NCAA ProcessingWe have been working to prepare new encoding that will calculate the key NCAA certification elements for student athletes:1.8/1.9/2.0 GPA standards40%/60%/80% standards6/18/24 standardsAs of this week, we now have an established project plan with a schedule for testingPrimary testing will begin this Fall, with key testing to occur after Fall grade reporting
Returner ProcessQuestion regarding Returner process:The term we are now using is ‘Returner’ as opposed to ‘Readmit’Student does fill out admission paperwork, but we consider all Formerly attending students to still be ‘Continuing’ for paperwork/app processingThe process “updates their status” back to ActiveDifference between in-person vs. online appOnline app takes at least 72 hours to be receivedIn-person app is received same-dayIn special circumstances, could be started same-dayIncomplete apps are held and not processed
Second Bachelor’s StudentsQuestion was raised about this processOnce Registrar’s Office is notified by the Graduate School that a newly admitted 2nd Bachelors student has data to enter, we place the student in line for entryAll available transcripts are enteredFor dealing with issues on 2nd Bach students:If the transcripts are not in imaging but the student was fully admitted, contact the Grad SchoolGive them some time for imaging processingIf the transcripts are in imaging, contact RegOff
Sealed Envelopes – Official TranscriptsThe Registrar’s Office accepts any Official transcript, even if the sending institution had previously sealed the transcript in an envelopeThe student or an advisor can remove it prior to submitting it to the Registrar’s OfficeThis would allow for making a personal copyKey point: Admissions/Registrar needs to receive the original Official transcript as quickly as possible after the transcript is produced
DuplicationsGeneral info:The Registrar’s Office runs a report at least once per semester to locate course duplicationsThis report finds duplications based on course identities on native UNT registration, and from transfer credit after it moves from DARwin into EISThere are certain scenarios that the report will be unable to find/connect:Special Problems/Topics where the topic repeated; identical but non-equivalent courses; transfer courses left as TRAN9T**; and various other situations
Duplications (cont’d)Therefore, except on extremely straightforward dups (ENGL 1310/ENGL 1310), you may choose to go ahead and submit a dup form as a backup to insure the dup is identifiedAlso, since the process only runs once or twice a semester, if a student has a dup that could impact academic status (such as new transfer work), you may want to go ahead and get the form in so that the status is updated immediately
