5.Event Purpose: This event is not only an incentive trip provided to the store with the
highest yearly sales at the end of 2018, but it is also the opportunity of a lifetime for
employees to learn from actual chefs in Mexico and immerse themselves in Mexican
culture.

7.Event Date: February 24- March 2, 2019
8.Expected Event Program: Qdoba will team up with “Cook in Mexico- All Inclusive
Culinary Vacation” for their 2019 incentive and professional development trip! This is a
real-life program that takes groups on a 6-night, 7-day all-inclusive experience where
attendees take cooking classes from local chefs, go on excursions and tours, and enjoy as
much food and drink as they please.
9.Event Destination: Casa Novem in San Miguel de Allende, Mexico
Why did you select this event host (corporation client) and this event? This is such an
amazing program that will not only educate employees on authentic Mexican cuisine, but
will also celebrate the success of the best business and its employees! For me, when I truly
feel appreciated and am given the tools to enhance my skills, it makes a world of difference
and makes me more loyal to the company. By taking successful employees on a once in a
lifetime experience, Qdoba can continue to increase sales and build loyalty for years to
come!
4. Purpose
and
Objectives
•Mission Statement: Our mission at Qdoba is to create a welcoming environment for
our customers with high-quality menu items featuring bold flavors.
•Meeting Purposes: The purpose of this meeting is to not only be an incentive trip for
the store with the highest sales, but to also serve as a professional development
opportunity for Qdoba employees. They will be able to celebrate their success while also
learning more about Mexican culture and cuisine.
•Event Theme: “Live a More Flavorful Life”
•SMART Objectives and Measurement Strategies:
•To gain an increased understanding of Mexican culture by the end of the trip on
March 2, 2019.
•Measurement: Before the trip, on February 22, 2019, host a meeting with
attendees and have each person say one thing they already know about
Mexican culture. Require all attendees to attend a follow-up meeting on
March 4, 2019 where each member will discuss three new things they learned
about Mexican culture.
•To learn about authentic Mexican cooking techniques and ingredients by the end
of the trip on March 2, 2019.
•Measurement: At the required meeting on March 4, 2019, split attendees
into equal groups. They will have one hour to create a main entree that must
include three new ingredients they learned about and two new cooking
techniques that they learned from their experience with Cook in Mexico.
•To receive 100% satisfaction rate from attendees by the end of the trip on March
2, 2019.
•Measurement: At the required meeting on March 4, 2019, attendees will
complete a satisfaction survey using the Likert scale that measures overall
satisfaction of the hotel, location, workshops, excursions, length of trip,
application of knowledge, teambuilding, and the experience as a whole. The
results will be collected and analyzed at the end of the meeting.
5. Site Selection and Venue
•Destination Selection: San Miguel de Allende, Mexico
•Reason: This is where Cook in Mexico has chosen to host their week-long educational experience. It has been
named the #3 city in the world and the #1 city in Mexico, Central America, and South America. It is an old colonial-
style city with a ton of history and a vast amount of culture. This city provides a genuine and authentic view of
Mexico that will provide Qdoba employees with rich knowledge that they can apply to their positions at the
company.
•Advantages of having an event in this destination: It is rich with culture and would be a very beneficial learning
experience for Qdoba employees. Not only will they learn a lot of information that they can transfer to their jobs, but
this is also an experience that many of them have probably never had before. Traveling is so important and to be able
to go out of the country and experience new things is truly a gift.
•Concern of having an event in this destination: Most people might be concerned with safety. There are a lot of
stigmas around Mexico that it is a really dangerous country. Also, some people get sick when travelling and could
potentially contract a virus. Lastly, travelling out of the country always comes with a bigger risk and you have to be
careful and knowledgeable before travelling to somewhere new.
•Event venue: Casa Novem
•Comparison chart with two other candidate venues: There are not really other candidates as I am specifically
wanting to take them on this trip so that they can learn a ton of new knowledge from this program. However, I feel
like Mexico City or Tulum would have also been great contenders as they are bustling with people and also have a lot
of history of culture. However, I am happy with the choice of San Miguel de Allende because of never heard of it
before and it is an older town that is authentic.
•Advantage and Concerns: An advantage is that this will be the experience of a lifetime and they will get everything
for free. Casa Novem is a beautiful villa that is right in the heart of the city. A concern would be that guests would
feel uncomfortable sharing a house together.

12. Pool Fiesta AV and
Technology
The Pool Fiesta is a large celebration to honor the
hard work of the employees. It will begin with a
speech from the CEO thanking the employees
and talking about why their work matters.
Afterwards, a party will commence. There will be
a DJ playing music and the projector screen will
be showing pictures from the vacation since this
party is towards the end of the trip. There will be
a bar, a buffet dinner, and dessert. I’ve decided to
go with high tables and stools because I believe
people will only be sitting for a short time to eat
and then they will be dancing and going in the
pool. There are not many AV needs since we will
be at a house. There are outlets and lighting
outside already. The CEO will rehearse the speech
three hours before the event to test the sound.

1.The weather in Mexico could potentially affect
the many excursions that are planned. We can
accept this risk because the weather is warm
and sunny for the most part. There is a low
probability that weather will be a risk.
2.Some people experience sickness while
traveling and also, they could get food
poisoning. We can reduce this risk by having the
proper medicine and equipment with us.

company instead of doing that by myself.

the property to make sure that the wifi is

1. Reaction and planned action The plan is to honor the employees at the Qdoba store with the highest sales at the end
of the year. This is an incentive trip that also serves as a professional development
opportunity as they will be emerged in cooking classes.
A reflection meeting after we return from the trip where employees will fill out
a survey. This will judge satisfaction and what they learned.
2. Learning Employees will be taking various cooking classes throughout the week where they will
learn authentic Mexican cooking techniques and ingredients.
At the meeting, employees will list three things that they learned from the trip.
3. Application They will apply the knowledge that they learn on this trip into their everyday jobs at
Qdoba. Also, this trip will bond the team closer together and increase team work.
The manager will give monthly reports to the CEO updating them on the
work environment.
4. Business impact This trip will hopefully encourage stronger work ethic and in turn, this will increase
sales. If employees are happy at their jobs, it makes them want to genuinely work at
their best and see the company succeed.

Since this corporate meeting is serving as an
incentive trip/professional development
opportunity, I want to provide the attendees
with nice gifts while also promoting the
company. I have decided to give each
attendee a Qdoba backpack filled with a
water bottle, lanyard, and a cookbook filled
with Mexican cuisine recipes. I think
attendees will feel appreciated and after a
trip like this, they will be proud to show off
their Qdoba swag items.
