- The term is loosely defined, in fact - it wears many disguises.
- Wired - “an event in which computer programmers and others involved in software development and hardware development, including graphic designers, interface designers and project managers, collaborate intensively on software projects.”
- Define what we did at Adelphi under this term - close to its classic definition.
- With this presentation, we want to actually address the plethora of events of similar type that are increasing in popularity nowadays.
- Hacking is no longer a scary, negative word. Hacking implies creativity, innovation, remixing, and more.
- I find hackathons to be the most beneficial to patrons and students. Honestly, I can’t even list all the reasons why I personally love attending such events.
- So what are some benefits a hackathon can bring to your library? There is a lot that can be said of the value hackathons bring. Games club promoted their club and taught students how to use Construct 2. Some students used what they learned in the competition.

In our case, the main benefits we saw in organizing this event were: to generate some fresh ideas or solutions to some of our internal problems, to engage students more and present the library as an innovative hub and interesting place, to market our services and educate students about what we offer.

- important to do this in the very beginning. Get the legal department to create waivers. Show waiver legal created for us. Also contact IT and facilities to make sure you have wifi, power supply adequate for the event. look into what public libraries do - do they have separate IT, legal and marketing departments - look at nypl - ask debbi?
- we had to reserve the room a year in advance!! make sure you carefully consider your dates. don’t book near exams, major research assignment due dates, holidays, etc. we had to book right before spring break and this most definitely affected registration. consider multiple venues for best date if your top venue isn’t avail.
- library budget, university budget (we approached the provost), also external sponsorship. make sure to have guaranteed/set budget so you know what you’re working with. We needed to make sure budget was confirmed from Provost, library before we started look into what public libraries do - do they have separate IT, legal and marketing departments - look at nypl - ask debbi?
- One of the key draws for student attendance will be prizes. Have awesome prizes and make sure most of your budget is spent on this! We had several prizes - cool technology for first place (smart watch) and amazon gift cards for second and third place. We thought students interested in hackathons would be interested in tech prizes. Be careful not to plan prizes too far in advance if they are tech related or they might be outdated by the time the event comes around. You can set aside a certain amount of the budget for prizes but don’t focus on one thing too early on. If we’d ordered smart watches one year in advance of the event when we booked the room, they would have been obsolete.
- various ways to do this - in house (especially if you have a marketing/outreach librarian), we had a student intern from the graphic design department, you can also go through your school’s marketing department or be creative - we reached out to graphic design dept and arranged with the prof. to assign a hackathon branding package assignment to the students we had cool sign, website banner, leaflets, print posters.
- also include post-event marketing (banner of winners). didn’t take that much advantage of. newsday didn’t happen. adelphi didn’t promote after that. encourage Dean to meet with other external administrators. winners invited to present to library staff.
- We had to go through our school’s caterer which took up a sizeable chunk of our budget. If you don’t have to do this, you can just order pizza and keep more of the budget for awesome prizes! make sure you have some food or energizing drinks/snacks for participants
- we had volunteers from the library and external (ed tech program) and judges from relevant departments (library, IT, ed tech). Try to get judges and volunteers from various departments. This will show ppl what library is doing
- We prepared a short ten?min. presentation from the library. Show an outline of this presentation. We included a portion which was suggestions for hackathon ideas. We solicited library department heads to put together some ideas for web apps that students could work on at the event. This helped create a sense of involvement from the library and build a team

- Stan - there is a lot that we learned through this experience (share our doc about positives and lessons).
- Involve everyone as early as possible and update them Marketing and promotion - we shouldn’t have relied on people that didn’t have a direct buy-in our success; start marketing early and push on that front; also capitalize on the success afterwards through promotion Our date was not the best. We should have really booked as soon as we had the initial idea, even before getting people interested and having a budget. Book early and make sure your room can support what you need (wifi, electrical, etc.)
