Incoming INN-ReachMaterials
Thissectioncoversthe receivingof INN-Reach(OhioLINK,SearchOhio andPickupAnywhere) materials. These
materialshave beenrequestedbyourpatronsfrom otherinstitutions. These materialsare delivered bycourier
Monday throughFridayto the SinclairDaytonLibrarypickuplocation#314.
Receiving and Processing OhioLINK / SearchOhio Materials
Unbag all materials. Makesureeach shipping label reads314 beforeunbagging thematerials.
Watch for misdirectedmaterials.
If the shipping label is for anotherSinclairlocation (340 Englewood, 344Courseview,or345 Huber Heights),
place these items onthe internal hold shelf inthe appropriate slotsotheycan be courieredtothose locations
the nextbusinessday.
If the shipping label is for anotherinstitution,place itonthe outgoingcart and mark iton the manifest.
Place Sinclairmaterialsbeingreturnedon one cart.
Place incomingOhioLINK andSearchOhiorequestsonanothercartbut keepthemseparate. Asyouunbagthese
materialsuse ayellowhighlightertohighlightthe pick-uplocation(#314) locatedonthe bottomhalf of the paging
slips. Misdirecteditems,thatdon’tshowalocationcode of #314, shouldbe repackagedandshippedtothe
appropriate OhioLINK/SearchOhioinstitution.
Place all packagingmaterialsintheirproperlocations asyouwork:
 Bubble bagsare storedonthe book case in the processingarea
 Mediaboxesare storedinthe overheadcabinetnexttothe processingarea,labeledMediaboxes. DVD
and CD boxesare ina markeduppercabinet. VHSboxesare ina markedlowercabinet.
 Canvasbags are storedunderthe OhioLINKprocessingtable.
 Discard couriershippinglabelsastheyare removedfromthe vinyl window onthe canvascourierbag.
ProcessingIncomingOhioLINK/SearchOhioRequests
You will followthe same processforbothOhioLINKandSearchOhiomaterials;however,theyshouldbe processed
separatelyandthe paperworkforeachplacedinseparate boxeswhenfinished.
Selectthe CheckIn (NoPatron) module fromthe Functiondropdownmenu inSierra.
Scan or keyinthe barcode for eachitem. Insome cases youwill needtokeyinthe letter bin frontof the barcode
for itto be accepted. Thiswill happenwhenthe barcode containscharactersotherthannumberor the barcode is
veryshort.

As youcheckin eachreceiveditemadialogue box will appeardisplayingthe item’shome institutionandthe name
of the patronrequestingthe item. If thepatron information in thedialoguebox matches the informationonthe
pagingslipselect OK. If the patron information doesNOTmatch,clickthe redXin the upperright-handcornerand
place the itemon the OhioLINKproblemcartinthe circulationsupervisor’soffice withanote statingthe name that
appearedinthe box on the screen.
In the upperrighthand cornerof the pagingslip,write the currentdate andyour initials.
On the band/label printthe name of the patron (lastname, firstname) justabove orbelow the wordsDONOT
REMOVE. Differentbands/labelsare spaceddifferently; choose the place thatprovidesthe mostspace. Write the
date and your initialsonthe band/label.
Place an OhioLINK (orSearchOhio) fineslabel onthe item’sband(neartop) orlabel (toporrightside). DO NOT
coverthe informationregardingthe owninglibrary. There are twotypesof fineslabels,one for OhioLINKmaterials
and one forSearchOhiomaterials. These canbe found inthe lettertrayon the bookshelf inthe processingarea.
If any band or label hasfinesandfeesprintedonit,eithercoveritwithourfinesandfeeslabel ORmarkit outwith
a black marker.

Tear or cut the pagingslipinhalf. Set aside the tophalf of the pagingslipforour records.
Place the bottomhalf of the pagingslipinthe itemwiththe patron’snamevisibleatthe top. If the patron’sname
isnot printedonthe edge of the pagingslip,write itonthe edge.
Repeatthisprocessuntil youare finishedprocessing all OhioLINK(orSearchOhio)materials.
Afterall incomingOhioLINK (orSearchOhio) materialshave beenprocessed,printoutacopy of the CheckIn
module usingthe Printbuttoninthe upperright handcorner of the screen. Thisprintoutcan be retrieved fromthe
printerbehindthe service desk. DONOT close the screenuntil youare sure you have a printout.
Foldthe printout,of all the materialscheckedin, inhalf andplace the tophalvesof all the pagingslipsinside. Put
your initialsandthe date inthe upperright-handcornerandplace theminthe OhioLINK(orSearchOhio) box onthe
worktable forourrecords. Belowisan example of aprintout.
Thenplace all processedmaterials onthe holdshelvesunderthe initialof the patron’slastname,where theywill
remainuntil theyare checkedoutto the requestingpatron.

Receiving PICK-UP ANYWHERE Materials
PickupAnywhere materialsare materialsfromanotherinstitutionrequestedbyapatron fromanotherinstitution,
but requestedtobe pickedupatSinclairlocation #314.
Choose the PickupAnywhere – Receive Itemmodule fromthe Functionsdropdownbox inSierra.
Scan or keyinthe itembarcode in the window toreceive the item. If keyinginthe barcode youwill thenneedto
clickthe Search button.
The itemwill appearinthe windowwithacheckmarkinthe check box and a statusof Shipped. SelectProcess
to change the Status fromShipped to Received.
Once you have receivedthe itemthe Status columnwillread Received andthe Datecolumnwill reflectthe date the
itemwasreceivedatthe pick-uplocation. Atthispoint,clickthe Printbuttonto printthispage,indicatingthe item
was received,forourrecord keeping.
Complete the BrightGreenOHIOLINKPickupAnywhere band orlabel andplace anOhioLINK finesandfeeslabel on
the band or label asyouwouldregularincomingOhioLINKitems.
Date andinitial the tophalf of the pagingslip. Thentear or cut the pagingslipinhalf. Setaside the top half of the
pagingslipforour records.

Place the bottomhalf of the pagingslipinthe itemwiththe patron’snamevisibleatthe top. If the patron’sname
isnot printedonthe edge of the pagingslip,write itonthe edge. Alsowrite the date onthe bottomhalf of the
pagingslipandon the band/label.
Foldthe printoutof the Received screenand place the upperhalf of the pagingslipinside andfile withthe restof
the paperworkforthe OhioLINK materialsreceivedthatday.
Place item(s) onthe PickupAnywhere holdshelf(pick-upanywhere itemsare above the Asonthe holdshelf).
IssueswhenReceivingINN-ReachMaterials:
Damaged
If an itemisreceiveddamaged,make anote of the damage on the band or label. Also,place anote inthe patron’s
account statingthe title andbarcode and the type of damage. Thiswill coverthe patronif the owninglibrary
shouldmissthe note onthe item. Processas usual.
Without Paging Slip
If an itemisreceivedwithoutapagingslip,printthe holdslipwhencheckingthe itemin. Xerox the holdslipsothat
we have two copies. Keepone withthe tophalvesof the otherpagingslips. Place the otherinthe itemwiththe
name writtenonthe edge that isshowing.
Without Band / Label
Place one of our white blank bandsonthe itemand write the informationof the owninglibraryonthe band.
Processas usual.
Won’t Check In
If an itemwill notcheckin,place iton the secondshelf of the redcart across fromthe supervisor’sdesk. DONOT
processthe band/label orpagingslip.
Wrong Location
If the itemdoesnotbelongata Sinclairlocation ORbelongsata SinclairPreble Countylocation,rebagitandsendit
to itsappropriate destinationwhichcanbe foundonthe pagingslip.
If the itembelongsatCourseviewCampusCenter, EnglewoodLearningCenter,orHuberHeightsLearningCenter,
place it onthe shelf where we putitemsthatare beingsenttootherbranchesviainternal courier.

Processing Returning Sinclair Materials
Go to the Check-In (No Patron) module in Sierra.
Scan or key in the barcodefor each item. When keying in the barcodeyou will need to click the Search button or hit Enter.
Each check in will display a dialoguebox,likethe one below, statingthat the OFF CAMPUS status has been cleared. Click OKor
tap the spacebar.
Once all items have been scanned,click the Close button in the upper right hand corner to clear the screen. You do not need
to printa copy of this screen.
After all Sinclair materials arechecked in; remove all labels,pagingslips,and miscellaneous papers frombooks. Placeany
pagingslips in theconfidential shred box. Remove all media items from shipping boxes. Empty boxes should be placed in the
two upper right-hand cabinets behind the hold shelves.
Placeall Sinclairitems on the sortingshelves. If the cartis atleasthalf full,put the materials in call number order, do a second
check-in on all items,and then placethe cartoutsidethe door by Reference until itcan be shelved.

Printing Item, INN-Reach and Pickup Anywhere Paging Slips (Supervisor)
OpenNoticesmodule fromthe Functiondropdownbox inSierra.
Choose Newfromthe upperright-handmenubar. A new jobwindow will open.
Under Location selectthe All radiobutton.
Sort the jobby selectingthe Sortby button and fillinginthe sortinformation. Sortby location first,then
by call number. ThenselectSave.
From the Notice Type dropdownbox choose either, ItemPagingSlips(internal holds), Inn-ReachPagingSlips
(OhioLINK, SearchOhio),orPickupAnywhere PagingSlips (OhioLINK). All three typesshouldbe runeachtime.
Selectthe Prepare buttonfromthe upperright-handmenubar.
Choose Local Printerfrom the SelectForm Printerdialogue box and selectPrint.

Choose the correct printerfromthe dropdownbox in the Print (FormPrinter) dialogue box,then selectPrint.
The noticeswill appearinthe bottomsectionof the dialogue box. SelectSendNoticestoprint.
You will be askedtoverifythatyouwantto print the notices;select OK.
Afterthe noticeshave printed, selectYeswhenasked Clearall print notices?
Separate anypagingslipsforthe LearningCentersandfax themto the appropriate locations. See FaxingPaging
Slipsto Other Sinclair Locations section.
Separate anypagingslipsmarkedHOLD witha due date. Foldtheminhalf and place thembehindthe Holdtabon
the part-time supervisor’sdesk.
The remainingpagingslipsshouldbe assignedtoastudentemployee.
Not Found PagingSlipsfrom PreviousDay
Any“not found”OhioLINKpaging slips frompreviousdaysare locatedinthe bottomhangingfile andshouldbe
giventothe studentto searchagain.

RecoveringLost Paging Slips (Supervisor)
If pagingslipsare lost due to a printererroror perhapsa spill thisprocedure willallow youtoprintthe pagingslips
a secondtime. Thisprocedure shouldONLYbe done AFTERnoticeshave beenrun.
In Sierra,openthe Create Lists module fromthe Functiondropdownbox.
Findan empty ReviewFile andhighlightit;500 is large enoughif one isavailable. ThenselectSearchRecords.
Give the ReviewFile a descriptive name. Choose ITEMi from the Store Record Type dropdownbox.
Key inthe searchcriteria. We are searchingforitemswiththeirstatusequal to OhioLINK paged. Double clickinthe
Type columnandchoose ITEM (orkeyin i). Double clickinthe Fieldcolumnandchoose STATUS (orkeyin 88).
Double clickinthe Conditioncolumnandchoose equal to (orkeyin =). Double clickinthe Value A columnand
choose ( OhioLINKPAGED (orkeyin ”(“).
SelectSearch.
Wait forthe searchto finish. If there are zerorecords,thenyouhave no OhioLINKPageditems.
If there is at leastone, continue withthisprocess.
SelectListRecords.
In the Fieldsto be listedsectionkeyinthe followingcriteria. Youcan double clickoneach fieldandchoose the
criteriafromthe table provided.

At the bottomgive the page a headingif desired. The Startingrecord fieldwilldefaultto 1 and the Ending record
fieldwilldefaulttothe total numberof records. Do not change these. To make the listeasiertoread,change the
Numberof blank linesbetweenrecords to 1.
ThenselectOK.
A listof all OhioLINKpageditemswill printwiththe call number,title,barcode,andlocationof eachitem.
Have the materialspulledfromthe shelves.
Openthe Check-In(NoPatron) module.
Scan or keyinthe barcode for eachitemand selectSearch.
Informationaboutthe requestwillappearandthe question Checkinitem? SelectYes.
In the nextdialogue box selectQueue pickupslipforlater printing.
Afteryouhave scannedall of the items,goto the Noticesmodule andrerunthe pagingslips. All itemswill appear
alongwithany othersthathad accumulated.

Faxing Paging Slips to Other SinclairLocations (Supervisors)
Whenprintingpagingslips,we receive the pagingslipsforthe learningcentersalso. Those shouldbe separated
fromthe slipsprintedbefore givingthemtothe studentemployee. These shouldbe faxedtothe learningcenters
so that theycan be processed.
The fax coversheetsare locatedinthe lastdraweron the right behindthe holdshelves. Fill outthe appropriate
information. The fax machine islocated acrossfromthe circulationsupervisors’desks.
The Fax buttonisat the top of the machine inthe center. Make sure the Fax buttonis lit. If not,pressthe Fax
button. See arrow 1.
Pressthe Hook/Hold buttonon the right side of the machine underthe Faxsection. See arrow 2.
Use the keypadinthe centerto dial the numberof the LearningCenteryouare sendingthe FAXto. See arrow 3.
For EnglewoodandHuberHeights,dial 9for an outside line before dialingthe phone number. Courseview’s
numberisan extensionanddoesnotrequire the 9 or the 512 exchange. Dial the fax numberof the appropriate
learningcenter. (Courseview x#5526,EnglewoodLC832-8254, Huber HeightsLC233-5551). Place the papersin
the feedtray face down.
Whenyouhear the fax signal,pushthe Start buttonlocatedonthe bottomright. See arrow 4.
Afterall of the pageshave fedthrough,waitfor the confirmationpage toprint.
Staple the confirmationpage tothe faxedpagesandplace inthe GREEN file folderonthe left-hand-sideof the part-
time CirculationSupervisor’sdesk.

Foldall pagingslipsinhalf andputin call numberorder
(if notprintedthat way).
Search collectionforall pageditems,placingthe paging
slipinside the frontcoverof eachitem. When
searchingalsocheckthe displayshelf,anybookstobe
shelvedandthe redcart across fromthe supervisor’s
desk. The barcode on the itemshouldmatchthe
barcode on the pagingslip.
If not found,write yourinitialsanddate the slip in
the upperrighthand cornerin the space provided
and returnto supervisor.
If a differentcopy of the sameitem ison the shelf,
give itto the supervisorsothe holdcan be
transferred.
In Sierra,openthe Inn-Reach– Check out to Remote
Site module.
Scan or keyin the barcode of the firstitemandclickthe Search button.
Whenthe informationdisplaysonthe screen,compare the patron
name and college onthe computerscreentothe patron name and
college onthe pagingslip. See example,right.
If they do not match,see asupervisorbefore proceeding.
If they match,clickOK and place the pagingslipinside the front
cover.
The itemwill thenbe listedinthe bottomsectionof the screen.
Afterall itemshave beencheckedout,theyneedtobe labeled.

Labeling and packaging materials: Sample label tothe right.
Books: OhioLINK removable labels shouldbe placedonthe frontcover
of all books. OhioLINK labelsare inthe tray above the OhioLINK
shippingsupplies.
Write the numberof the libraryat the top of the label inthe
place provided. See exampleto right.
Media: Mediaitemsshouldbe placedinthe appropriate box,using
foampaddingif necessary.
BoxesforCDs and DVDsare locatedintop twocabinetsonthe
rightbehind the holdshelves.
Place the OhioLINK label onthe coverof the item.
Write inthe destinationnumberonthe label inthe place provided.
Pickup Anywhere: PickupAnywherematerialsare labeledandmarked exactlythe same wayexceptthey are
printedwith greeninkinsteadof blackand white.
Place the item(s) inanappropriate sizedbubble bag. If youhave several itemsgoing
to the same destinationyoucanplace more than one itemina bubble bag,but
materialsshouldfitloosely. See phototoright. If not,use a largerbubble bagor two
bubble bags. Bubble bagsare locatedonthe shelf tothe rightof the OhioLINKtable.
Findthe appropriate shippinglabel foreachitem. The shippinglabelsare locatedinthe card filesonthe OhioLINK
table. Theyare in alphabetical order. If acollege hasmore thanone location,itwill have more thanone shipping
label. Be sure to match the numberonthe shippinglabelwiththe numbernexttothe college name onthe bottom
half of the pagingslip. See example below.

Place the bubble bag(s) goingtothe same destinationinacanvas courierbag,pull stringstight,andclose clasp. If
youhave multiple itemsgoingtothe same destination,theycanbe packagedtogetheraslongas theyfitinthe bag
loosely. The twosizesof cargobags can be foundinboxesunderthe table opposite the OhioLINKtable. The large
bags are for use with large items. Don’tpackthemfull of smalleritemstoavoidusingtwobags.
Place the shippinglabel inthe clearwindowof the canvascourierbag.
Recordthe bag onthe manifestformnexttothe correctdestination. Example below. Alwayschecktosee if a
manifesthasalreadybeenstarted. If not,the manifestformscanbe foundonthe shelf tothe right of the OhioLINK
table. Write the pickupdate inthe place providedonthe frontpage.
Place the bag on the cart andrepeatthe processfor all outgoingmaterials.
If time allows,processanyOhioLINKreturnsfromthe returncart. See ProcessingOhioLINKReturns.
Once all materialshave beenprocessed,total the numberof bagsandnumberof destinationsonthe manifestform
inpencil andplace it in on top of the materialson the cart.
Note: If there is already a “1” on the
manifest next to the destination,that
means there is another bag for that
institution. You can placethe new item(s)
in the same bag if it can easily befound. If
not, eraseor mark out the “1” and write a
“2.”

Processing Returned INN-Reach Materials from the Return Cart
All itemsonthe returncart shouldhave atransitslipinor attached to them. If there isno transitslip,checkthe
iteminusingthe Check Out (CirculationDesk) module in Sierraand answeryesto the promptto printa transit slip.
Place the transitslipinside the frontcoverof the bookor attach witha rubberband to the mediabox.
Findthe appropriate shippinglabel foreachitem. Thisinformationcanbe foundonthe band or label of the item.
Place itemsinappropriate sizedbubble bags. Again,if youhave several itemsgoingtothe same destinationyou
can place more than one itemin a bubble bag,but materialsshouldfitloosely. If needed,use additional bags.
Place bubble bagsincanvascourierbags, pull stringstight,andclose clasp.
Place the shippinglabel inthe clearwindowof the cargo bag.
Mark the bag destinationonthe manifestform. Alwayschecktosee if amanifesthasalreadybeenstarted. If not,
start a newone,placingthe pickupdate inthe place providedonthe frontpage.
Place the bag on the cart andrepeatthe processfor all returnedmaterials.

Return Expired INN-Reach Materials (Supervisors)
Materialsonthe holdingshelvesare heldfor5days formediaand 10 daysfor books. If the materialsare not
pickedupthe holdsexpire andtheyare removedfromthe holdingshelves. Thisshouldbe done daily.
Note:Whenyou run thisexpiredholdslist,the itemsare NOTautomaticallyclearedtobe sentbackto theirowning
institution. Also,occasionallyapatronhascalledinaskingif an itemcouldbe helda little longer. Before
pullingitemstobe returned tothe owninginstitution,checkthe label foranynotestothiseffect.
Openthe Clear ExpiredHoldsand Holdshelf module in Sierra.
Selectthe radiobuttoninfrontof INN-ReachHoldshelf.
Nextchoose yourlocationinthe Location section.
 For Dayton campus: Selectthe radiobuttoninfront of Library.
 For Learning Centers: Selectyourlocationcode fromdropdownmenuortype inyour locationcode inthe
SelectLocation box. Courseview =warl; Englewood=engl; Huber Heights= hubl.
Selectthe Displaybuttoninthe centerof the screen.
A summarystatinghowmanyitemsare readyforremoval andtotal numberof itemsonthe holdshelf will appear
and a listof the itemsthathave expiredwill be displayedasillustratedbelow.
SelectPrintto printa listof these items.

Locate andpull the itemsfromthe holdshelf. Checkthe barcode onthe itemto verifyanexactmatch.
Supervisor:
Openthe INN-Reach– Return UnwantedItemmodule.
Scan or keyinthe barcode of the item. If keyinginthe barcode,then selectSearch.
Followinstructionsonthe Sierrascreenforprintingatransitslip.
Checkthe box in frontof Print Transit Slip?and infront of the Print CancellationNotice?
SelectOKand the transit slipwill print. Inaddition,anemail willbe senttothe patronregardingthe expiredhold.
Foldthe transitslipinhalf lengthwiseandplace insidethe itemextendingbeyondthe topof the bookor beyond
the top of the mediabox.
Place itemonthe OhioLINK returncart for processinginthe nextoutgoing shipment.

Processing Item Paging Slips
Place the ItemPagingSlipsincall numberorder(if notprintedthatway).
Search the collectionforall pageditems,placingthe pagingslipinsidethe frontcoverof each item. When
searchingalsocheckthe displayshelf,anybookstobe shelved,andthe redcart across from the supervisor’sdesk.
The barcode onthe itemshouldmatchthe barcode on the pagingslip.
If not found,write NF,yourinitialsandthe date inupperrighthandcorner and returnto the supervisor.
For found items, selectthe CheckIntab in the CheckOut (CirculationDesk) module.
Scan or keyinthe barcode for eachitemand selectSearch.
A dialogue box willappearstatingthatthe itemshouldbe placedonthe holdshelf forthatpatron. It will alsoask
Print slipto place in book? SelectYes.
A holdslipwill print. Foldthisslipverticallyandplace itinthe itemor mediabox withthe name stickingoutthe
top. Place the itemon the holdingshelves.

Materials Requested for other Sinclair Locations
If the itemhasbeenrequestedforanotherSinclairlocationadialoguebox will appeartellingyouwhatlocationto
senditto. SelectINTRANSIT to LocationSpecified. Then itwill ask Print transit slip? SelectYes.
An In Transit slipwill print. Foldthisslipverticallyandplace itinthe itemor mediabox withthe information
stickingoutthe top. Place the itemonthe holdingshelvesforotherSinclairlocations. Itwill be senttothe
mailroomsoit can be courieredtothe requestinglocationthe followingweekday.
Belowisan example of an InTransit slipthatwouldbe printedandplacedinthe item.

Clearing Expired Internal Hold Items (Supervisors)
CAUTION:Whenyou followthisprocedure the itemsare automaticallytakenoff holdandMUST be removedfrom
the Holdshelf andreturnedtothe appropriate location. If youonlywanttoview a listof itemsonthe
holdshelf,use the ViewOutstandingHoldsmodule.
Openthe Clear ExpiredHoldsand Holdshelf module in Sierra.
Selectthe radiobuttoninfrontof Expiredholds.
Nextchoose yourlocationinthe Location section.
 For Dayton campus: Clickthe radio buttoninfrontof Library.
 For Learning Centers: Selectyourlocationcode fromdropdownmenuortype inyour locationcode inthe
SelectLocation box. Courseview =warl; Englewood=engl; HuberHeights= hubl
SelectView. The expiredholdswill displayatthe bottomof the screen.
Selectthe headingof the Patron columntoput the listinalphabetical orderbypatronname if more than one.
SelectPrintto printa listof these items.
SelectClearto clearthe holds. Beneaththe Status columnall the itemswill be listedas HOLD CLEARED.
Student:
Locate andpull the itemsfromthe holdshelf. Checkthe barcode onthe itemto verifyanexactmatch.
Scan the itemsinthe Check In module todetermineif there are anyadditional holdsonanyof the items.

If not, place the itemsonthe sortingshelves.
If there are holds,printthe holdslip(orpagingslip) andplace onthe appropriate shelf.
Internal holdsare placedonour holdshelf. Internal holdsfor other locations are place onthe shelf where
we place itemstobe courieredtootherlocations. OhioLINKholdsare placedon the top shelf of the red
cart acrossfrom the supervisors’desks.

Viewing a List of Items on the Hold Shelf (Supervisors)
Thisprocesswill produce alistof all internalholditemsonthe holdshelf andall outstandingholdsnotyet
processed. Thislistcanbe usedfor a varietyof reasonsincludinganinventoryof the itemsonthe holdshelf.
Openthe ViewOutstandingHolds module in Sierra.
In the Limit DisplayTo: section,the date will defaulttothe currentdate. If youare lookingforholdsplacedbefore
a specificdate,change tothat date.
Nextchoose yourlocationinthe PickupLocation section.
 For Dayton campus: Clickthe radio buttoninfrontof Library.
 For Learning Centers: Selectyourlocationcode fromdropdownmenuortype inyour locationcode inthe
SelectLocation box. Courseview – warl; Englewood –engl; HuberHeights – hubl
Afterselectingthe correctdate andlocation, selectViewOutstandingHolds.
The bottom half of the screenwill displayasummaryof outstanding internalholdsfollowedbyatable of all the
itemsonthe holdshelf andall the itemswithoutstandingholds. The informationcanbe sortedby clickinganyof
the columnheadings. The firstclickwill putthe informationinascendingorderandasecondclickwill putthe
informationindescendingorder.

Internal Courier Bags
Processing Incoming Internal Courier Materials
Greencanvas bagsthat are broughtby SCC courierfromour otherbranchesare placedon the rightendof the back
counter. These shouldbe processedwhenincoming INN-Reachitemsare processed. These mightconsistof
OhioLINK itemsthatwere senttothe wrongbranch and forwardedontous, returnedinternal holds,andrequests
for itemsfromtheirbranchfor ourstudents.
Each itemmustbe evaluatedseparately.
Checkfor paperwork.
If it has a pagingslipinit,receive andprocessitas you wouldanyINN-Reachitem.
If it has a transitslipinit statingitbelongsatthe Dayton location,checkitinand clearthe “inTransit” status.
Thisprocesswill alsoinitiate anyInternalorINN-Reachholdthathasbeenplacedonthe item.
If there is noholdon the item,place the itemonthe sortingshelves.
If there is an internalhold,printthe holdslip,folditverticallyandplace itinside the itemwiththe name
stickingoutthe top,and thenplace the itemon the holdingshelvesunderthe patron’slastinitial.
If there is an INN-Reach hold,printthe “half”pagingslipnow,folditinhalf andplace itinside the front
cover,and thenplace iton the top shelf of the OhioLINKproblemscartinthe supervisors’workarea.
If it has a transitslipinit statingthat one of our patronshas requested the item,check itin, clearingthe “in
Transit”status, printthe holdslip,folditverticallyandplace itinside the itemwiththe name stickingoutthe
top. Then,place the itemonthe holdingshelvesunderthe patron’slastinitial.
Processing Outgoing Internal Courier Materials
Materialsto be courieredtoour otherlocationsare keptonthe shelf above the in-repairmaterials. Eachbranch
has itsownslot.
If there are materialsinanyof the slots,eachsetof materialsshouldbe placedinabubble bag,placedinagreen
canvas courierbag,and a shippinglabel forthatlocationplacedinthe clearpocketonthe front of the courierbag.
The greencanvas bagscan be foundinan uppercupboardbehindthe reserve materials. The shippinglabelsare in
pocketsinside the doorof thissame cupboard.
These materialsshouldbe takentoShippingandReceiving(Room6-040) every dayso that theycan be pickedup
the nextmorningandcourieredtothe otherlocation.

These materialshave beenrequestedbyourpatronsfrom otherinstitutions. These materialsare delivered bycourier Monday throughFridayto the SinclairDaytonLibrarypickuplocation#314. Receiving and Processing OhioLINK / SearchOhio Materials Unbag all materials. Makesureeach shipping label reads314 beforeunbagging thematerials. Watch for misdirectedmaterials. If the shipping label is for anotherSinclairlocation (340 Englewood, 344Courseview,or345 Huber Heights), place these items onthe internal hold shelf inthe appropriate slotsotheycan be courieredtothose locations the nextbusinessday. If the shipping label is for anotherinstitution,place itonthe outgoingcart and mark iton the manifest. Place Sinclairmaterialsbeingreturnedon one cart. Place incomingOhioLINK andSearchOhiorequestsonanothercartbut keepthemseparate. Asyouunbagthese materialsuse ayellowhighlightertohighlightthe pick-uplocation(#314) locatedonthe bottomhalf of the paging slips. Misdirecteditems,thatdon’tshowalocationcode of #314, shouldbe repackagedandshippedtothe appropriate OhioLINK/SearchOhioinstitution. Place all packagingmaterialsintheirproperlocations asyouwork:  Bubble bagsare storedonthe book case in the processingarea  Mediaboxesare storedinthe overheadcabinetnexttothe processingarea,labeledMediaboxes. DVD and CD boxesare ina markeduppercabinet. VHSboxesare ina markedlowercabinet.  Canvasbags are storedunderthe OhioLINKprocessingtable.  Discard couriershippinglabelsastheyare removedfromthe vinyl window onthe canvascourierbag. ProcessingIncomingOhioLINK/SearchOhioRequests You will followthe same processforbothOhioLINKandSearchOhiomaterials;however,theyshouldbe processed separatelyandthe paperworkforeachplacedinseparate boxeswhenfinished. Selectthe CheckIn (NoPatron) module fromthe Functiondropdownmenu inSierra. Scan or keyinthe barcode for eachitem. Insome cases youwill needtokeyinthe letter bin frontof the barcode for itto be accepted. Thiswill happenwhenthe barcode containscharactersotherthannumberor the barcode is veryshort.
  • 4. 4 – 4 As youcheckin eachreceiveditemadialogue box will appeardisplayingthe item’shome institutionandthe name of the patronrequestingthe item. If thepatron information in thedialoguebox matches the informationonthe pagingslipselect OK. If the patron information doesNOTmatch,clickthe redXin the upperright-handcornerand place the itemon the OhioLINKproblemcartinthe circulationsupervisor’soffice withanote statingthe name that appearedinthe box on the screen. In the upperrighthand cornerof the pagingslip,write the currentdate andyour initials. On the band/label printthe name of the patron (lastname, firstname) justabove orbelow the wordsDONOT REMOVE. Differentbands/labelsare spaceddifferently; choose the place thatprovidesthe mostspace. Write the date and your initialsonthe band/label. Place an OhioLINK (orSearchOhio) fineslabel onthe item’sband(neartop) orlabel (toporrightside). DO NOT coverthe informationregardingthe owninglibrary. There are twotypesof fineslabels,one for OhioLINKmaterials and one forSearchOhiomaterials. These canbe found inthe lettertrayon the bookshelf inthe processingarea. If any band or label hasfinesandfeesprintedonit,eithercoveritwithourfinesandfeeslabel ORmarkit outwith a black marker.
  • 5. 4 – 5 Tear or cut the pagingslipinhalf. Set aside the tophalf of the pagingslipforour records. Place the bottomhalf of the pagingslipinthe itemwiththe patron’snamevisibleatthe top. If the patron’sname isnot printedonthe edge of the pagingslip,write itonthe edge. Repeatthisprocessuntil youare finishedprocessing all OhioLINK(orSearchOhio)materials. Afterall incomingOhioLINK (orSearchOhio) materialshave beenprocessed,printoutacopy of the CheckIn module usingthe Printbuttoninthe upperright handcorner of the screen. Thisprintoutcan be retrieved fromthe printerbehindthe service desk. DONOT close the screenuntil youare sure you have a printout. Once you have receivedthe itemthe Status columnwillread Received andthe Datecolumnwill reflectthe date the itemwasreceivedatthe pick-uplocation. Atthispoint,clickthe Printbuttonto printthispage,indicatingthe item was received,forourrecord keeping. Foldthe printoutof the Received screenand place the upperhalf of the pagingslipinside andfile withthe restof the paperworkforthe OhioLINK materialsreceivedthatday. Place item(s) onthe PickupAnywhere holdshelf(pick-upanywhere itemsare above the Asonthe holdshelf). IssueswhenReceivingINN-ReachMaterials: Damaged If an itemisreceiveddamaged,make anote of the damage on the band or label. Also,place anote inthe patron’s account statingthe title andbarcode and the type of damage. Thiswill coverthe patronif the owninglibrary shouldmissthe note onthe item. Processas usual. Processas usual. Won’t Check In If an itemwill notcheckin,place iton the secondshelf of the redcart across fromthe supervisor’sdesk. DONOT processthe band/label orpagingslip. Wrong Location If the itemdoesnotbelongata Sinclairlocation ORbelongsata SinclairPreble Countylocation,rebagitandsendit to itsappropriate destinationwhichcanbe foundonthe pagingslip. When keying in the barcodeyou will need to click the Search button or hit Enter. Each check in will display a dialoguebox,likethe one below, statingthat the OFF CAMPUS status has been cleared. Click OKor tap the spacebar. Once all items have been scanned,click the Close button in the upper right hand corner to clear the screen. You do not need to printa copy of this screen. After all Sinclair materials arechecked in; remove all labels,pagingslips,and miscellaneous papers frombooks. Placeany pagingslips in theconfidential shred box. Remove all media items from shipping boxes. Empty boxes should be placed in the two upper right-hand cabinets behind the hold shelves. Placeall Sinclairitems on the sortingshelves. If the cartis atleasthalf full,put the materials in call number order, do a second check-in on all items,and then placethe cartoutsidethe door by Reference until itcan be shelved.

The fax coversheetsare locatedinthe lastdraweron the right behindthe holdshelves. Fill outthe appropriate information. The fax machine islocated acrossfromthe circulationsupervisors’desks. The Fax buttonisat the top of the machine inthe center. Make sure the Fax buttonis lit. If not,pressthe Fax button. See arrow 1. Pressthe Hook/Hold buttonon the right side of the machine underthe Faxsection. See arrow 2. Use the keypadinthe centerto dial the numberof the LearningCenteryouare sendingthe FAXto. See arrow 3. Scan or keyin the barcode of the firstitemandclickthe Search button. Place the shippinglabel inthe clearwindowof the canvascourierbag. Recordthe bag onthe manifestformnexttothe correctdestination. Example below. Alwayschecktosee if a manifesthasalreadybeenstarted. If not,the manifestformscanbe foundonthe shelf tothe right of the OhioLINK table. Write the pickupdate inthe place providedonthe frontpage. If it has a transitslipinit statingitbelongsatthe Dayton location,checkitinand clearthe “inTransit” status. Thisprocesswill alsoinitiate anyInternalorINN-Reachholdthathasbeenplacedonthe item. If there is noholdon the item,place the itemonthe sortingshelves. If there is an internalhold,printthe holdslip,folditverticallyandplace itinside the itemwiththe name stickingoutthe top,and thenplace the itemon the holdingshelvesunderthe patron’slastinitial.
