Purchasing Requisition functionality has been brought into the desktop side of the application with GP2013 R2. Leveraging the knowledge of the functionality in Req Management and the feedback from customers and partners, we’re building the requisition functionality from the start. The look and feel is like a transaction entry window in GP, but with fewer verified or required fields. If the user doesn’t know the vendor or cost of an item, they can still submit the requisition to the purchasing agent. With a tight tie-in to Workflow from the start, you can leverage Dynamics GP functionality to manage the business‘s goods request process.
Workflow is being completely redesigned and rebuilt to be based in Dexterity rather than SharePoint. The first release of the new system will include five workflow types, and several methods for workflow approval.
The identity management feature for GP 2013 R2 has some addresses a couple of immediate needs with the web client but will also provide additional identity capabilities as we move into companion apps and a service based architecture. The immediate impact it will have is on the web client, where it will improve the user login experience. Currently a user logs into the web client by providing a Windows identity on the Logon.aspx page and then they provide their GP login (aka SQL Login) on the GP login window. The changes made for this feature will allow the user to log into Dynamics GPwith their windows identity. A web client user will not require a SQL Login. Notice we talk about this for web client. That is because this functionality is only available in the web client, desktop client users will still require a GP/SQL login. Another change for R2 is that the user may choose to remember their Windows user name and password on the aspx login window, so subsequent logins to Dynamics GP from a trusted device will not prompt the user for credentials.

With the R2 program we’re introducing a number of new modules to the Web Client, primarily focused around added value for Self Service Users.
This starts with a Self Service home page:

In Dynamics GP2013, you can enter timecards and enter time on behalf of a user directly in Dynamics GP. Deployed on either web client or desktop client and integrated with workflow, employees can submit a timecard or recall a previously submitted timecard.
Project Time and Expense (PTE) is a collective all the all the features from both Business Portal Project Time and Expense Entry and PDK. With PTE those features are elevated by incorporating full workflow functionality. Users will be able to view the timesheet and expense document as they flow through the approvals systems, and recall and edit them prior to approval completion.
In order to best utilize these Self Service features we’ve built a new Workflow solution that is native to the GP product.
Finally, we’ve simplified security through our Identity Management work that unifies a GP users with their Windows Auth account to reduce the logins needed.
Enhancement to SmartList Designer that release with SP2. Enables user to create GoTo’s to forms, navigation lists, SmartLists and Web Pages from a SmartList record.
When you need to limit user access to a company in order to perform maintenance or business process, you can take the company off-line so only the user needing to perform the task can log in. The administrator is also able to message the users of upcoming events or to ask them if they can exit the application.
In many cases, GP database backups are typically stored on the same disk or at least the same computer as the SQL Server. This doesn’t provide the customer the ability to recover from a disaster. You will now have an option on the Backup Company window to easily backup your GP databases directly to Windows Azure storage. Providing an easy way to create off-site backups that will get you up and running again in a disaster.

Back Up and Restore of SQL Server Databases
The combination of Microsoft Azure Storage and Virtual Machines provides a great cost effective solution for backing up and restoring your on-premises SQL Server images. On-premises SQL Server images can be backed up asynchronously to Microsoft Azure Storage and in the case of an on-premises failure, the azure virtual machine can be quickly utilized to restore the image to reduce end user downtime.
Treat Microsoft Azure as a giant “hard drive”. Why do we call it a giant? Microsoft Azure Storage has over 10 trillion objects, processes an average of 270,000 requests per second, and reaches peaks of 880k requests per second! Microsoft Azure Blob storage is actually the top most rated by Nasuni Cloud storage report. This ranking is based on a number of factors like read/write speeds, availability and performance metrics.
Additionally, data is asynchronously copied to another datacenter that’s at least 400 miles away.
So you can be sure that every piece of data that you store in the Azure Blob is available as well as protected against regional disasters (we call this geo-replication).
Geo replication is a unique feature, that differentiates us from competition.
In previous versions of GP, users did not have the ability to email and print batches or statements in one step. End-user would need to go back into the form and attempt to print after you completed your email process. This update will now allow customer to E-mail and Print all the transactions in one step. In the batch (PM, RM, SOP, POP) forms the UI will not change; user will simply mark both options to Print and Send Documents in E-mail. Print Receivables Statements form, a new checkbox option will be added stating Print Remaining Statements
Will be able to send any report from using a Word Template. In the Email Options will have a .docx as a file type and can select template. *Web Client – will automatically create a template for report when you print/email and choose template option. Desktop – will need to create the template prior to sending via email (can use template generator tool or dex.ini switch to quickly create template).
Email functionality added to the Customer Email Options to allow the end-user to point to specific email addresses to use based on the document type. Can choose one specific email address or multiple from the drop-down. Email addresses will populate from the email addresses that have been entered for the Customer in the Internet Options form for the customer’s various address IDs.
Example of benefit: Previous to this release , Sales Quotes and Sales Order would be using same email address unless changed at the time you send the Quote or Order at the transaction level; User may want to send all quotes to specific address and all orders to different address; this feature will now allow this.
Users will be able to attach physical documents directly from a scanner.
We are adding Doc Attach to Payables Transaction and flowing them from the vendor card.
OLE objects on notes will be replaced with Doc Attach and a utility will be available to move existing OLE files into Doc Attach.
The OLE file attachment functionality on the notes will be replaced with Doc Attach Functionality which will work on both the Desktop Client and the Web Client. The files will be stored in the SQL databases along with the rest of the Dynamics GP data which will eliminate pathing issues and make backups and restores simpler.
For users that have OLE file attachments on Notes in Dynamics GP, HR or Manufacturing, running this utility will extract those files and them import them into the SQL tables for Doc Attach.

With R2, we are freshening the user interface on the desktop client by adding ribbons to the forms and updating the font to a more current look.
This was a service the professional service team would do for customer’s that needed to open the previous fiscal year. Will need access to Year-End Closing form; will prompt warnings that backups are required prior to performing process; will require all user’s be out of the application and will check the ACTIVITY file. Process button will be disabled if End-user is not Maintaining History in the GL Setup form.
This feature allows you to have default asset IDs for new assets based on the Class Setup.
This feature further integrates Analytical Accounting with Financials. Prior to this functionality, the revaluation process would not update corresponding AA entries. Now the AA amounts can be updated in conjunction with the standard revaluation process.
Quickly copy data from an excel file and paste into the Financial Transaction Entry form. Columns will need to be in corresponding order: Distribution Reference, Account Number, Debit and Credit. Highlight the data in excel, choose copy and then click the paste button to bring the data into GP. A validation report will print indicating any errors.
In the Bank Posting Reports, you will be able to print the Outstanding Transactions report that printed when you reconciled your checkbook if you keep history. Now, you can access the same information at any time.
This was a high vote count from MsConnect; In past, end-users would manually have to change at the time of print Sort Checks By option in Print Payables Checks each time they printed a batch of checks. Now they can make the change in PM Setup and can see that sort default each time they want to print.
In Sp2, we’ve added additional Suggested Items functionality. Analyze and suggest items based on historical data, create a sales script for the customer service reps to use when looking at the suggested items in Sales Transaction Entry. And give the CSR additional information to help provide a higher quality customer experience.
In Site Maintenance, there is a new window called Site Item Assignments. Here you can select an item and view which sites the item is assigned to and mass assign or unassign the item from multiple sites.
With Dynamics GP2013, you can turn on Prepayments even when integrated with AA, MDA or Project Accounting. Now prepayments are fully integrated in the system and with the addition of the PO Number display in Payables Payments Zoom, you can see and zoom to the PO # that the prepayment is linked to.
These are similar reports to what is available today with Encumbrance Management. Now, they are offered in SSRS to give you greater flexibility to customize for your needs.
With the success of the Web Client we’ve began the process of replacing the Business Portal. The original intent of BP was to provide non GP Users a remote method of performing Employee Self Service tasks such as Requisitions, Attendance, Project Expense and general KPI analysis. The Web Client provides a platform for all of these tasks plus greater visibility of GP information through the Limited User Role.
Powerful Business Analyzer Metrics are available from within the Limited User Role as well as Enquiry access to all forms that the user is granted security to.
In order to complete the BP Replacement we are building several Self Service tasks into core GP including: Requisition Management, Employee Self Service, Project Time and Project Expense. Most of these solutions are on track for our R2 release with the remaining solutions coming with GP 2015.
Not only will customers have more functionality available with the Limited User Role in Web Client than today’s Business Portal, we are also building out Companion Apps for certain self service functions such as Procurement and Time Management. These cross platform apps will enable “on the go” users to use their favorite device to enter vacation or sick time directly from an iPad, Android tablet or Surface device! Current plans support three apps with additional research leading to other possible apps.
Our goal is to finish all of this work between R2 and GP 2015 and provide those solutions for a BP Replacement. We will NOT be releasing Business Portal with GP 2015.

We have a release coming in the first half of 2014 with another set of features that are directly in response to customer suggestions. This release will bring to market 40 additional features. All of this before the next “major” version has even hit the street!
We are getting great feedback on this strategy and will continue this half year cadence as we move into and beyond the GP 2015 release.
