During the year-end closing process, the Average Cost is not updated. The Average Cost will
continue to be calculated based on all Receipts and Adjustments posted throughout the year. The year-
end closing process does not recalculate or reset the Average Cost.
Q2: What happens to the Quantity Sold field for each Item during the year-end closing process?
A2: During the year-end closing process, the Quantity Sold field for each Item at each Site will be reset
to zero. This prepares the Quantity Sold amount to start accumulating transactions again for the new
fiscal year.

but you can do this anytime after the update has been released
• You must be on a supported version (including product updates), have
installed the IRD and the Aatrix update prior to processing W2’s or ACA

Electronic delivery and PDF storage must be enabled for period-end reports in the Paperless Office Options window. For more information, see Set Up Paperless Office.
In the General Ledger, Accounts Receivable, Accounts Payable, and Sales Order, Inventory Management, and Purchase Order modules, select the reports to print in the Period End Report Selection window before beginning period-end processing. In other modules with period-end processing, you can select the reports to print only during period-end processing. For more information, see Period End Report Selection.
Period-end report PDF storage options must be set up in the Paperless Office Period End Report Maintenance window. In the Auto Create PDF field, Yes or Prompt must be selected. For more information, see Period End Report Maintenance.
Note PDF and electronic delivery settings are defined in Period End Report Maintenance. Multiple settings can be defined for a single period-end report. For example, one setting can be defined for all period-end reports in all companies and all modules, and another setting can be defined for a specific period-end report in a specific company and module. For more information about the specific setting that is used, see PDF and Electronic Delivery Option Hierarchy.
New menu item for ACA – make sure role maintenance allows someone access.
ACA applicable large employer report – if perpetual history was enabled at beginning of year then you can run this report which will load the appropriate monthly data into each employee. Note that the report is a calculated number since payroll periods may span across months. You should verify the accuracy and edit appropriately.
The following occurs during quarter-end or year-end:
Quarter-to-date or year-to date information is cleared.
Check history is cleared if not retaining check history in the Payroll Options window.
The Quarterly Tax Recap is purged.
Workers' compensation information is purged.
All terminated employees are removed at year end.
All employee deductions with met goals are removed at year end.
Benefit accruals for each employee are reset based on the options selected in the Payroll Options window at year end.
Checklist
Set the Payroll accounting date to the quarter-ending date.
Print the Quarterly Tax Report, Payroll Check History Report, and Quarterly Pay Period Recap. Verify that all checks and adjustments have been entered for the current quarter.
Print the Quarterly Governmental Report.
Print the Quarterly 941 using Federal eFiling and Reporting.
If performing quarter end for the fourth quarter (year end), print and verify the W-2 Forms using Federal eFiling and Reporting.
Back up the Payroll files onto a quarterly set of backup disks or tapes.
Select the Quarter End Processing task in Period End Processing. If performing period-end processing for the fourth quarter, select the Quarter and Year End Processing task.
Select the reports to print for the period end. Print at least the Quarterly Tax Report and the Payroll Check History Report.
Complete period-end processing after all of the selected reports have been printed.
Back up the Payroll file using a separate set of disks or tapes from the set used to back up the system in step 6.
If you are in the wrong year, change to the correct year. You may be prompted to setup 1099 boxes based on the last IRD installed. If current IRD is installed you should be fine.
If report is different from 1099 it may be because the vendor has multiple 1099 types. If in fact they do not match, then you should edit the data for the vendor to match the payment history report as long as every invoice they have would be subject to 1099 regulations. Vendor Maintenance – additional tab – 1099 button. Choose appropriate form and box and enter amount.
Back up the Accounts Payable files onto a monthly set of backup disks or tapes.
Verify that all invoices and checks are recorded for the current month.
If you are performing period-end processing for the month of December (the end month of the calendar year), print, verify, and clear all 1099 forms (if your company prints 1099 forms for vendors).
Perform period-end or year-end processing. For more information, see Perform Period-End and Year-End Processing.
Select the reports to print for the period end. Print at least the Accounts Payable Aged Invoice Report and the Check History Report.
Complete period-end processing after all the selected reports have been printed.
Back up the Accounts Payable files using a separate set of disks or tapes from the set used to back up the system in step 1.
