Business Letter Writing
Course Objective:
This course helps develop the writing skills
required in today’s business world. Students
learn techniques for writing effective emails,
memos, proposals, and reports for a variety of
audiences, becoming more accurate, clear, and
concise. They learn to manage the principles of
English grammar, punctuation, and usage. Using
realistic business models, students learn how to
express themselves clearly and persuasively,
receiving intensive individual feedback.
You'll walk away with…
•The ability to write more accurately, clearly,
and concisely in English
•The ability to manage the principles of
English grammar and usage
Technical Writing:
• Technical writing is communication written
for and about business and industry, focusing
on products and services: how to manufacture
them, market them, manage them, deliver
them, and use them.
• Technical writing is written in the work
environment for supervisors, colleagues,
subordinates, vendors, and customers.
• Technical writing, which must be understood
easily and quickly, includes: memos and
letters, reports, research proposals, PowerPoint
presentations.
Technical Writing is different from other
types of written communication
 “The fundamental purpose of scientific discourse is not the mere presentation of information and thought but rather its
actual communication. It does not matter how pleased an author might be to have converted all the right data into
sentences and paragraphs; it matters only whether a large majority of the reading audience accurately perceives
what the author had in mind.”
 Technical writing is not literature; it’s neither prose which recounts the fictional tales of characters nor poetry which
expresses emotions.
 Technical writing is neither an expressive essay narrating an occurrence.
 Technical writing is not journalism, written to report the news.
 Technical writing does not focus on poetic images, describe personal experiences, or report who won the basketball
game.
 Instead, technical writing is:
 - an instructional manual for repairing machinery - a memo listing meeting agendas - a letter from a vendor to a client
- a recommendation report proposing a new computer system.
7 Cs of communication
 Completeness
 Conciseness
 Consideration
 Clarity
 Concreteness
 Courtesy
 Correctness

The Tone for Business Letters
•Do not come across as arrogant, or boastful.
•Make your tone conversational, yet professional.
•It’s generally a good idea to get to the point as
quickly as possible.
•When writing letters that contain bad news, maintain
the concise and professional tone of a business letter,
but also be sensitive to the reader’s feelings. You
don’t want to burn your bridges.
Common Mistakes and Errors
Avoid routine mistakes in your business letter,
because they suggest sloppiness. Run the text
through Grammarly to double-check for:
•Grammar issues
•Typos
•Duplicated words
•Punctuation mistakes
Make sure to also do a spell check while you’re at it.
Any proper names you’re using in the letter — do a
Google search to double check that you’re spelling
