Eutaw Construction Company, Inc.
Revised Passenger Vehicle Fleet1 Usage & Driver Safety Policy
The purpose of this revised policy is to ensure the safety of both Eutaw passenger vehicle fleet
drivers and the general traveling public, and to provide guidance on the proper use of company
passenger vehicles. Vehicle accidents are extremely costly to our company, and they lead directly
to higher insurance costs and lower profits for our ESOP. Such losses take money directly away
from our employee-owners. However, and more importantly, vehicle accidents may result in injury
to our employees or others. It is every Eutaw driver’s responsibility to operate their assigned
passenger vehicle in a safe manner and to drive defensively to prevent injuries and property
damage. Eutaw further requires each driver to drive in a safe and courteous manner, following all
safety rules and applicable laws. The attitude you take when behind the wheel is the single
most important factor in driving safely, and it reflects our company and values. Eutaw
Safety and Operations are jointly responsible for the development and general administration of
this policy.
A. Driver Guidelines and Reporting Requirements
1. Company vehicles may only be driven by authorized employees who have first been added to
the Passenger Fleet Approved Driving List and for whom the required insurance has been
obtained.
2. Any employee who has a driver’s license revoked or suspended shall immediately notify Safety
or their direct Supervisor, and immediately discontinue operation of any company vehicle.
3. All incidents in company vehicles, regardless of their severity, property damage or estimated
cost of repair, must be reported to Safety within 8 hours by filing an Incident Report through HCSS.
4. Drivers must report all ticket violations received during the operation of a company vehicle
within 8 hours to Safety.
5. Motor Vehicle Records will be obtained and updated on all drivers as required by law and Eutaw
policy and procedure. A driving record that fails to meet Eutaw’s acceptable criteria will result in
a denial or loss of the privilege of driving a company vehicle.
B. Driver Safety Rules
1. Driving a company vehicle while under the influence of intoxicants; prescription drugs,
(which could impair driving ability) and/or illegal drugs, is a zero-tolerance event resulting
in immediate termination of employment. Refusal to submit to a drug and/or alcohol test
in connection with the operation of a company vehicle is also a zero-tolerance event
resulting in immediate termination of employment.
2. No driver shall operate a company vehicle in an unsafe manner or at an excessive speed as
determined in the sole discretion of Eutaw Management.

For purposes of this Revised Policy, “Passenger Vehicle” is defined as all company-titled non-commercial passenger vehicles, including service
trucks. Units in the commercial fleet are governed by the FMCSA, and corresponding company rules, regulations, and policies.

3. Only hands-free cell phone use while driving is allowed, and then only in strict compliance with
Eutaw policy and must be kept to a minimum. Drivers must be aware when the use of a cell phone
is creating a distraction from safe driving and adjust their usage accordingly, including pulling off
the road to continue/finish the conversation if needed. Whenever possible, drivers should conduct
calls while the vehicle is parked. While driving, attention to the road and safety always take
precedence over conducting business over the phone.
4. No driver shall operate a company vehicle when his/her ability to do so safely has been
impaired by illness, fatigue, injury, mental or emotional state, or legal prescription medication.
5. All drivers and passengers operating or riding in a company vehicle must wear seat belts,
without exception.
6. No unauthorized personnel may ride in company vehicles.
7. Drivers are responsible for the security of company vehicles assigned to them. The vehicle
engine must be shut off, ignition keys removed, and vehicle doors locked whenever the vehicle is
left unattended.
8. Drivers are responsible for keeping the vehicle assigned to them in clean, secure and safe
operational condition.
C. Policy Regarding Parking of Company Vehicles
1. Each driver of a company vehicle must follow safe vehicle parking procedures in conjunction
with this policy. All backing up/backing into accidents are considered preventable by Eutaw
Management, and as such, will result in employee discipline, except under extraordinary
circumstances.
a. Avoid backing up altogether when a safer parking alternative exists.
b. Partner with a Spotter when available; when a Spotter is not available, get out of the unit
and do a safety walk around first.
c. Check for overhead clearance.
d. Check the intended path for hazards.
e. Position the mirrors properly.
f. Perform the parking maneuver slowly.
2. All drivers are directed to back the unit into a designated parking space or area, or pull
forward into a parking space where available, so that when leaving the parking space or
area, the unit may be driven forward whenever it is possible, practical and safe to do so.
D. Accident Procedures
1. In the event of an accident, company drivers must prevent further damages or injuries and
obtain all pertinent information and report it accurately. When reasonably possible under the
circumstances:
a. Call 911 for emergency medical assistance if necessary.
b. Call law enforcement.

c. Record the names, addresses and telephone numbers of the driver, witnesses, and
occupants of the other vehicles (take a picture of their ID and insurance information if they
will allow you).
d. Complete an Incident Report in HCSS as soon as possible, but no later than 8 hours after
the accident.
2. Do not discuss the accident with anyone at the scene except the police. Do not accept any
responsibility for the accident at the scene as other factors contributing to the accident may not
be known to you at that time. Later, Safety will conduct a thorough investigation of all factors
leading to the accident. Don’t argue with anyone at the scene.
3. If requested, provide the other party with your name, address, driver’s license number, and
vehicle insurance information.
E. Violations of this Policy and Enforcement
1. Any violation of the terms and conditions of this policy may be grounds for employee discipline
in the discretion of Eutaw Management, including but not limited to, written warning; loss of the
privilege of driving any fleet vehicle; not having fleet driving privileges reinstated without the joint
approval of both Safety and Operations; and potentially termination of employment.
2. To assist in evaluating violations of this policy, Safety shall, among other sources, retrieve and
manage fleet vehicle diagnostic data provided through the Verizon Connect Fleet Management
Software System (or any similar reporting service utilized) activated on all company vehicles. Any
attempt to disable or tamper with the fleet management equipment or system in any way will an
independent violation of this policy and will subject the employee to disciplinary action up to and
including termination.
*Eutaw Management reserves the right to exercise its sole discretion in the application of the foregoing policy. This policy is
supplemental to any provision or requirement of Eutaw’s Environmental, Health and Safety Manual, as amended, or any other
applicable Safety policy or procedure of the company.

Passenger Vehicle Fleet Safety Policy

  • 1. Rev.1.0TRB22521 1 Eutaw Construction Company, Inc. Revised Passenger Vehicle Fleet1 Usage & Driver Safety Policy The purpose of this revised policy is to ensure the safety of both Eutaw passenger vehicle fleet drivers and the general traveling public, and to provide guidance on the proper use of company passenger vehicles. Vehicle accidents are extremely costly to our company, and they lead directly to higher insurance costs and lower profits for our ESOP. Such losses take money directly away from our employee-owners. However, and more importantly, vehicle accidents may result in injury to our employees or others. It is every Eutaw driver’s responsibility to operate their assigned passenger vehicle in a safe manner and to drive defensively to prevent injuries and property damage. Eutaw further requires each driver to drive in a safe and courteous manner, following all safety rules and applicable laws. The attitude you take when behind the wheel is the single most important factor in driving safely, and it reflects our company and values. Eutaw Safety and Operations are jointly responsible for the development and general administration of this policy. A. Driver Guidelines and Reporting Requirements 1. Company vehicles may only be driven by authorized employees who have first been added to the Passenger Fleet Approved Driving List and for whom the required insurance has been obtained. 2. Any employee who has a driver’s license revoked or suspended shall immediately notify Safety or their direct Supervisor, and immediately discontinue operation of any company vehicle. 3. All incidents in company vehicles, regardless of their severity, property damage or estimated cost of repair, must be reported to Safety within 8 hours by filing an Incident Report through HCSS. 4. Drivers must report all ticket violations received during the operation of a company vehicle within 8 hours to Safety. 5. Motor Vehicle Records will be obtained and updated on all drivers as required by law and Eutaw policy and procedure. A driving record that fails to meet Eutaw’s acceptable criteria will result in a denial or loss of the privilege of driving a company vehicle. B. Driver Safety Rules 1. Driving a company vehicle while under the influence of intoxicants; prescription drugs, (which could impair driving ability) and/or illegal drugs, is a zero-tolerance event resulting in immediate termination of employment. Refusal to submit to a drug and/or alcohol test in connection with the operation of a company vehicle is also a zero-tolerance event resulting in immediate termination of employment. 2. No driver shall operate a company vehicle in an unsafe manner or at an excessive speed as determined in the sole discretion of Eutaw Management. 1 For purposes of this Revised Policy, “Passenger Vehicle” is defined as all company-titled non-commercial passenger vehicles, including service trucks. Units in the commercial fleet are governed by the FMCSA, and corresponding company rules, regulations, and policies.
  • 2. Rev.1.0TRB22521 2 3. Only hands-free cell phone use while driving is allowed, and then only in strict compliance with Eutaw policy and must be kept to a minimum. Drivers must be aware when the use of a cell phone is creating a distraction from safe driving and adjust their usage accordingly, including pulling off the road to continue/finish the conversation if needed. Whenever possible, drivers should conduct calls while the vehicle is parked. While driving, attention to the road and safety always take precedence over conducting business over the phone. 4. No driver shall operate a company vehicle when his/her ability to do so safely has been impaired by illness, fatigue, injury, mental or emotional state, or legal prescription medication. 5. All drivers and passengers operating or riding in a company vehicle must wear seat belts, without exception. 6. No unauthorized personnel may ride in company vehicles. 7. Drivers are responsible for the security of company vehicles assigned to them. The vehicle engine must be shut off, ignition keys removed, and vehicle doors locked whenever the vehicle is left unattended. 8. Drivers are responsible for keeping the vehicle assigned to them in clean, secure and safe operational condition. C. Policy Regarding Parking of Company Vehicles 1. Each driver of a company vehicle must follow safe vehicle parking procedures in conjunction with this policy. All backing up/backing into accidents are considered preventable by Eutaw Management, and as such, will result in employee discipline, except under extraordinary circumstances. a. Avoid backing up altogether when a safer parking alternative exists. b. Partner with a Spotter when available; when a Spotter is not available, get out of the unit and do a safety walk around first. c. Check for overhead clearance. d. Check the intended path for hazards. e. Position the mirrors properly. f. Perform the parking maneuver slowly. 2. All drivers are directed to back the unit into a designated parking space or area, or pull forward into a parking space where available, so that when leaving the parking space or area, the unit may be driven forward whenever it is possible, practical and safe to do so. D. Accident Procedures 1. In the event of an accident, company drivers must prevent further damages or injuries and obtain all pertinent information and report it accurately. When reasonably possible under the circumstances: a. Call 911 for emergency medical assistance if necessary. b. Call law enforcement.

Record the names, addresses and telephone numbers of the driver, witnesses, and occupants of the other vehicles (take a picture of their ID and insurance information if they will allow you). d. Complete an Incident Report in HCSS as soon as possible, but no later than 8 hours after the accident. 2. Do not discuss the accident with anyone at the scene except the police. Do not accept any responsibility for the accident at the scene as other factors contributing to the accident may not be known to you at that time. Later, Safety will conduct a thorough investigation of all factors leading to the accident. Don’t argue with anyone at the scene. 3. If requested, provide the other party with your name, address, driver’s license number, and vehicle insurance information. E. Violations of this Policy and Enforcement 1. Any violation of the terms and conditions of this policy may be grounds for employee discipline in the discretion of Eutaw Management, including but not limited to, written warning; loss of the privilege of driving any fleet vehicle; not having fleet driving privileges reinstated without the joint approval of both Safety and Operations; and potentially termination of employment. 2. To assist in evaluating violations of this policy, Safety shall, among other sources, retrieve and manage fleet vehicle diagnostic data provided through the Verizon Connect Fleet Management Software System (or any similar reporting service utilized) activated on all company vehicles. Any attempt to disable or tamper with the fleet management equipment or system in any way will an independent violation of this policy and will subject the employee to disciplinary action up to and including termination. *Eutaw Management reserves the right to exercise its sole discretion in the application of the foregoing policy. This policy is supplemental to any provision or requirement of Eutaw’s Environmental, Health and Safety Manual, as amended, or any other applicable Safety policy or procedure of the company.
