The HughesCenterHighschool reunioncelebrationwill be aneventforall students who’veattended
and graduatedfromthe highschool inthe year2012. The celebrationwillrepresentgraduated classes
from2012, we will be celebratingaccomplishmentsfromall walksof life.The theme of the eventis“Big
Red,10 yearslater”the school’smascotandchant has alwaysbeen”BIGRED”, sowe hope tobringback
all of the bigred memoriesandhighlightmanyaccomplishmentsand successstoriesoverthe last10
years. Thiswill be a casual event,we hope tobringan energeticandfunatmosphere.Ourcompanyhas
firstcreateda reunioncommittee tohelpwithtasksuchasfood,decorations,contacting,promotions,
etc.
Budget
The HughesCenterHighschool Alumni associationhaspartneredwithmyeventplanningcompanyto
make thisone of the bestreunioncelebrations.Theyhave agreedto donate $5,650.00 inadditiontothe
$3,450 that the school original plannedtospend, totalingin abudgetof $9,100.00.

Cincinnati,UChas a partnershipwiththe highschool andhasagreedto rentout theirballroomata

- SPECIAL EVENTS AND VENUE CONTRACT -
This Agreement is made effective as of _____,by and between THE TANGEMANBALLROOM AT THE UNIVERSITY
OF CINCINNATI and ElleAye & Moore Event Planning LLC.
DATES/TIMES of permitted use, access to the facility of the event will commence at 9:00am the day of the event and will
end no later than 10:00am the following day
RENTAL FEES
Lessee shall pay lessoras a rental fee of $1,500.00. The lessee shall deposit the sum of $250.00 to the lessor upon the
execution of this agreement. Remaining due should be paid no less than 30 days after event has been held. Renter must show
proof of insurance and liability forms before payment may be accepted.Payment may be made out via cash delivery, check,
or credit.
*Under the Ohio safety and regulation laws* this venue may only hold up to 700 people max, if event plans to have more
people than the venue has allotted you must get approval by the fire Marshall. Upon signing this contract you agree that
venue will be given in a “as is” form and shall be returned in the same state.There shall be no smoking in the venue under
any circumstances, if guest violates this matter a fine of $500.00 will be added to bill. If guest needs extra setup or electrical
help an on staff employee will be assigned to your event in case of set up/ breakdown help is needed. If you need a stage,
projector, or electrical task conducted the assigned staffwill assist in all areas.

Because this eventwill be expectinggraduatingclassesfrom 2012 we are expectedahuge guestturn
out of at least500 people.Ourreunioncommitteehasbeenworkingwiththe alumni associationtoget
incontact withpeople whowere apartof those graduatingclasses. We have createdFacebookPages
such as “The BIG RED ReunionCelebration”where peoplecancheckin andhave beensentan online
invitation.Ourreunioncommittee hasalsogotas manyaddressesaspossible andsentourofficial
invitesinvitingpeople tothe reunioncelebration. We have decidedtocreate a small invitationbooklet
of memoriesof eachclass.Includingsportvictories,homecomingpictures,andfunmoments.We will
printthese bookletsoutatFEDEX at $1.00 perbook includingcolorforthe pictures.Hopingtoget
everyone’sattentionandbringbackmemoriesaswell asgetpeople excitedaboutattendingthe
reunion.
Floor Plan
Floorplanselectedwillconsistof 50 roundtablesthatcan sit up to tenpeople,there willbe adance
floor,anda stage setup,the foodwill be setupinthree buffetstyle tableswithdrinksatthe lasttable.
Entertainment
Platinumsounds EntertainmentandDJwill entertainguestbyplayingall the oldmusicthatwas out
duringthat time era.Theywill alsobe providingalive bandthatwill beginexactly1houraftereventhas
startedand end30 minutesbefore eventends.We alsowill be havingaprojectortoshowcase school
highlightssuchashomecominggames,athletes,memorableyearbookphotos,andsome of our favorite
teachers. Platinumsoundsandentertainmentwill alsoprovide aphotographer,sincethisisan
entertainmentcompanywe cangeta package deal for$1,000. The deal includesaphotographerwho
providestheirownequipmentsuchascamera, lights,andbackdropof our choice.A band that hastwo

the venue withthe colorsof the school;red,white,andblack.We will place balloonsof the agreed
colorsat the frontentrance where check-inwill be held.Balloonswill be placedineachcornerof the
venue. Whenguestfirstarrive there will be abannerthatsays “Welcome BackC/O 2012”, we must
purchase.Each table will have avase full of Hersheykisseschocolate.Vasescanbe purchasedat party
cityfor $2.99 and candycan be purchasedat Walmartfor $1.99 a bag, we will needapproximatelyone
bag of candy for eachtable to fill upeachvase. Linenswill notbe providedsowe mustrentlinensinthe
colorsof red,white,andblack.There are 50 tableswithanadditional three tablesforfoodanddrinks,
so 53 linensneedtobe rented.Seventeenredlinens,17white linens,and17black linenscanbe rented
from“AmerigroupStyle andDecoration”for$3.99 for a 17” table clothlinen.

invitationshave beenprintedandaddressesforinvitationhave beengatheredbythe
alumni committee.Ensure venueandvendorsare a guarantee,andcontractsare have
beensigned.
o One monthin advance- Make sure all decorationshave beenpurchased,entertainment
and photographerhave signedcontracts,invitationshave beensentoutandguesthave
begunRSVP,make sure parkingareawhere guestwill parkhasbeenreserved,fire
marshal has approvedvenue areaspace,alumni committee isupdatingandinforming
all social mediapagesaboutthe upcomingevent.
o One Weekinadvance- All decorationsare alreadyatthe venue,entertainmentandfood
set-upare prepared,all volunteersare aware of theirjobresponsibilities,all itemsare
printedsuchas foodmenusforeach table,guestname tags.Mediaslideshow and
photosare prepared.
o One day inadvance – All vendorshave accesstobuilding,reunioncommitteehasaccess
to the buildingtosetupdecorations,tables,cleananythingthatneedstobe cleaned,
entertainmentisthere forrehearsal doingsoundcheckandmakingsure all equipment
isworkingproperly.Foodtablesare ready.

The Tangeman Ballroom at the University of Cincinnati - SPECIAL EVENTS AND VENUE CONTRACT - This Agreement is made effective as of _____,by and between THE TANGEMANBALLROOM AT THE UNIVERSITY OF CINCINNATI and ElleAye & Moore Event Planning LLC. DATES/TIMES of permitted use, access to the facility of the event will commence at 9:00am the day of the event and will end no later than 10:00am the following day RENTAL FEES Lessee shall pay lessoras a rental fee of $1,500.00. The lessee shall deposit the sum of $250.00 to the lessor upon the execution of this agreement. Remaining due should be paid no less than 30 days after event has been held. Renter must show proof of insurance and liability forms before payment may be accepted.Payment may be made out via cash delivery, check, or credit. *Under the Ohio safety and regulation laws* this venue may only hold up to 700 people max, if event plans to have more people than the venue has allotted you must get approval by the fire Marshall. Upon signing this contract you agree that venue will be given in a “as is” form and shall be returned in the same state.There shall be no smoking in the venue under any circumstances, if guest violates this matter a fine of $500.00 will be added to bill. If guest needs extra setup or electrical help an on staff employee will be assigned to your event in case of set up/ breakdown help is needed. We have decidedtocreate a small invitationbooklet of memoriesof eachclass.Includingsportvictories,homecomingpictures,andfunmoments.We will printthese bookletsoutatFEDEX at $1.00 perbook includingcolorforthe pictures.Hopingtoget everyone’sattentionandbringbackmemoriesaswell asgetpeople excitedaboutattendingthe reunion. Floor Plan Floorplanselectedwillconsistof 50 roundtablesthatcan sit up to tenpeople,there willbe adance floor,anda stage setup,the foodwill be setupinthree buffetstyle tableswithdrinksatthe lasttable. Entertainment Platinumsounds EntertainmentandDJwill entertainguestbyplayingall the oldmusicthatwas out duringthat time era.Theywill alsobe providingalive bandthatwill beginexactly1houraftereventhas startedand end30 minutesbefore eventends.We alsowill be havingaprojectortoshowcase school highlightssuchashomecominggames,athletes,memorableyearbookphotos,andsome of our favorite teachers. Platinumsoundsandentertainmentwill alsoprovide aphotographer,sincethisisan entertainmentcompanywe cangeta package deal for$1,000. Whenguestfirstarrive there will be abannerthatsays “Welcome BackC/O 2012”, we must purchase.Each table will have avase full of Hersheykisseschocolate.Vasescanbe purchasedat party cityfor $2.99 and candycan be purchasedat Walmartfor $1.99 a bag, we will needapproximatelyone bag of candy for eachtable to fill upeachvase. Linenswill notbe providedsowe mustrentlinensinthe colorsof red,white,andblack.There are 50 tableswithanadditional three tablesforfoodanddrinks, so 53 linensneedtobe rented.Seventeenredlinens,17white linens,and17black linenscanbe rented from“AmerigroupStyle andDecoration”for$3.99 for a 17” table clothlinen.
