Project evaluation
- how to do it right?

WHAT is evaluation?
● systematic investigation, observation and interpretation of
information;
● process of obtaining information and using it to come to
some conclusions which will be used to take decisions
In other words…
Imagine you are cooking! Before you start cooking, you
place all the different things you need for cooking on
the work surface and you check if you have everything
you need, and more importantly, if you have all the
right ingredients. It may not be a good idea to notice
half way through cooking that you do not have the corn,
or even worse, that you bought fish instead of chicken!
After you start cooking, you occasionally open the lid on
the pot to check the colour and the aroma, to make
sure things are going according to plan. Of course, you
also occasionally taste the dish you are cooking to check
if you have added the right amount of salt r if the pasta
is cooked to perfection. And finally, when you have
proudly served the meal you prepared to your friends or
family, you naturally ask them if they like it.
WHY to evaluate?
● to change and improve
● to control the process
● to check if the
objectives are fulfilled
How often do we
evaluate?
● Initial – which is the evaluation of aims, and
planned outcomes of our project, we do
check if they are relevant, time limited,
realistic
● mid term – “in the middle” of the process,
in order to check if everything goes
according to the plan
● final – in order to check if we managed to
fulfilled our aims
● ongoing – in order to control the process, to
check if “things go into right direction” (for
example reflection groups)
● post – in order to check if the long term
outcomes managed to come truth
WHAT do we
evaluate?
➔ objectives – in order to check if the process
goes into the right direction, if the goals have a
chance to be fulfilled
➔ achievements – the fulfilment of the objectives,
according to indicators (signals, data,
information that is confronted and interpreted
according to what was expected, and provide us
with evidence of the level or evolution of
certain process)
➔ process – to realise if it goes according to the
plan, and to be able to change it if necessary
➔ competencies – knowledge, skills, attitudes,
abilities and values of people involved in a
project
➔ performance – connected with “how individuals
behave professionally” (for example how youth
leader organises an activity, interacts with
participants, facilitates group discussion)
HOW do we
evaluate?
➔ FORM
(verbal, non verbal, written)
➔ FOCUS
(content, process, emotions)
➔ INTERACTION
(personal, interpersonal, group)
WHO and FOR WHOM?
➔ the participants – as the target group of the project
➔ the facilitators, leaders, team members – as people responsible for animating the activity
➔ the organisers and partners – as promoters of the activity
➔ the founders – as supporters of the activity
➔ the decision-makers – as those “responsible” for considering the results of the evaluation in further
decision making processes.

It may not be a good idea to notice half way through cooking that you do not have the corn, or even worse, that you bought fish instead of chicken! After you start cooking, you occasionally open the lid on the pot to check the colour and the aroma, to make sure things are going according to plan. Of course, you also occasionally taste the dish you are cooking to check if you have added the right amount of salt r if the pasta is cooked to perfection. And finally, when you have proudly served the meal you prepared to your friends or family, you naturally ask them if they like it.
  • 4. WHY to evaluate? ● to change and improve ● to control the process ● to check if the objectives are fulfilled

How often do we evaluate? ● Initial – which is the evaluation of aims, and planned outcomes of our project, we do check if they are relevant, time limited, realistic ● mid term – “in the middle” of the process, in order to check if everything goes according to the plan ● final – in order to check if we managed to fulfilled our aims ● ongoing – in order to control the process, to check if “things go into right direction” (for example reflection groups) ● post – in order to check if the long term outcomes managed to come truth

WHAT do we evaluate? ➔ objectives – in order to check if the process goes into the right direction, if the goals have a chance to be fulfilled ➔ achievements – the fulfilment of the objectives, according to indicators (signals, data, information that is confronted and interpreted according to what was expected, and provide us with evidence of the level or evolution of certain process) ➔ process – to realise if it goes according to the plan, and to be able to change it if necessary ➔ competencies – knowledge, skills, attitudes, abilities and values of people involved in a project ➔ performance – connected with “how individuals behave professionally” (for example how youth leader organises an activity, interacts with participants, facilitates group discussion)
  • 7. HOW do we evaluate? ➔ FORM (verbal, non verbal, written) ➔ FOCUS (content, process, emotions) ➔ INTERACTION (personal, interpersonal, group)

WHO and FOR WHOM? ➔ the participants – as the target group of the project ➔ the facilitators, leaders, team members – as people responsible for animating the activity ➔ the organisers and partners – as promoters of the activity ➔ the founders – as supporters of the activity ➔ the decision-makers – as those “responsible” for considering the results of the evaluation in further decision making processes.
