This document provides instructions for labeling library materials being placed on reserve at Sinclair Community College Library. It describes how to label books, DVDs, VHS tapes, periodicals, articles, and photocopies with barcode labels, call numbers, loan period labels, and other relevant information. Labels should be placed in specific locations, such as the spine or front cover, depending on the type of material. The labeling process is illustrated with examples.
2. How This Lesson Works
• You will be given step-by-step instruction with
illustrative graphics.
• If you have questions at the end, there is contact
information on the last slide.
3. Labeling
• Library materials will
already have a barcode
and call number
attached.
• For Department- or
Instructor-owned
materials, place the
Barcode on the back of
the item in the upper
right-hand corner.
4. Labeling
• For Department- or
Instructor-owned materials
place the Call Number on
the spine about ½” from the
bottom.
• Place the Reserve label on
the spine about ½” above
the call number.
• Place the Loan Period label
on the spine about ½ “ from
the top.
5. Labeling
• Dayton Campus Only:
Add the Loan Rule
Fines label to the front
cover in the lower
right-hand corner.
Adjust if necessary to
avoid covering the title
of the item.
6. Labeling – DVD Example
• When labeling a DVD, follow the same rules, but also
write the barcode on the top of the DVD in
permanent marker.

7. Labeling – VHS Example
• When labeling a VHS tape, also write the barcode on
the face of the tape in indelible marker. In this
example the VHS tape has a duplicate barcode on its
face.
8. Labeling – Periodical
Example
• Since most periodicals are not thick
enough to have a spine, place the
Loan Period label in the upper left-
hand corner of the front cover.
• Place the Reserve label in the lower
left-hand corner of the front cover
while avoiding any other labeling.
• The Loan Rule ad Fines label should
be placed as to avoid covering
wording if possible. (Dayton only)
• The Barcode should be in the upper
right-hand corner on the back cover.
9. Labeling –
Articles/Photocopies
• Articles and Photocopies are placed in file folders. The
label on the folder should be formatted with the course
number on the first line on the left, the instructor’s name
on the first line on the right, and a copy number in the
center if there additional copies. The next line or two
should contain the title of the article or description of the
photocopy. A loan rule fines label should be placed on
the outside of the folder.

10. Labeling –
Articles/Photocopies
• The article or photocopy should be prepared by labeling
each page number (format: p. 1 of #, etc.). On the front of
the paper, apply the copyright stamp in an open area.
The barcode should also be placed on the front page.
