: Wrong selection of field like Date, ID will not work in user).
β’ This is the list view showing the multiple selected fields of employees module.
β’ If you want to edit the field selection, Click on edit(pencil) icon.
β’ If you want to delete the selected fields, Click on delete icon.
8. Module Name : Employees
47. Purpose:
β’ Employees module is used to manage information of employees
Such as employee code, employee name, role, email etc.
Steps:
β’ To see list of employees, go to HRM β Employee
β’ To save new record, go to HRM β Employee β Create Employee.

Employee β click on name of the employee.
β’ To see list of employeeβs documents provided of the particular employee,

detail view β click on subpanel EMPLOYEE DOCUMENT β click on
Create button.
β’ To select from Employee module, for that particular employee, open detail

employees including informations like number of family members, fatherβs
name, motherβs name, fatherβs identification number etc.

DETAILS button.

10. Module Name : Leave Configuration
75. Purpose:
β’ Leave Configuration module is used to set configuration for leaves such
as start month, weekend day 1, hours etc.
Steps:

Settings panel click on Leave Configuration.
β’ To save new record, go to HRM menu β HRM β in Settings panel click on
Leave Configuration β Create Leave Configuration.

Steps:
β’ To see list of Announcements, go to OTHERS β Announcements.
β’ To save new record, go to OTHERS β Announcements β Create
Announcements.

β View Announcements β click on title of the announcement.

Purpose:
β’ Vendors module is used to manage informations related to different
vendors of the organization.
