Structure
• Mapping Tables – allows creation of a user specific external code to be matched
with and Internal code
• External Structure – used to identify the structure of the outgoing or incoming data
columns and format settings
• Structure Transformation Rule – used to map external data to match internal data
• Transformation Set – combines the Rules and Custom mappings to the import
template
• Exchange Purpose – specifies which data type is associated with the Transaction
and allows adding unique markers to export files for tracking
• Document Template – used when creating letters for mail merge
• Document Template Applicability – connects the data source to the letter
template
• Reports and Tasks – send result of a report or email an export file

7. External Data from the ERP
• Excel Spreadsheet is used to build and test the template.
• Extract from ERP can be manual or automated.
• Columns should comply with the Standard Format such as column width and
type. Not all columns have to be present but all Mandatory fields must be present
• Some columns left empty intentionally due to system generated actions.
• Spreadsheet is used to build External Structure Template in the system.

• Select the line and Click the
Define Structure Fields button.
• To Define the Substructure fields,
select the line and click on the
pencil. Select Define Substructure
Fields.
• In this example the Start position
represents the column number.

• The Transformation Rule is used to
match the output fields to the Input
Fields
• Select the line and click on Define
Rules
• Input field is derived from the
External Structure format
• Output Field is the system field in
Kyriba
• Free Mapping Table converts the
external field (input field), into the
internal code format to be matched
with the Output Field

• Add or select the line item
• Select the Input field
• Select the Matching Output field
• If a conversion map is necessary, assign
the associated mapping
• The number of lines should match the
number of lines in the External Structure

• Combines the Transformation Rule
and Free Mappings to the
Transformation Set
• Add or Edit a Transformation Set
by selecting the update icon or
double clicking
• Assigns the transformation rule
associated with the mapping
• Code Mapping assigns associated
Free Mapping conversion maps to
the Transformation Rule

14. Exchange Purpose
• Differentiates files for export
purposes and assigns rules to
each. In this example the template
is for Accounting Entry (GL
Recon).
• Trace data can be added for
tracking purposes. This can be
used to identify data already
exported and or is not duplicated.
• Mandatory when setting the
criteria of a file export, in the
“Export” tab of the export function.

on the Transformation Set assigned
• Data Type utilizes the Data Purpose
and for trace information
