Why is MBX needed?
Your mail account lets you store up to 15 GB mails, but you receive a hundred to a thousand
mails daily. A heavy inbox is slowing down your mail navigations. Someday your inbox might
seem too small to you. What to do now? You are left with two options:
1. Delete some mails daily to keep your Inbox light.
2. Store them to your local drive using a good mail client
As you have been too dependent on your mails, chances are, the deleted mails will find its
need some day(maybe in next 5 years). So, option 1 is definitely not an option for you.
About option 2, its safer as you can have an offline access to your mails and may store them
to any location of your choice, be it on an offline drive or an online one. There is another
botheration here. What if, that you had stored your mails on your system folder and your
system crashed to some reason leaving you with the only option of formatting the entire
system? What if you had stored your data to a flash drive and that drive is now nowhere to
be found? What if you had stored your data on cloud and a mass malware hacks to your
data and ending up killing them all. Were all these locations really reliable at the same time?
“No” is the answer.
Mail Backup X finds itself useful here. Through Mail Backup X, you can place your backup
storage at two different locations, simultaneously. We call it “Mirror Backup”.
What if the assigned storage location fills up, and Mails are rejected from being fed to the
drive anymore? Mail Backup X helps you again. It comes with “Distributed Backup”. You can
configure them accordingly. You can prioritise which drive needs to receive data first. The
sooner it runs out of space, the second drive takes hold.
What if you owned a Windows system a decade old, that holds some GBs of mails and you
want them now? You are left with two options:
1. Convert the mails to a format supportive to Mac. This is time taking, for sure. Plus, a
100% conversion isn’t guaranteed. Mails carry the tendency to lose their contents
while the conversion.
2. Configure the drive to Mail Backup X and view them directly. Saves time. Just
“viewing” does not affect the file format.
What if, you are using multiple mail profiles, probably on different mail clients and its quite
haunch and paunch to switch between different mail accounts? Mail Backup X is a saviour
again. You can configure multiple mail accounts on Mail Backup X and it allows you to view
them all together on a single screen. It introduces a “Universal Mail Viewer”.Saves much
more than time.
Introduction
Mail Backup X is a complete solution to manage your mails and restore them to/from your
local and removable drives. It is an all in one solution for all your mail loss problems. The
dashboard screen updates you with every activity performed on/off the screen. It informs
you of the backups being made, along with their location.
Mail Backup X lets you to resume backup from the point it stopped last time. It helps you
backup only the files that have arrived after the last backup. The backup can be stored at
any location of your choice- both offline and online. The backups can also be stored at
multiple locations simultaneously (Mirror). This helps, especially when one of the two
storage locations meets a crash.
Mail Backup X is the only solution, that provides backup on both online and offline mail
profiles. It provides a single screen view to all your mails. This eases your navigation
between multiple mail profiles. It supports backup for IMAP clients of all the mail providers.

The UI of Mail Backup X
The UI contains two screens- the Dashboard and the Viewer. The Dashboard is used for
functionalities of entire profiles. They might be added, removed, synced and edited from
this screen. While the Viewer helps you view all the mails together on the same screen.
The Dashboard
The left side of the screen shows the following options:
Backup Setup: this option, is same as the “Setup a new backup profile” option(for the
first time installers). The options under it open up the subsequent pages, discussed later.
Retrieve/Export Data: This option helps you export your backed up mail folders. The
subsequent screens to this option, help you choose the desired export format and the mail
folders to be exported.
Viewer: This option takes you directly to the mail viewer.
Search and export: -
1. Mails find & Export: With this option, you can export individual mails.
2. PDF Archive Export: With this option, you can export entire folders to PDF, directly.
Preferences:
It lets you prioritise Mail Backups over the rest of the running applications.
Next to it, information about the application version, number of Active Backup Profiles and number
of days remaining for free trial (if on free version) shows up.
The navigation switch ensures easy switch between the Dashboard and the Viewer.
The Search bar lets a highly filtered advanced searching.
“Total items Backed up” shows the number of mails backed up by the tool till date.
“New Items Secured Today” shows the number of mails backed up by the tool on the current date.
“Sync Now” lets a quick manual synchronisation of all mail accounts.
“Backups Active” shows the number of mail profiles being actively backed up simultaneously.
“USB Auto Copy” shows the number of USB drives to which mails are being auto copied.
Following it, are the information of the backup profiles. The information contains the following:
 The backup profiles’ name and the source location of data.
 The last time they were backed up.
 The kind of Backup schedule used(Automatic/Manual).
 The location(s) of Backup.
 A green tick ahead shows that they had been backed up successfully in the last backup
session. A red mark speaks of an error. The details are mentioned in “backup log”.
 Backup Log:It shows the files been backed up.
 Settings: This icon takes you to the window for setting up backup location(s). You can modify
your backup name, mirror and distributed location, anytime. You can also add/remove
folders from being backed any time from here.
 There is a Sync button to every profile. This is to run a quick sync to that specific profile only.
 Delete profile: this button deletes your profile. But your backed-up data exists in the folders
as before.
 Export Profile:This button lets you export all your mails from that specific mail profile to a
local drive in .mba format.
The Viewer:
One of the key features, which makes Mail Backup X more special is its Universal Mail
viewer. It comes with following options:
1. The left pane shows all the mail profiles been configured, along with all their folders
and subfolders.

2. Every mail profile has a drop-down button that gives you option to choose the
desired mail types-
a. View All Items (Default View): you can view all the available mails with this
option.
b. View Deleted Items: Thisoption lets you view all the mails which were
deleted from Mail Backup X. [restore deleted mails]
c. View Uncached Items: This option lets you view the mails that have not been
downloaded successfully to the mail client.[how to fix Uncached mails]
d. Synchronise Backup Now: like the option in the dashboard, this option lets
you backup that specific profile, at instant.
3. The pane at the centre shows all the mails along with the date they arrived.
4. The third pane is adjustable. You can place it either at the extreme right or at the
bottom using the Toggle reading pane.
5. At the top right, are four keys:
a. Print selected items: it lets you print the mail been opened at current.
Multiple mails can be selected, using shift key.
b. Generate PDF for selected items: this key converts the mail(s) to pdf format.
c. View Raw source: The “Raw source” is the complete raw content that
represents the message. It includes the details of the entire mail content, the
details of the source and the destination.
d. Toggle reading pane position: This key toggles the mail reading pane
(explained in point 2, above).
With the Viewer, you can view:
 Mails from multiple clients and multiple mail accounts in the same screen.
 Mails exported by mail clients that are not in your current system (example- you can
read OLM files, without installing Outlook).
 Mails exported by Windows version of Thunderbird and Outlook, without converting
to Mac supportive formats.
 Right clicking a mail gives you options to export, print and delete the mail.
 The mails, their labels and the folders are arranged as per your mail account/client.
 The Sort button gives you the option to sort your mails, as per your convenience.

Installation
Click on Download nowoption, in the official website of Mail Backup X.
Let the application be extracted from its .dmg file.
Click on the pkg file to proceed for installation
Move the installer file to trash
The Installation Wizard pops up. Click on Continue.
The Installation type screen lets you choose the installing location of Mail Backup X. By
default it is “Macintosh HD”.
Click on “Install”
Enter your Apple user ID and password.
A confirmation message shows up after the completion. Click on Close.
Search and open Mail Backup X from Spotlight.
At the top of screen, Mail Backup X icon can be seen now. Clicking on it, you find a number
of options:
1. Power button: Use it to turn off the application.
2. A home icon: This opens the dashboard of the application.
3. An M-shaped icon: This opens the viewer screen of the application
The next option says “Setup a backup now” “No backup Setup yet”.
The next screen takes you to the following screen.
It gives you the following options:
1. Start trial: This option leads you to a 15 day free-trial of this application. The
activation date and the expiry date are informed in the next screen. Beyond the
expiry date, the application needs a valid purchased license to work.
2. Purchase a License: This option lands you to a page where from you can purchase
the license of Mail Backup X. This option redirects you to the official website of Mail
Backup X. Enter the details and payment mode and click on “Next”.
Enter the Coupon code and click on “Update Coupon” to avail the discount. Choose
“Make changes” to edit the quantity or address. Next, enter the payment details and
click on “Complete Order”.
3. Activate License key: You can choose this option to activate your full access. In the
first tab, enter the License key purchased. “Computer Identity hint” lets you name
the tool on your current system, thus helping you against the ambiguity while
deactivating from any of the two systems. Click on “Activate” after filling up the
tabs.
The next screen brings option for setting up of a backup profile:
1. Setup a new backup profile: This option leads you to backup mail profiles Mail
Backup X through one of these options:
 Thunderbird
 Apple mail
 Outlook 2011
 Outlook 15/ Outlook 2016 / Office 365 for Mac
 Postbox
 GMAIL
 Yahoo
 Other IMAP accounts
2. Import data from an existing file:This option lets a one-time import of your mail
profile from one of these options:
 Apple Mail Database
 MS Entourage Archive
 MS Outlook Database for Mac/OLM files
 Thunderbird/ Postbox
 MS Outlook Windows(PST/OST files)
 MBOX Files
 EML
3. Open Mail Backup Archive: This option lets you read the archived MBS files of Mail
Backup X without importing them to the new database from the same location.
4. Import Mail Backup Profile: This option lets you import previously exported profiles
by Mail Backup X. It copies the storage location of the mails in the previous system
and imports all of them to the exact location. It updates the already existing backup
location with new information.
Setup a new backup profile
Setting up a backup profile is the first step towards using Mail Backup X tool. The tool lets
you create a backup profile with/without a mail client.
While configuring a mail client, make sure it’s server settings are correct and it receives the
mails with success.
IMAP accounts can be configured directly.
Click on Setup a new backup profile
Choose the Mail client/ IMAP mail account and click on Next.
Next screen shows all the folders in your mail account. The checkbox lets you choose the
folders to be backed up. You may/may not backup every folder in your mail account.
There is another checkbox at the bottom of the screen that reads “(Recommended)
Automatically backup newly detected folders.”
Checking this box, ensures that whenever you are creating a new folder in your mail
account, it gets reflected in the Mail Backup X viewer and is backed up along with the pre-
existing ones.
Click on Next.
The next screen gives you the option for setting up backup name, location, and type.
You can name the backup profile as per your convenience.
The next tab gives you the option for the storage location. The edit button lets you change it
as per your convenience.
The Setup a Mirror Copy button lets you opt for the Mirror copy of your backups.Next
option says: “Choose a backup Schedule:”. As per your needs, you can set the Backup
schedule for your mails. [all the three types are discussed later]
The next option says “Auto Export Profile to External USB drive”. This option lets you set a
USB drive for auto backup.
Click on Doneto save your setup.
The next screen brings you to the Dashboard.
Back up an IMAP account
An IMAP account can directly be backed up by Mail Backup X. There is no prohibition for the
mail account being used. The IMAP server settings for most of the mail providers are already
provided, you might need to manually enter the server settings for only a handful of
accounts. Mail Backup X automatically picks up the IMAP server configurations for quite
many popular mail providers. You will just need to enter the mail account ID and password
and your work is done.
Following are the steps for the same:
1. Click on Add new backup
2. Click on the mail account(Gmail/ Yahoo/ AOL or other IMAP account). Click on Next.
3. Next screen needs you to enter the mail id and the password of that account. Click
on Next.
4. The next screen shows all the mail folders in the mail account. You may/ may not
select all the folders.“Automatically Backup newly detected folders” is recommended. Click
on Next to proceed.
5. Set up the desired backup type and location.
6. A pop up appears asking you for backing up either the files since beginning or the
ones that will be arriving from the current date. Click on your preference
7. Click on done to complete the setup.
Your IMAP backup can now be seen in the dashboard.
Timeout settings
This is a special function specific to IMAP accounts only. Mail Backup X keeps a check on the
deliverability of mails from the IMAP server. If network problem/ any other reason disallow
it to extract mails from the server, Mail Backup X comes with an error message indicating
the failure to back up the mails. This can be fixed by adjusting the Time out settings.
1. Click on “Settings” button.
2. Click on “Server Settings” at the top right corner of the UI.
3. Enter the required time (based on your network connectivity. Better is the
network, lower the time needed.) Hit Save.
4. Click on Done.
Backup Apple Mail
Mail Backup X lets you configure your Apple mail account. It automatically backs up all the
selected folders.
1. Click on Add new backup.
2. Select Apple Mail. Click on Next.
3. Select/Deselect the folders.
4. Name the backup profile. Select the backup schedule and location.Click on
Done.
Note:It is recommended to configure IMAP account directly to Mail Backup X, instead of a
mail client. Mail clients often fail to download the entire message successfully. As a result
they form “Uncached mails” in Mail Backup X.
Resolving these “Uncached mails” is a difficult task, as you need to switch to your mail client
and download the mail forcibly.
Backup Thunderbird/Postbox mails
Quite similar to Apple Mail, Mail Backup X helps you backup Thunderbird and Postbox mails.
1. Click on Add new Backup from Dashboard.
2. Select Mozilla Thunderbird. Click on Next.
3. Select/Deselect the folders to be backed up.
4. Choose the folders to be backed up and click on “Next”
5. Name the Backup profile and set the backup location(s).
6. Click on Done. The Thunderbird account can be seen in the dashboard
Backup Outlook mails:
Quite similar to Thunderbird and Apple mail, Mail Backup X lets you backup mails from
Outlook 2011/2015 or Office 365. Just configure the Outlook and Mail Backup X picks all the
folders and the mails automatically.
1. Click on Add new Backup from Dashboard.
2. Select Outlook:mac 2011 for Outlook 2011 and Outlook: mac 2015 for Outlook 2015
or Office 365. Click on Next.
3. Select/deselect the folders to be backed up.Click on Next.
4. Choose the location for storing up the backed data. Alter the name, the backup type
and schedule, if needed. Click on Done.
Importing in Mail Backup X
With Mail Backup X, it is possible to import mails from a previously exported file format.
There are few file formats like OST, PST, Rge, Mbox, EML etc which are not supportive to
few of the mail clients. However, with Mail Backup X, it is possible to import file formats
that are not supportive to Mac clients.
It is also possible to import an exported profile entirely in Mail Backup X.
Importing mails in Mail Backup X
Here, we are importing MBOX mails to Mail Backup X. If the mails of same mail extension
are from multiple locations, it is recommended that the mails be concatenated under same
folder and then imported to Mail Backup X. It saves time.
1. Bring all the MBOX mails to a single folder
2. Click on “Import Data” from the Dashboard.
3. Choose “Mbox files”. Click on Next
4. Find the location of your MBOX files and select the folder only. Don’t go inside
individual mbox files. Click on Open
5. Select/deselect the folders to be converted. Click on Next
6. Choose the location of backup. Click on Done.As these mails were already backed up to
a certain location and are now meant for reading and backing up process only, it is
considered one time import[Bottom of the screen].
How to import mails from Outlook main Identity?
What if someday your MS Office collapses? What if your hard disk crashes all of a sudden?
What about the huge bunch of mails stored in Outlook? How to answer your superiors?
What about the contacts and the calendars?
Mail Backup X can recover them all if you can somehow locate the Mail Identity of your MS
Office. All your mails and the Outlook credentials still can be restored from the Main
Identity. This is possible for Outlook 2011/2015/2016 and Office 365.
1. Click on “Import Data” from the Dashboard.
2. Select Microsoft Outlook Database Identity/OLM filesand click on Next.
3. Outlook mac2011 Identity Database and Outlook mac 2015 Profiles can be selected if
the Outlook existed in the same system where Mail Backup X has been loaded
currently. Click on Browse to locate the desired folder, if chosen Outlook 2011
database / Outlook 2015 Profile under Custom Path. We are showing the OLM file.
Click on Continue.
4. Select/deselect the folders to be imported. Click on Next.
5. Choose the storage location and click onDone.
Custom Path
This is feature appears while importing Outlook mails from the main identity. This option
leads to three other options:
1. Import data from an OLM file: This option lets you import files exported by Outlook
in OLM format.
2. Outlook 2011 database Identity folder: With this option, Outlook 2011 mails can be
imported to Mail Backup X, even from the backup hard disk of a different system/
desired location. This is helpful, especially when the system containing your backup
mails gets crashed, however the hard disk is someway letting access of the Outlook
2011 main identity or you can backup from the Time Machine backup. Mail Backup
X, picks all the emails from there.
3. Outlook 2015 Profile: With this option, Outlook 15/ 2016 mails can directly be
backed up from a backup hard disk/desired location. Quite similar to the previous
option, this option lets you backup mail data directly from the Outlook 15/2016
database.
How to import old Mail Backup X profile to a new system?
With Mail Backup X, it is possible to import all the previously backed up mails (.mbs/.mba
files) to an entirely new system. The mails can be imported from any of the configured
locations with mbs/mba format.
[A tip:
Don’t try to open the mails directly from the finder. That doesn’t work time and mbs file
format is unreadable by any other application. Open Mail Backup X and import the files
from thereon. ]
For locations like Dropbox and Google drive, simply log on to the application and the
application appears on the sidebar. In the illustration below, we have worked with the mails
been backed up in Dropbox from the previous system.
The mail files can easily be found by searching .mbs in the search bar in the step number 5.
1. Install Mail Backup X in the new system.
2. Enter the license.
3. In the dashboard, click on “Open Mail Archive”.
4. Click on the “+” button which asks you to add the .mbs files.
5. Find the location of the files with extension .mbs. click on “Open”
6. The next dialog box confirms the import of the profiles. Basically the profiles are just
opened for reading purpose only. And if a mail profile with the same mail box is
configured to the new system, the imported file is updated with only the new
information. For example, we had chosen 3 mbs files, but Mail Backup X only created
profiles for two. Reason being, we had created the Apple mail Backup with the same
mail account credentials in the new Mail Backup X. While Thunderbird and the yahoo
account weren’t configured.
7. Click on Continue on this window. And the import is completed.
Deleting in Mail Backup X
Mail Backup X allows deletion of individual mails as well as profiles. The mails/profiles are
only turned invisible from the regular view of Mail Backup X. However, they are not deleted
from the backup location and can be extracted any time.
Delete individual mails from Mail Backup X:
Individual mails can easily be deleted from Mail Backup X.
1. Find the mail to be deleted.
2. Right click the mail
3. Select “Delete”.
4. A warning message pops up to confirm deletion. Click on OK to delete.
The mail vanishes from the mail folder. However, the mails still exist and can be restored
back to inbox, anytime.
1. Find the mail folder where the mail existed.
2. Click on the drop-down button and click on “ View Deleted Items”
3. The icons of the folder change to red and you can view the deleted mails of that mail
profile.
4. Right click the deleted mail.
5. Click on “Restore”. You can now find the email back in the inbox.
Deleting mail profiles
Deleting backup profiles doesn’t the backed up mails from the location. It only deletes your
profile from Mail Backup X
Deleting an IMAP profile
The following steps need to be followed:
1. Locate the mail profile, to be deleted, from the dashboard.
2. Click on the “Delete Profile” button.
3. The next screen shows you the backup location of the profile. The top of the screen
represents the profile to be deleted. The note at the bottom confirms the mail
profile will be deleted but the backed up mails will still be present at their respective
location(s). The mails of the deleted profile can be restored later from the
location(s). Click on “Delete” to proceed.
4. A message pops up seeking confirmation for deleting the profile. Click on delete to
proceed.
5. A message pops up for reconfirmation for deletion of profile. Click on Delete to
proceed.
6. After deletion a confirmation message can be seen at the bottom of the screen. Click
on “Back” to move back to the dashboard.
Deleting an email client profile
1. Find the mail profile to be deleted from the dashboard.
2. Click on “Delete Profile”.
3. The next screen will show you the backup location(s) of the mail profile. The note at
the bottom confirms that, even after the deletion of the profile, the data from the
location(s) won’t be deleted and can be retained for backup from that location, any
time. Click on Delete to proceed.
4. Message for confirming deletion pops up. Click on Delete to proceed. It suggests you
to export your mail profile using Export Profile before deletion for better mail
security.
5. Message for reconfirming the deletion pops up. Click on Delete to proceed.
6. After deletion is completed, the confirmation pops up at the bottom of the screen.
Exporting in Mail Backup X
Export Profile directly from the dashboard:
Profiles can be directly exported from the dashboard using the Export Profile button
adjacent to the “Delete Profile” button.

1. Click on Export Profile.
2. Choose the storage location for the export. External devices are also reflected
here.
3. Choose the “Split snapshots by size” option if your storage location has a limited
space. This option lets you set limitation for the packet of exported mails. Set it
as per the limitation of your storage space. Choose the type of storage device.
For CDs it is by default 650mb and for DVDs it is 4.7GB. For the rest, choose
Custom. This size is customizable.
4. Choose “Update backup if already exists” if the current mail profile has
previously been exported at the same device. If chosen, it compares every mail
to the mails of pre-existing folders and only saves the mismatching mails to a
new folder. Not selecting this option, creates a separate backup folder containing
all the mails, even the ones those were backed up during the last session.
Checking it, saves a lot of space. If no extra mail is added to your backup since
last backup to your external drive, no folder will be created.
5. Click on “Export Snapshot” to proceed.
6. The Mail Backup X icon on the menu bar shows the notification as a confirmation
of the backup being completed.

How to export mails from Mail Backup X to a particular file format?
Mail Backup X brings all these conversions under one roof. With Mail Backup X, mail formats
can be changed to

How to export mails from Mail Backup X to Outlook Mac?
Outlook on Mac supports mail format of pst as well as olm. Mails from mail Backup X can be
imported to Outlook by exporting the mails to PST format. Later the mails can be imported
to Outlook directly. Mail Backup X ensures that mails retain their respective folders, even
after the conversion.
1. Click on Retrieve/Export Data.
2. Select Microsoft Outlook Windows PST File. Click on Next
3. Select/deselect the folders to be exported. Click Next
4. Select the storage location and click on Save.
5. The Backup Log confirms the successful conversion of the mails.
The mails can be located in their destined positions with the extension of “pst”.
1. Open Outlook. Click File>Import.
2. Click on Outlook Data File(.pst or .olm) and click the right arrow at the bottom.
3. Click on Outlook for Windows Data File(.pst) and click the right arrow at the bottom.
4. Find the desired PST file and click on Import.
5. This window confirms the importing to Outlook. Click on “Done”
Mail Backup X imports the mails under “On my Computer”.Mail Backup X retains the exact
folder structure in the process.
How to export mails from Mail Backup X to Thunderbird?
1. Click on Retrieve/Export Data.
2. Select Mozilla Thunderbird. Click on Next
3. Select/deselect the folders to be exported. Click Next
4. Select the folder to save the exported data. Click on Save
5. The Backup Log screen shows the information regarding the exports. Click on Done.
Now we will need to import the exported files to Thunderbird. For this, install an addon
“importexporttools” in Thunderbird. This add on helps importing mails to Thunderbird.
1. Open Thunderbird.
2. Click on the Menu button at top right corner.
3. Select Tools>ImportExportTools>Import mbox file.
4. Locate the exported mails from Mail Backup X. click on Import
5. Choose the suitable import way and click on OK
6. A new folder can be seen under Local folders with the same name: mbox
How to export mails from Mail Backup X for Apple mail?
For this we will have to export the backed up mails from Mail Backup X in apple mail
supportive format. The exported mail box can easily be imported to Apple mail later on.
1. Click on Retrieve/Export Data.
2. Select Apple Mail Mailbox Archive. Andclick on Next.
3. Select/deselect the folders to be exported. Click on Next.
4. Select the folder to save the exported data. Click on Save
5. The Backup log confirms the successful export
Now, importing the mails to the Mail Application.
1. Launch Apple Mail and go to Application Menu > File > “Import Mailboxes…”
2. Select the option “Apple Mail” in Import dialog and click on “Continue”.
3. The next screen says that the mails can be found in the folder named IMPORT in the
mailboxes list.. Click on Done.
4. Apple Mail searches the given folder for emails and displays a list of all folders. Click
on “Continue” button and wait until the import finishes.
5. A new folder is created under On My Mac containingImport>mbox.
Export mails from Mail Backup X to PDF format
With Mail Backup X, it is possible to export/print your mails directly in pdf format. The page
size can be set, as needed.
Print as per default page size
1. Click on Retrieve/Export Data.
2. Select PDF Archives and click on Next.
3. Select Page attributes.
4. Format For lets you configure the right printer(if connected with multiple
machines).Choose the right Paper Size, Orientation(Vertical/Horizontal) and the
scale. And click on OK.
5. Select/deselect the folders to be exported. Click on Next.
6. Choose the storage folder. Click on Save.
7. The export can be seen from here.
8. The backup Log confirms about the completion of export. Click on Done.
Manually setting page
1. Click on Retrieve/Export Data.
2. Select PDF Archives and click on Next.
3. Select Mail Backup X.
4. Adjust the Margins as per your needs. Select an action for adjusting the Width. Scale
down is recommended when you are ready to adjust the size of the scripts if it
extends the size of the paper. Clip when you are not okay with change of size.
However this may crop off few information while printing. Click OK.
5. Select/deselect the folders to be exported. Click on Next.
6. Choose the storage folder. Click on Save.
7. The export can be seen from here.
8. The backup Log confirms about the completion of export. Click on Done.
Backup Locations
Backup to a distributed location
You are having a Backup location. Someday, you notice that the backup amounts to 7 GB
and the space left in your backup drive is merely 3GB. What to do next?
A “Distributed backup” helps you maintain the flow. First 3 GB is poured to the previously
configured device, while the rest 4GB is moved to the other device, without losing any data.
It also works, when the primary storage location turns inaccessible to some reasons. Mail
Backup X starts pouring the mails directly to the secondary location, automatically.
Any location could be chosen for the backup. For illustrations, we have chosen the
Dropbox.
1. Locate the backup profile from the dashboard.
2. Click on “Settings”.
3. The current backup location can be seen.
4. Click on “Edit”.
5. The dialog box opens, stating the need for a “Distributed Backup”. Click on the “+”
icon, as shown.
6. Configure the new location. If the new folder location is not showing up, locate the
folder manually and drag to the side bar.
7. The Up and Downbutton keys help you manage the preference of the storage
location. The one at top is fed mails first.
8. The “Delete” key, adjacent to the “+” key, helps delete the location(s).
9. Click on “OK” to confirm.
10. In the next screen, it can be seen that the “Storage Locations” now show
“Distributed:”. The primary location is mentioned and the rest location is mentioned
as “Others”. Click on Done.
Auto-Backup to USB
With Mail Backup X, it is possible that mails can be backed up to a USB drive, the sooner it is
attached to the system. Just configure the drive for once. The next time, that drive is attached to the
system, Mail Backup X sends all the new mails to the drive automatically.
1. Open the Settings window(during setting the profile/ settings button below the Profile)
2. Click on the (+) button in the “Auto Export Profile Snapshot to External USB Drive”.
3. Mail Backup X detects the location of the desired drive automatically.
4. Provide a name to the location.
5. Click on the checkbox reading “Automatically start copying as soon as the drive is
detected”. Click on Ok to continue.
6. Click on Done. “Auto Start Copy” can be checked and unchecked any moment.
7. A new option “Copy to USB” can be seen in the dashboard under the configured backup
profile. This option can manually copy all the new mails to the configured USB any moment.
Mail Backup X only adds the newly backed up information to the drive under the process named
“Incremental Backup”. No new folder is being added on this process, only the old folder is updated.
Automatic backup transfers the mails automatically.
Not selecting Auto start copy asks for permit before copying the backup to the drive.
Backups can be sent to the drive by clicking on the icon attached to the notification.
Backups to USB can also be made by clicking the Copy Now buttonon the top. It avails all the
accounts configured to USB auto copy. Just click on the desired option and the job is done.
Backup to a mirror location
It is possible to backup same mails at two different locations at same time. The advantage it
adds is: even if one of the locations is crashed to some reason, the other location is
receiving all the mails safely and are secured. It is recommended that if the mirror locations
are in physical drives, they be kept at far distances.
With Mail Backup X, it is possible to store the mails in mirror location(s). You can have same
data over multiple locations at a time.
1. Locate the backup profile from the dashboard.
2. Click on “Settings”.
3. The current backup location can be seen. Click on “Setup a Mirror Copy”.
4. Click on the + symbol to add the mirror location.
5. Click the location type- Disk/FTP
6. Choose the location.[chosen Google drive and a new folder here.]
7. Click on Open.
8. The next window shows the mirror location. Can be altered with the Update key and
more mirrors can be added with the previously mentioned + button. Click on OK to
proceed.
9. The next screen shows the current backup location(s). Click on Done to complete the
process.
Backup Scheduling in Mail Backup X
With Mail Backup X, one can easily configure the mails into any of the three backup
scheduling types- Automatic, Manual and Recurring. Each Backup Scheduling carries its
advantages. We, thus, leave it to the user to choose the backup schedule as per their
convenience.
Automatic Backup:
By automating a backup through a regular backup system, the user doesn't have to protect
data manually. The Automatic backup features allows user to select which of the folders on
your devices you’d like to have routinely backed up. These will typically be folders which are
often updated or changed.
The backup location syncs up new mails effortlessly. All you need to do is make sure you are
connected to the Internet so that your mails to the system well enough and can be
downloaded to the online storage location.
Using this kind of feature will not only save you time, it will also save you the trouble of
having to remember to backup your files, every once in a while.
Automatic Backup with Mail Backup X
Mail Backup X lets an easy Automatic Backup of all your mails.
Firstly, choose mailbox, the folders and the location to be backed up as discussed in the
“setup” part.
Now, select “Automatic(Recommended)”as the backup schedule.
It is recommended that the physical location of the Automatic backup storage stays away
from the location wherefrom, it can be backed up. Any successful auto backup system will
be immune to situations that could occur at the hard drives' physical locations, such as fire,
floods and any other natural calamities.
Manual Backup:
A manual backup system is a system for storing and maintaining data as per your
requirement. Any backup strategy starts with a concept of a data repositioning. The backup
data needs to be stored, and also should be organized to a degree. It is considered much
more reliable by many. A Manual Backup can be updated on a daily basis, or can even back
up the data at any time.
Manual Backup in Mail Backup X
Firstly, choose mailbox, the folders and the location to be backed up as discussed in the
“Setup” part.
Now, choose “Manual” as the backup schedule.
Proceed, as already been suggested.
The “Backup Now” button lets the user backup the mail profile any moment.
This symbol indicates that the backup is on the process.
Recurring Backup
Recurring Backup lets the user backup the mails, at a certain interval. Recurring backup
means to schedule a backup as per your convenience with time which creates a scheduled
backup job to automatically run periodic backups. The Backup Schedule requires control
over the data and structure of its destination locations.The server and the local file system
destinations is decided and dedicated to creating an uninterrupted backup.
Its advantage over Manual backup is, it backs up the data automatically without any manual
interventions.
The advantage it carries over the Automatic backup is, you know the exact time at which
your data is being backed up.
Recurring backup in Mail Backup X
With Mail Backup X, mails can be backed at regular intervals. It can be opted based on:
 Interval
 Daily
 Weekdays
“Interval” decides how often backups are updated on a single day. The Hours and the
Minutes are adjustable.
“Daily” defines backup at every 24 hours. The time being set is the exact time, at which Mail
Backup X automatically backs up all the mails, since the last backup, at the desired location.
With “Weekdays”, Backup can be scheduled to any day(s) of a week. The time for the
backup can be adjusted. Mail Backup X, automatically backs up the mails, since the last
backup to the allocated storage.
Click on “Done”.
The Dashboard reflects the Backup schedule type.
“Recurring Backup” doesn’t deactivate the “Backup Now” function from the Dashboard.
The profile can be synced any moment. The initial time remains constant, the exact time
when the setup was done. Even if the backup is hit manually in between, the “recur”
remains unaffected and will backup exactly at the allotted interval from the setup time.
However, the backup resumes from the point where it was halted (be it manual or by recur).
Makes Mail Backup X smarter.
Change in Backup Settings
How to change Backup folders of a profile amidst the ongoing
backup?
Folders can be added/removed from your mail profile. The addition of a folder to backup
profile has no effect on the pre-existing backups.
If a folder is removed, only further syncing of the mails is put to a halt. The folders can still
be seen as before, in the Viewer. However, no further backup is created for the deleted
folders. There is no effect on the previously backed up data and can be retrieved to a device
anytime from the location.
a. Adding folders to the backup profile.
Here is the folder of the profile that was previously been configured to Mail Backup X.
Following are the steps for adding folders to a backup profile:
1. Locate the backup profile on the dashboard and click on settings.
2. The next window helps you change the settings of the backup. Click on “Select
Folders” at the bottom.
3. Visibly, it was just the IMPORTANT folder under backup. Tick the checkboxes to be
backed up.Click on Save to continue.
4. Click on Done.
5. The new folders can be seen in the Viewer.
b. Removing folders from Profiles has got the same procedure too. However no change
is reflected in the Viewer. This might be noted, that the mails stop syncing from that
moment itself. Only the folders chosen to be backed up, will be syncing thereafter.
How to add new location for storing backup?
It’s the same as adding locations to the Finder Sidebar. Locations like Dropbox and Google
Drive can be added the very same way. Just add the locations to the Finder. Itreflects
automatically in the corresponding window of Mail Backup X.
How to change Backup Location.?
The Backup location of the mail profile can be changed any time amidst the backup. The
backup folder is moved entirely to the new location, automatically.The entire folder is
movedwith its subfolders and the contents within. The new mails are backed up to the new
location seamlessly.
1. Locate the mail profile, whose location needs to be changed. Click on “Settings”.
2. Click on “Edit”. The current location can be seen on this dialog box
3. Click on the “Update” key as shown.
4. Choose the location type-Disk/FTP.
5. The next window brings the “Finder“window. The current file “Apple Mail
Backup.mbs” can be seen in the “Desktop”.
6. Choose the new location and click on “Open”.
7. The new location can be seen on the next dialog box. Click on “Ok”.
8. Click on Done to confirm the new storage location.
9. The Dashboard confirms the new location of the backup profile.
10. The Finder doesn’t show the previous “Apple Mail Backup.mbs” file in the
“Desktop”.
Mail Backup X moved the entire folder structure to the new location without leaving a
trace. Users don’t have to look after the files in the previous location anymore.
How to change server settings of an IMAP account?
The server settings and port numbers of an IMAP account can be changed any time.
1. Click on “Settings” button.
2. Click on “Server Settings” at the top right corner of the UI.
3. Click on “Switch to Manual Configuration”.
4. Click on “OK” to confirm that you need to switch to the manual configuration.
5. Make the desired changes to Host name; Port number; SSL/TLS or
Authentication. Server Timeout settings can be changed as well. Click on Save.
Make sure the Password tab isn’t empty.
5. Click on Done.
Special Features
Along with the functionalities mentioned before, Mail Backup X also introduces few
really exciting features that enhance this tool’s reliability. These are really handy and
are needed on a daily basis.
The Search Bar
Mail Backup X comes with a highly advanced Search bar that filters the best of the results.
For a reduced range of search, use the right filter from the drop down button. By default, it
is “All Emails”.
Select All contacts, if you want to search a contact.
Select All calendars, if you want to search from the Calendars
Select “Selected Folders”, if you want to search the mail from some specified folders only.
The search bar presents the available options for a quicker search. We have tried typing
ama and Mail Backup X starts suggesting every keyword that contains these letters.
Every suggestion is classified under few headings like: “from”,”subject”,
”attachment_name”, etc. These are the filters by where the search tool finds the items. We
chose “Amazon Pay Balance”, as shown and Mail Backup X brings out all the mails sent from
Amazon Pay Balance. The search bar says: “From: Amazon Pay Balance.“
Next, there is a drop down button in the search bar.
We searched for all the files with “Bcc” contents. We typed “bcc:” and pressed “Enter”.
With “All Emails”, we have a total of two emails containing the “Bcc:”. Mail Backup X finds
each mail on every mail profile and every folder for this search.
Reducing our search by a step, we chose the “Selected Folders” from the dropdown. We
now chose the “Outlook>sent” folder of the Outlook:mac 2011 backup profile. The number
of searched mails reduces to just one. Mail Backup X, with this option, only finds the emails
from that specific folder, only.For this, you need to choose the exact folder, where the mail
is located.
Here are few keywords that help finding the emails quicker and finer.
List:
In the following example, we tried searching “list:andrew”.Mail Backup X finds us quite a
number of mails. The searched item can be part of the email id or the name associated.
The menu bar of every mail window indicates the subject of the mail. Next is the
information of the location of mail. It is shown as: Profile name/location of the mail with
the entire folder structure.
In the following screenshot we can see “andrew” in CC.
In the following screenshot we can see “andrew” in the Bcc.
In the next screenshot, we can find “andrew” as the receiver.
In another mail, “andrew” can be seen as the sender.
It can, thus, clearly be seen that “list:” operator finds you the mails, where the item is
present as any of the above positions only (to, from, cc and bcc).
“list:” operator can be extended for better and refined searches, by reducing it to either of
“from:”, ”to:”, “bcc:” or ”cc:”.
from:
Use this operator when you need to find mails from a specific sender.
For example, we searched as from:ebayand the Viewer produces all the mails that were
sent by eBay.
to:
Use this operator when you need to find mails been sent to a specific receiver. For example,
we searched as to: lily and the Viewer produces all the mails that were sent to mail
ids/names associated with “lily”.
Cc: this operator filters all the mails with that specific word mentioned in cc only.
Using “Cc:” without any other searched item helps finding all the mails containing the “Cc:”
field. Now, here is an example where we have searched just for “cc:”. It shows up all the
mails containing a “cc:” field.
To narrow down the search result, you will need to mention the name with “cc:”. We tried
searching “cc:andrew” and it finds us the mails where “andrew” is present in the cc field.
Bcc: this operator filters all the mails with that specific word mentioned in Bcc only. If no
word has been used with Bcc, Mail Backup X finds you all the mails containing a Bcc field.
Subject: it finds all the mails with the searched word mentioned in the subject part only. We
had tried searching “right” with “Subject:” and it comes up with all the mails with the same
word in the Subject field.
Text:
It finds all the mails with the searched word mentioned in the Text part only (except the list
and the subject part).
Here, we have searched “text:apple” and Mail Backup X finds us all the mails containing the
word “apple” in the text part only.
From the following screenshot this can be noted that the term “apple” is neither present in
the “to:” field, nor the “from:” field. It isn’t present in the subject section either.
Scrolling down the same mail, “Apple” can be found in the text.
Date:This operator helps finding mails delivered or sent on a specific date. The calendar
pops up with this operator. Click on the date and the viewer finds you all the mails of that
specific date.
Here, we had liked to search all the mails that were arrived or sent on 3rdfeb 2018.
Type “Date:” and a calendar pops up.
Click on the date and all the mails start appearing.
After: This operator filters all the mails that have arrived/sent on or after that date, to
present.
In the following example we first typed ”after:” and it gave us the calendar.
We chose for 12th of February. And this was the result:
This can be clearly seen that Mail Backup X found us mails 12th of Feb onwards.
Before: Choose any date from the popped up calendar and this operator helps you find all
the mails that have arrived/sent on or before that specific date. Type ”before:” and the
select the desired date. Mail Backup X finds all the ails that were received/sent on or before
the date.
Here, we have chosen before: 15th December 2107. Mail Backup X lists all the mails
accordingly.
Attachment:
With this keyword, all the mails containing attachments can be found.
Here, we had searched for “attachment:”. Mail Backup X finds all the mails containing
attachment of any kind.
Attachment_name:
Mail Backup X also lets you find mails by the attachment name. Search it as->
“attachment_name:” followed by the name of the attachment and it filters all the mails
containing the provided name as the name of the attachments.
Here we were supposed to find the mail with a pdf attachment named “Introduction to IC
technology”.
Typing “attachment_name:” followed by the first two letters, Mail Backup X finds us all the
mails with the entered letters as part of the attachments’ names. Just click on the right
option and the desired mail is on the screen.
Attachment type: Mail Backup X lets you find mails by the attachment type. Search it as->
“attachment_type: format” and it filters all the mails containing the provided format as the
file format of the attachments.
For example, we have entered here: “attachment_type:pdf” and Mail Backup X finds all the
mails containing pdf attachments.
Multiple operators can be used together for a better refinement. They can be used with
operators like OR and AND.
If multiple conditions have been set, Mail Backup X, by default considers it as AND function,
and makes sure you are delivered mails satisfying both the conditions together.
However, OR function has to be used explicitly, when in need.
OR:
With OR operator, Mail Backup X checks all the mails with any of the two conditions being
followed. i.e. if the two conditions are A and B, Mail Backup X finds all the mails for A, all the
mails for B and all the mails that satisfy both A and B together.
Example:
In the following illustration, we have pushed two conditions Orred together.
- From Andrew
- To Steve
It is necessary that the “OR” should be chosen from the “Operators” section only.
Otherwise the Search tool fails to consider the word as an operator.
Applying both the conditions, quite a number of mails appear on the screen.
Following screenshot shows the mail, which was sent “to steve”
The next screenshot shows the mail sent “from Andrew”
There are few more mails like this:
These mails are sent “from Andrew” “to steve”. i.e. it is meeting both the conditions.
AND:
With AND operator, Mail Backup X checks all the mails with both the conditions being
followed, together. That is, if the two conditions are A and B, Mail Backup X finds all the
mails that satisfy condition A, as well as B.
More the filters, narrower is the result.
Example:
Here, we tried searching just by “cc:” and the results were multiple.
We narrowed down the search by ANDing the previous condition with “from:Monte
Pierre”.
That ended our result to just one.
( and):
With brackets, searches can be made more complex and hence, more refined. Quite handy
when using AND and OR operators together.
(A OR B) AND C: here, Mail Backup X finds all the mails satisfying C along with either A or B.
Here is the complete how-to-do:
Type the open bracket and select the option as marked:
Enter the first condition and the operator (OR in our case). Again, the operator needs to be
selected from the suggestions only to perform as an operator.
Push the second condition and close with the closing bracket.
Now push the second operator (AND in our case) with the desired condition. Our search is:-
(to:steve.prior OR to:TonyBales) AND from:Chess.com
the results:
We find mails from Chess.com
Opening each mail, we find, either they are sent to the “steve” mail or to the “tony” mail.
Basically, Mail Backup X finds all the mails from Chess.com (being ANDed) and either from
the “steve” mailbox or from the “tony” mailbox (being ORed).
Backup Process Priority
This option allows to prioritise the CPU usage of Mail Backup X over the rest of applications.
The window also brings a checkbox and offer to start Mail Backup X the sooner your system
is turned on. It saves quite a time as you won’t have to find and turn on Mail Backup X and
wait till it syncs up. All these are skipped for you and are carried out at the back-end, if
clicked.
Based upon your needs, Backup Process Priority can be set as:
a. High
Here, the Backup operation of Mail Backup X is given the utmost priority over other
applications. It leads to a very high CPU usage, which leads to slow down the rest of
the applications. It speeds up the backing process and thus a boon for the clients,
with heavy mail dependency.
b. Normal(Default)
With this option, Backup process is performed at normal priority. A bit slower than
the High priority and has lesser impact on rest of the applications
c. Low
A still lower priority than normal. Preferred for the clients with lesser mail
dependency. Backup done at lower pace. Allows the rest of the applications run
faster compared to the priorities mentioned above.
d. Extremely Low(Idle)
As the name suggests, this option lets backup of the mails, when the system is at an
idle state. No other application is running at the back-end. The CPU isn’t indulged in
any other activity. The backup operation is significantly slow. Recommended only for
the clients with very low mail arrivals.
Preserve Folder Hierarchy
We maintain different folders in our mail account. The reason being, we need an easy and a
quicker access to the desired mail(s). Grouping the always works some or the other way.
However, exporting from one mail client to another, often leads to a loss in the folder
hierarchy. As a result, you end up messing up with your mails without having the slightest
idea which mail has move to which place.
Mail Backup X is a helping hand here. In the previous paragraph we came to know about the
check box” Preserve Folder Hierarchy”. This checkbox ensures that even after exporting the
mails, the folder hierarchy of the mails remain unhampered.
Following are the illustrations for both the cases:
a. Unchecking the checkbox
In the Mail Backup X viewer, the location of the mails can be seen at the left pane. In
our case, it is:
Google->[Gmail]->Important
.
We exported the mail, as suggested previously. Imported to Outlook.
As we haven’t opted for “Preserve Folder Hierarchy”, it is expected that the mails
will be imported to a different folder in the new mail client.
The mail could be found at
Apple Mail backup PST1 ->Inbox.
b. Checking the checkbox:
We have already known the location of the mail as
Google->[Gmail]->Important.
Export the mails as explained before.
Import the mails through the new mail client (Outlook).
The location in the Outlook can be found as:
Apple Mail Backup PST -> Google -> [Gmail] -> Important
The folder hierarchy is thus been restored after the export.
Uncached mails in Mail Backup X
The email contents which your mail client fails to download to its database, are not readable
from Mail Backup X. They are called “Uncached emails”. Reasons are unidentifiably, many.
It varies from a mail client to other. Most of the times, it’s because of the attachment type.
Resolutions to fix these uncachedmails, vary for every mail client.
ResolveUncached mails in Thunderbird
The Dashboard warns for arrival of any such uncached mail. It points “Resolve this
Warning”.
These mails seem empty from The Viewer until fixed.
Click on “Resolve This Warning” button from the Dashboard itself
Or
1. Go to the Viewer
2. Find the mail folder that received the warning.
3. Click on the drop-down button to select View Uncached Items.
4. The icons of the folders change and you will be viewing only the uncached mails.
5. Right click the mail.
6. Click on “Resolve Uncached-Data Warning”.
7. Follow the instructions carefully, as mentioned in the pop up.
8. After the manual fix in the mail client, return to Mail Backup X and recheck the mail
folder.
9. You can find that, there are no more uncached mails.
Uncached mails in Outlook
The Dashboard shows that Outlook mail account has got a Resolve this warning button.
The mails can either be totally resolved or can be ignored.
Resolved ones are backed up with complete information.
Uncached mails, that are ignored, are backed up without full content.
Click on the button.
A pop up message shows up. A thorough read-out is recommended. Click on OK to continue.
Wait till the resolve is completed.
Another message pops up. Click on Yes, that automatically makes out the needed changes in
your Outlook.
Resolve Uncached Apple mails
From the Dashboard, click on Resolve this Warning.
A pop up message shows up. A thorough read-out is recommended. Click on OK to continue.
Wait till the resolve is completed.
By far, almost every mail gets resolved with these steps.
Individual mails can be resolved from the Viewer window.
Switch to the Viewer window. Click on the dropdown button for the concerned mail
account. Click on View Uncached Items.
That shows up all the mails and folders containing uncached items.
Select the desired folder.
Right click the mail(s). Click on resolve uncached-Data Warning.
Repeat the steps for resolving these mails, already mentioned. You can repeat the steps
multiple times, until the mails are sorted out.
Ignoring the Uncached mail warning
If resolving isn’t a success, you can opt to ignore the warning. It won’t download the entire
mail, however it will stop probing further warnings.
Switch to the Viewer window. Click on the dropdown button for the concerned mail
account. Click on View Uncached Items.
That shows up all the mails and folders containing uncached items.
Select the desired folder.
Click on IgnoreUncached.
You can either Resolve/Ignore the warning from hereon to avoid getting further warnings.
The Cancel option keeps the warning untouched and the uncached mails can be viewed
later.
Note:
Configuring the IMAP account directly, instead of a mail client, helps avoiding the creation
of uncached mails.
How to work with Mail Backup X on Free trial?
In the free version of Mail Backup X, you can test the following tasks without restriction:
1. Unlimited Synchronisation and backup of mail profiles. The free trial version allows
synchronisation of up to 5 mail profiles. However, there is no limit to the number of
mails. You can test backup unlimited number of mails at various locations of your
choice.
2. No limitation has been set for the number of profiles containing already exported
offline mails.
3. During this time, you will be given unlimited access to setup and test your Mirror
base. You can test unlimited number of mails for distributed backup of mail profiles.
4. Mail Backup X lets you import and view mail data from all the major Mail Clients and
their archived formats. The software lets you access all mails and the archived ones
stored in your mail clients. There is no restriction for the number of mails.
5. You can also retrieve back your backed-up mails by this software. Options will be
given to choose a destination folder. You can test up to 10 mails per folder during the
trial version.
6. Similar to the purchased version, Mail Backup X stores the backed-up data in
compressed format.
Uninstalling Mail Backup X
Uninstalling the Mail Backup X application is similar to uninstalling rest of the Mac applications. The
backed mails are not removed post the uninstallation and can be extracted any time. However, they
can’t be read by other applications. You will need to change their file format before you uninstall this
type [discussed in Exporting to a particular file format].
1. Close Mail Backup X.
If not closed, this message pops up:
2. Open Finder and go to Applications.
3. Click on Mail Backup X
4. Drag it to the Trash
5. Enter the user name and password of the User and click on OK
6. Mail Backup X is nowhere to be seen.

Your mail account lets you store up to 15 GB mails, but you receive a hundred to a thousand mails daily. A heavy inbox is slowing down your mail navigations. Someday your inbox might seem too small to you. What to do now? You are left with two options: 1. Delete some mails daily to keep your Inbox light. 2. Store them to your local drive using a good mail client As you have been too dependent on your mails, chances are, the deleted mails will find its need some day(maybe in next 5 years). So, option 1 is definitely not an option for you. About option 2, its safer as you can have an offline access to your mails and may store them to any location of your choice, be it on an offline drive or an online one. There is another botheration here. What if, that you had stored your mails on your system folder and your system crashed to some reason leaving you with the only option of formatting the entire system? What if you had stored your data to a flash drive and that drive is now nowhere to be found? What if you had stored your data on cloud and a mass malware hacks to your data and ending up killing them all. Were all these locations really reliable at the same time? “No” is the answer. Mail Backup X finds itself useful here. Through Mail Backup X, you can place your backup storage at two different locations, simultaneously. We call it “Mirror Backup”. The Dashboard is used for functionalities of entire profiles. They might be added, removed, synced and edited from this screen. While the Viewer helps you view all the mails together on the same screen. The Dashboard
  • 5. The left side of the screen shows the following options: Backup Setup: this option, is same as the “Setup a new backup profile” option(for the first time installers). The options under it open up the subsequent pages, discussed later. Retrieve/Export Data: This option helps you export your backed up mail folders. The subsequent screens to this option, help you choose the desired export format and the mail folders to be exported. Viewer: This option takes you directly to the mail viewer. Search and export: - 1. Mails find & Export: With this option, you can export individual mails. 2. PDF Archive Export: With this option, you can export entire folders to PDF, directly. Preferences: It lets you prioritise Mail Backups over the rest of the running applications. Next to it, information about the application version, number of Active Backup Profiles and number of days remaining for free trial (if on free version) shows up. The navigation switch ensures easy switch between the Dashboard and the Viewer. The Search bar lets a highly filtered advanced searching. “Total items Backed up” shows the number of mails backed up by the tool till date. “New Items Secured Today” shows the number of mails backed up by the tool on the current date. “Sync Now” lets a quick manual synchronisation of all mail accounts. “Backups Active” shows the number of mail profiles being actively backed up simultaneously. “USB Auto Copy” shows the number of USB drives to which mails are being auto copied. Following it, are the information of the backup profiles. The information contains the following:  The backup profiles’ name and the source location of data.  The last time they were backed up.  The kind of Backup schedule used(Automatic/Manual).  The location(s) of Backup.  A green tick ahead shows that they had been backed up successfully in the last backup session. A red mark speaks of an error. The details are mentioned in “backup log”.  Backup Log:It shows the files been backed up.
  • 6.  Settings: This icon takes you to the window for setting up backup location(s). You can modify your backup name, mirror and distributed location, anytime. You can also add/remove folders from being backed any time from here.  There is a Sync button to every profile. This is to run a quick sync to that specific profile only.  Delete profile: this button deletes your profile. But your backed-up data exists in the folders as before.  Export Profile:This button lets you export all your mails from that specific mail profile to a local drive in .mba format. The Viewer: One of the key features, which makes Mail Backup X more special is its Universal Mail viewer. It comes with following options: 1. The left pane shows all the mail profiles been configured, along with all their folders and subfolders. . 2. Every mail profile has a drop-down button that gives you option to choose the desired mail types-
  • 7. a. View All Items (Default View): you can view all the available mails with this option. b. View Deleted Items: Thisoption lets you view all the mails which were deleted from Mail Backup X. [restore deleted mails] c. View Uncached Items: This option lets you view the mails that have not been downloaded successfully to the mail client.[how to fix Uncached mails] d. Synchronise Backup Now: like the option in the dashboard, this option lets you backup that specific profile, at instant. 3. The pane at the centre shows all the mails along with the date they arrived. 4. The third pane is adjustable. You can place it either at the extreme right or at the bottom using the Toggle reading pane. 5. At the top right, are four keys: a. Print selected items: it lets you print the mail been opened at current. Multiple mails can be selected, using shift key. b. Generate PDF for selected items: this key converts the mail(s) to pdf format. c. View Raw source: The “Raw source” is the complete raw content that represents the message. It includes the details of the entire mail content, the details of the source and the destination. d. Toggle reading pane position: This key toggles the mail reading pane (explained in point 2, above). With the Viewer, you can view:  Mails from multiple clients and multiple mail accounts in the same screen.  Mails exported by mail clients that are not in your current system (example- you can read OLM files, without installing Outlook).  Mails exported by Windows version of Thunderbird and Outlook, without converting to Mac supportive formats.  Right clicking a mail gives you options to export, print and delete the mail.  The mails, their labels and the folders are arranged as per your mail account/client.  The Sort button gives you the option to sort your mails, as per your convenience. o Date o Subject o From o Attachment
  • 8. o Size Installation Click on Download nowoption, in the official website of Mail Backup X. Let the application be extracted from its .dmg file. Click on the pkg file to proceed for installation
  • 9. Move the installer file to trash The Installation Wizard pops up. Click on Continue. The Installation type screen lets you choose the installing location of Mail Backup X. By default it is “Macintosh HD”. Click on “Install”
  • 10. Enter your Apple user ID and password. A confirmation message shows up after the completion. Click on Close.
  • 11. Search and open Mail Backup X from Spotlight.
  • 12. At the top of screen, Mail Backup X icon can be seen now. Clicking on it, you find a number of options: 1. Power button: Use it to turn off the application. 2. A home icon: This opens the dashboard of the application. 3. An M-shaped icon: This opens the viewer screen of the application The next option says “Setup a backup now” “No backup Setup yet”. The next screen takes you to the following screen. It gives you the following options: 1. Start trial: This option leads you to a 15 day free-trial of this application. The activation date and the expiry date are informed in the next screen. Beyond the expiry date, the application needs a valid purchased license to work. 2. Purchase a License: This option lands you to a page where from you can purchase the license of Mail Backup X. This option redirects you to the official website of Mail Backup X. Enter the details and payment mode and click on “Next”.
  • 13. Enter the Coupon code and click on “Update Coupon” to avail the discount. Choose “Make changes” to edit the quantity or address. Next, enter the payment details and click on “Complete Order”.
  • 14. 3. Activate License key: You can choose this option to activate your full access. In the first tab, enter the License key purchased. “Computer Identity hint” lets you name the tool on your current system, thus helping you against the ambiguity while deactivating from any of the two systems. Click on “Activate” after filling up the tabs.
  • 15. The next screen brings option for setting up of a backup profile: 1. Setup a new backup profile: This option leads you to backup mail profiles Mail Backup X through one of these options:  Thunderbird  Apple mail  Outlook 2011  Outlook 15/ Outlook 2016 / Office 365 for Mac  Postbox  GMAIL  Yahoo  Other IMAP accounts 2. Import data from an existing file:This option lets a one-time import of your mail profile from one of these options:  Apple Mail Database  MS Entourage Archive  MS Outlook Database for Mac/OLM files  Thunderbird/ Postbox  MS Outlook Windows(PST/OST files)  MBOX Files  EML 3. Open Mail Backup Archive: This option lets you read the archived MBS files of Mail Backup X without importing them to the new database from the same location. 4. Import Mail Backup Profile: This option lets you import previously exported profiles by Mail Backup X. It copies the storage location of the mails in the previous system and imports all of them to the exact location. It updates the already existing backup location with new information.
  • 16. Setup a new backup profile Setting up a backup profile is the first step towards using Mail Backup X tool. The tool lets you create a backup profile with/without a mail client. While configuring a mail client, make sure it’s server settings are correct and it receives the mails with success. IMAP accounts can be configured directly. Click on Setup a new backup profile Choose the Mail client/ IMAP mail account and click on Next. Next screen shows all the folders in your mail account. The checkbox lets you choose the folders to be backed up. You may/may not backup every folder in your mail account. There is another checkbox at the bottom of the screen that reads “(Recommended) Automatically backup newly detected folders.” Checking this box, ensures that whenever you are creating a new folder in your mail account, it gets reflected in the Mail Backup X viewer and is backed up along with the pre- existing ones.
  • 17. Click on Next. The next screen gives you the option for setting up backup name, location, and type. You can name the backup profile as per your convenience. The next tab gives you the option for the storage location. The edit button lets you change it as per your convenience. The Setup a Mirror Copy button lets you opt for the Mirror copy of your backups.Next option says: “Choose a backup Schedule:”. As per your needs, you can set the Backup schedule for your mails. [all the three types are discussed later] The next option says “Auto Export Profile to External USB drive”. This option lets you set a USB drive for auto backup. Click on Doneto save your setup.
  • 18. The next screen brings you to the Dashboard. Back up an IMAP account An IMAP account can directly be backed up by Mail Backup X. There is no prohibition for the mail account being used. The IMAP server settings for most of the mail providers are already provided, you might need to manually enter the server settings for only a handful of accounts. Mail Backup X automatically picks up the IMAP server configurations for quite many popular mail providers. You will just need to enter the mail account ID and password and your work is done. Following are the steps for the same: 1. Click on Add new backup
  • 19. 2. Click on the mail account(Gmail/ Yahoo/ AOL or other IMAP account). Click on Next. 3. Next screen needs you to enter the mail id and the password of that account. Click on Next.
  • 20. 4. The next screen shows all the mail folders in the mail account. You may/ may not select all the folders.“Automatically Backup newly detected folders” is recommended. Click on Next to proceed. 5. Set up the desired backup type and location.
  • 21. 6. A pop up appears asking you for backing up either the files since beginning or the ones that will be arriving from the current date. Click on your preference 7. Click on done to complete the setup. Your IMAP backup can now be seen in the dashboard. Timeout settings This is a special function specific to IMAP accounts only. Mail Backup X keeps a check on the deliverability of mails from the IMAP server. If network problem/ any other reason disallow it to extract mails from the server, Mail Backup X comes with an error message indicating the failure to back up the mails. This can be fixed by adjusting the Time out settings. 1. Click on “Settings” button.
  • 22. 2. Click on “Server Settings” at the top right corner of the UI. 3. Enter the required time (based on your network connectivity. Better is the network, lower the time needed.) Hit Save.
  • 23. 4. Click on Done. Backup Apple Mail Mail Backup X lets you configure your Apple mail account. It automatically backs up all the selected folders.
  • 24. 1. Click on Add new backup. 2. Select Apple Mail. Click on Next. 3. Select/Deselect the folders.
  • 25. 4. Name the backup profile. Select the backup schedule and location.Click on Done.
  • 26. Note:It is recommended to configure IMAP account directly to Mail Backup X, instead of a mail client. Mail clients often fail to download the entire message successfully. As a result they form “Uncached mails” in Mail Backup X. Resolving these “Uncached mails” is a difficult task, as you need to switch to your mail client and download the mail forcibly. Backup Thunderbird/Postbox mails Quite similar to Apple Mail, Mail Backup X helps you backup Thunderbird and Postbox mails. 1. Click on Add new Backup from Dashboard. 2. Select Mozilla Thunderbird. Click on Next.
  • 27. 3. Select/Deselect the folders to be backed up.
  • 28. 4. Choose the folders to be backed up and click on “Next” 5. Name the Backup profile and set the backup location(s). 6. Click on Done. The Thunderbird account can be seen in the dashboard
  • 29. Backup Outlook mails: Quite similar to Thunderbird and Apple mail, Mail Backup X lets you backup mails from Outlook 2011/2015 or Office 365. Just configure the Outlook and Mail Backup X picks all the folders and the mails automatically. 1. Click on Add new Backup from Dashboard. 2. Select Outlook:mac 2011 for Outlook 2011 and Outlook: mac 2015 for Outlook 2015 or Office 365. Click on Next.
  • 30. 3. Select/deselect the folders to be backed up.Click on Next. 4. Choose the location for storing up the backed data. Alter the name, the backup type and schedule, if needed. Click on Done.
  • 31. Importing in Mail Backup X With Mail Backup X, it is possible to import mails from a previously exported file format. There are few file formats like OST, PST, Rge, Mbox, EML etc which are not supportive to few of the mail clients. However, with Mail Backup X, it is possible to import file formats that are not supportive to Mac clients. It is also possible to import an exported profile entirely in Mail Backup X. Importing mails in Mail Backup X Here, we are importing MBOX mails to Mail Backup X. If the mails of same mail extension are from multiple locations, it is recommended that the mails be concatenated under same folder and then imported to Mail Backup X. It saves time. 1. Bring all the MBOX mails to a single folder 2. Click on “Import Data” from the Dashboard. 3. Choose “Mbox files”. Click on Next
  • 32. 4. Find the location of your MBOX files and select the folder only. Don’t go inside individual mbox files. Click on Open 5. Select/deselect the folders to be converted. Click on Next
  • 33. 6. Choose the location of backup. Click on Done.As these mails were already backed up to a certain location and are now meant for reading and backing up process only, it is considered one time import[Bottom of the screen].
  • 34. How to import mails from Outlook main Identity? What if someday your MS Office collapses? What if your hard disk crashes all of a sudden? What about the huge bunch of mails stored in Outlook? How to answer your superiors? What about the contacts and the calendars? Mail Backup X can recover them all if you can somehow locate the Mail Identity of your MS Office. All your mails and the Outlook credentials still can be restored from the Main Identity. This is possible for Outlook 2011/2015/2016 and Office 365. 1. Click on “Import Data” from the Dashboard. 2. Select Microsoft Outlook Database Identity/OLM filesand click on Next.
  • 35. 3. Outlook mac2011 Identity Database and Outlook mac 2015 Profiles can be selected if the Outlook existed in the same system where Mail Backup X has been loaded currently. Click on Browse to locate the desired folder, if chosen Outlook 2011 database / Outlook 2015 Profile under Custom Path. We are showing the OLM file. Click on Continue. 4. Select/deselect the folders to be imported. Click on Next.
  • 36. 5. Choose the storage location and click onDone. Custom Path This is feature appears while importing Outlook mails from the main identity. This option leads to three other options: 1. Import data from an OLM file: This option lets you import files exported by Outlook in OLM format. 2. Outlook 2011 database Identity folder: With this option, Outlook 2011 mails can be imported to Mail Backup X, even from the backup hard disk of a different system/ desired location. This is helpful, especially when the system containing your backup mails gets crashed, however the hard disk is someway letting access of the Outlook 2011 main identity or you can backup from the Time Machine backup. Mail Backup X, picks all the emails from there. 3. Outlook 2015 Profile: With this option, Outlook 15/ 2016 mails can directly be backed up from a backup hard disk/desired location. Quite similar to the previous option, this option lets you backup mail data directly from the Outlook 15/2016 database. How to import old Mail Backup X profile to a new system? With Mail Backup X, it is possible to import all the previously backed up mails (.mbs/.mba files) to an entirely new system. The mails can be imported from any of the configured locations with mbs/mba format. [A tip: Don’t try to open the mails directly from the finder. That doesn’t work time and mbs file format is unreadable by any other application. Open Mail Backup X and import the files from thereon. ] For locations like Dropbox and Google drive, simply log on to the application and the application appears on the sidebar. In the illustration below, we have worked with the mails been backed up in Dropbox from the previous system. The mail files can easily be found by searching .mbs in the search bar in the step number 5.
  • 37. 1. Install Mail Backup X in the new system. 2. Enter the license. 3. In the dashboard, click on “Open Mail Archive”. 4. Click on the “+” button which asks you to add the .mbs files. 5. Find the location of the files with extension .mbs. click on “Open” 6. The next dialog box confirms the import of the profiles. Basically the profiles are just opened for reading purpose only. And if a mail profile with the same mail box is configured to the new system, the imported file is updated with only the new information. For example, we had chosen 3 mbs files, but Mail Backup X only created profiles for two. Reason being, we had created the Apple mail Backup with the same
  • 38. mail account credentials in the new Mail Backup X. While Thunderbird and the yahoo account weren’t configured. 7. Click on Continue on this window. And the import is completed.
  • 39. Deleting in Mail Backup X Mail Backup X allows deletion of individual mails as well as profiles. The mails/profiles are only turned invisible from the regular view of Mail Backup X. However, they are not deleted from the backup location and can be extracted any time. Delete individual mails from Mail Backup X: Individual mails can easily be deleted from Mail Backup X. 1. Find the mail to be deleted. 2. Right click the mail 3. Select “Delete”. 4. A warning message pops up to confirm deletion. Click on OK to delete. The mail vanishes from the mail folder. However, the mails still exist and can be restored back to inbox, anytime. 1. Find the mail folder where the mail existed. 2. Click on the drop-down button and click on “ View Deleted Items” 3. The icons of the folder change to red and you can view the deleted mails of that mail profile. 4. Right click the deleted mail. 5. Click on “Restore”. You can now find the email back in the inbox. Deleting mail profiles
  • 40. Deleting backup profiles doesn’t the backed up mails from the location. It only deletes your profile from Mail Backup X Deleting an IMAP profile The following steps need to be followed: 1. Locate the mail profile, to be deleted, from the dashboard. 2. Click on the “Delete Profile” button. 3. The next screen shows you the backup location of the profile. The top of the screen represents the profile to be deleted. The note at the bottom confirms the mail profile will be deleted but the backed up mails will still be present at their respective location(s). The mails of the deleted profile can be restored later from the location(s). Click on “Delete” to proceed. 4. A message pops up seeking confirmation for deleting the profile. Click on delete to proceed.
  • 41. 5. A message pops up for reconfirmation for deletion of profile. Click on Delete to proceed. 6. After deletion a confirmation message can be seen at the bottom of the screen. Click on “Back” to move back to the dashboard. Deleting an email client profile 1. Find the mail profile to be deleted from the dashboard. 2. Click on “Delete Profile”. 3. The next screen will show you the backup location(s) of the mail profile. The note at the bottom confirms that, even after the deletion of the profile, the data from the location(s) won’t be deleted and can be retained for backup from that location, any time. Click on Delete to proceed.
  • 42. 4. Message for confirming deletion pops up. Click on Delete to proceed. It suggests you to export your mail profile using Export Profile before deletion for better mail security. 5. Message for reconfirming the deletion pops up. Click on Delete to proceed. 6. After deletion is completed, the confirmation pops up at the bottom of the screen.

Exporting in Mail Backup X Export Profile directly from the dashboard: Profiles can be directly exported from the dashboard using the Export Profile button adjacent to the “Delete Profile” button. . 1. Click on Export Profile. 2. Choose the storage location for the export. External devices are also reflected here. 3. Choose the “Split snapshots by size” option if your storage location has a limited space. This option lets you set limitation for the packet of exported mails. Set it as per the limitation of your storage space. Choose the type of storage device. For CDs it is by default 650mb and for DVDs it is 4.7GB. For the rest, choose Custom. This size is customizable. 4. Choose “Update backup if already exists” if the current mail profile has previously been exported at the same device. If chosen, it compares every mail to the mails of pre-existing folders and only saves the mismatching mails to a
  • 44. new folder. Not selecting this option, creates a separate backup folder containing all the mails, even the ones those were backed up during the last session. Checking it, saves a lot of space. If no extra mail is added to your backup since last backup to your external drive, no folder will be created. 5. Click on “Export Snapshot” to proceed. 6. The Mail Backup X icon on the menu bar shows the notification as a confirmation of the backup being completed. 7. This file is exported in .mba format. With Mail Backup X, mail formats can be changed to  Apple Mail Archive  PST  RGE  MBOX  EML  PDF How to export mails from Mail Backup X to Outlook Mac? Outlook on Mac supports mail format of pst as well as olm. Mails from mail Backup X can be imported to Outlook by exporting the mails to PST format. Later the mails can be imported to Outlook directly. Mail Backup X ensures that mails retain their respective folders, even after the conversion. 1. Click on Retrieve/Export Data. 2. Select Microsoft Outlook Windows PST File. Click on Next
  • 46. 3. Select/deselect the folders to be exported. Click Next
  • 47. 4. Select the storage location and click on Save. 5. The Backup Log confirms the successful conversion of the mails. The mails can be located in their destined positions with the extension of “pst”. 1. Open Outlook. Click File>Import.
  • 48. 2. Click on Outlook Data File(.pst or .olm) and click the right arrow at the bottom. 3. Click on Outlook for Windows Data File(.pst) and click the right arrow at the bottom.

  • 64. Backup to a distributed location You are having a Backup location. Someday, you notice that the backup amounts to 7 GB and the space left in your backup drive is merely 3GB. What to do next? A “Distributed backup” helps you maintain the flow. First 3 GB is poured to the previously configured device, while the rest 4GB is moved to the other device, without losing any data. It also works, when the primary storage location turns inaccessible to some reasons. Mail Backup X starts pouring the mails directly to the secondary location, automatically. Any location could be chosen for the backup. For illustrations, we have chosen the Dropbox. 1. Locate the backup profile from the dashboard. 2. Click on “Settings”. 3. The current backup location can be seen. 4. Click on “Edit”. 5. The dialog box opens, stating the need for a “Distributed Backup”. Click on the “+” icon, as shown.
  • 65. 6. Configure the new location. If the new folder location is not showing up, locate the folder manually and drag to the side bar. 7. The Up and Downbutton keys help you manage the preference of the storage location. The one at top is fed mails first. 8. The “Delete” key, adjacent to the “+” key, helps delete the location(s). 9. Click on “OK” to confirm. 10. In the next screen, it can be seen that the “Storage Locations” now show “Distributed:”. The primary location is mentioned and the rest location is mentioned as “Others”. Click on Done. Auto-Backup to USB With Mail Backup X, it is possible that mails can be backed up to a USB drive, the sooner it is attached to the system. Just configure the drive for once. The next time, that drive is attached to the system, Mail Backup X sends all the new mails to the drive automatically. 1. Open the Settings window(during setting the profile/ settings button below the Profile) 2. Click on the (+) button in the “Auto Export Profile Snapshot to External USB Drive”.
  • 66. 3. Mail Backup X detects the location of the desired drive automatically. 4. Provide a name to the location. 5. Click on the checkbox reading “Automatically start copying as soon as the drive is detected”. Click on Ok to continue. 6. Click on Done. “Auto Start Copy” can be checked and unchecked any moment. 7. A new option “Copy to USB” can be seen in the dashboard under the configured backup profile. This option can manually copy all the new mails to the configured USB any moment. Mail Backup X only adds the newly backed up information to the drive under the process named “Incremental Backup”. No new folder is being added on this process, only the old folder is updated. Automatic backup transfers the mails automatically.
  • 67. Not selecting Auto start copy asks for permit before copying the backup to the drive. Backups can be sent to the drive by clicking on the icon attached to the notification. Backups to USB can also be made by clicking the Copy Now buttonon the top. It avails all the accounts configured to USB auto copy. Just click on the desired option and the job is done. Backup to a mirror location It is possible to backup same mails at two different locations at same time. The advantage it adds is: even if one of the locations is crashed to some reason, the other location is receiving all the mails safely and are secured. It is recommended that if the mirror locations are in physical drives, they be kept at far distances. With Mail Backup X, it is possible to store the mails in mirror location(s). You can have same data over multiple locations at a time. 1. Locate the backup profile from the dashboard. 2. Click on “Settings”.
  • 68. 3. The current backup location can be seen. Click on “Setup a Mirror Copy”. 4. Click on the + symbol to add the mirror location. 5. Click the location type- Disk/FTP 6. Can be altered with the Update key and more mirrors can be added with the previously mentioned + button. Click on OK to proceed.

Backup Scheduling in Mail Backup X With Mail Backup X, one can easily configure the mails into any of the three backup scheduling types- Automatic, Manual and Recurring. Each Backup Scheduling carries its advantages. We, thus, leave it to the user to choose the backup schedule as per their convenience. Automatic Backup: By automating a backup through a regular backup system, the user doesn't have to protect data manually. The Automatic backup features allows user to select which of the folders on your devices you’d like to have routinely backed up. These will typically be folders which are often updated or changed. The backup location syncs up new mails effortlessly. All you need to do is make sure you are connected to the Internet so that your mails to the system well enough and can be downloaded to the online storage location. Using this kind of feature will not only save you time, it will also save you the trouble of having to remember to backup your files, every once in a while.
  • 70. Automatic Backup with Mail Backup X Mail Backup X lets an easy Automatic Backup of all your mails. Firstly, choose mailbox, the folders and the location to be backed up as discussed in the “setup” part. Now, select “Automatic(Recommended)”as the backup schedule. It is recommended that the physical location of the Automatic backup storage stays away from the location wherefrom, it can be backed up. Any successful auto backup system will be immune to situations that could occur at the hard drives' physical locations, such as fire, floods and any other natural calamities. Manual Backup: A manual backup system is a system for storing and maintaining data as per your requirement. Any backup strategy starts with a concept of a data repositioning. The backup data needs to be stored, and also should be organized to a degree. It is considered much more reliable by many. A Manual Backup can be updated on a daily basis, or can even back up the data at any time. Manual Backup in Mail Backup X Firstly, choose mailbox, the folders and the location to be backed up as discussed in the “Setup” part. Now, choose “Manual” as the backup schedule.
  • 71. Proceed, as already been suggested. The “Backup Now” button lets the user backup the mail profile any moment. This symbol indicates that the backup is on the process. Recurring Backup Recurring Backup lets the user backup the mails, at a certain interval. Recurring backup means to schedule a backup as per your convenience with time which creates a scheduled backup job to automatically run periodic backups. The Backup Schedule requires control over the data and structure of its destination locations.The server and the local file system destinations is decided and dedicated to creating an uninterrupted backup. Its advantage over Manual backup is, it backs up the data automatically without any manual interventions. The advantage it carries over the Automatic backup is, you know the exact time at which your data is being backed up. Recurring backup in Mail Backup X
  • 72. With Mail Backup X, mails can be backed at regular intervals. It can be opted based on:  Interval  Daily  Weekdays “Interval” decides how often backups are updated on a single day. The Hours and the Minutes are adjustable. “Daily” defines backup at every 24 hours. The time being set is the exact time, at which Mail Backup X automatically backs up all the mails, since the last backup, at the desired location. With “Weekdays”, Backup can be scheduled to any day(s) of a week. The time for the backup can be adjusted. Mail Backup X, automatically backs up the mails, since the last backup to the allocated storage. Click on “Done”. The Dashboard reflects the Backup schedule type.
  • 73. “Recurring Backup” doesn’t deactivate the “Backup Now” function from the Dashboard. The profile can be synced any moment. The initial time remains constant, the exact time when the setup was done. Even if the backup is hit manually in between, the “recur” remains unaffected and will backup exactly at the allotted interval from the setup time. However, the backup resumes from the point where it was halted (be it manual or by recur). Makes Mail Backup X smarter. Change in Backup Settings How to change Backup folders of a profile amidst the ongoing backup?
  • 74. Folders can be added/removed from your mail profile. The addition of a folder to backup profile has no effect on the pre-existing backups. If a folder is removed, only further syncing of the mails is put to a halt. The folders can still be seen as before, in the Viewer. However, no further backup is created for the deleted folders. There is no effect on the previously backed up data and can be retrieved to a device anytime from the location. a. Adding folders to the backup profile. Here is the folder of the profile that was previously been configured to Mail Backup X. Following are the steps for adding folders to a backup profile: 1. Locate the backup profile on the dashboard and click on settings. 2. The next window helps you change the settings of the backup. Click on “Select Folders” at the bottom. 3. Visibly, it was just the IMPORTANT folder under backup. Tick the checkboxes to be backed up.Click on Save to continue.
  • 75. 4. Click on Done. 5. The new folders can be seen in the Viewer. b. Removing folders from Profiles has got the same procedure too. However no change is reflected in the Viewer. This might be noted, that the mails stop syncing from that moment itself. Only the folders chosen to be backed up, will be syncing thereafter. How to add new location for storing backup? It’s the same as adding locations to the Finder Sidebar. Locations like Dropbox and Google Drive can be added the very same way. Just add the locations to the Finder. Itreflects automatically in the corresponding window of Mail Backup X. How to change Backup Location.?
  • 76. The Backup location of the mail profile can be changed any time amidst the backup. The backup folder is moved entirely to the new location, automatically.The entire folder is movedwith its subfolders and the contents within. The new mails are backed up to the new location seamlessly. 1. Locate the mail profile, whose location needs to be changed. Click on “Settings”. 2. Click on “Edit”. The current location can be seen on this dialog box 3. Click on the “Update” key as shown. 4. Choose the location type-Disk/FTP. 5. The next window brings the “Finder“window. The current file “Apple Mail Backup.mbs” can be seen in the “Desktop”.
  • 77. 6. Choose the new location and click on “Open”. 7. The new location can be seen on the next dialog box. Click on “Ok”. 8. Click on Done to confirm the new storage location. 9. The Dashboard confirms the new location of the backup profile.
  • 78. 10. The Finder doesn’t show the previous “Apple Mail Backup.mbs” file in the “Desktop”. Mail Backup X moved the entire folder structure to the new location without leaving a trace. Users don’t have to look after the files in the previous location anymore. How to change server settings of an IMAP account? The server settings and port numbers of an IMAP account can be changed any time. 1. Click on “Settings” button. 2. Click on “Server Settings” at the top right corner of the UI.

  • 81. Special Features Along with the functionalities mentioned before, Mail Backup X also introduces few really exciting features that enhance this tool’s reliability. These are really handy and are needed on a daily basis. The Search Bar Mail Backup X comes with a highly advanced Search bar that filters the best of the results. For a reduced range of search, use the right filter from the drop down button. By default, it is “All Emails”. Select All contacts, if you want to search a contact. Select All calendars, if you want to search from the Calendars Select “Selected Folders”, if you want to search the mail from some specified folders only. The search bar presents the available options for a quicker search. We have tried typing ama and Mail Backup X starts suggesting every keyword that contains these letters.
  • 82. Every suggestion is classified under few headings like: “from”,”subject”, ”attachment_name”, etc. These are the filters by where the search tool finds the items. We chose “Amazon Pay Balance”, as shown and Mail Backup X brings out all the mails sent from Amazon Pay Balance. The search bar says: “From: Amazon Pay Balance.“
  • 83. Next, there is a drop down button in the search bar. We searched for all the files with “Bcc” contents. We typed “bcc:” and pressed “Enter”. With “All Emails”, we have a total of two emails containing the “Bcc:”. Mail Backup X finds each mail on every mail profile and every folder for this search. Reducing our search by a step, we chose the “Selected Folders” from the dropdown. We now chose the “Outlook>sent” folder of the Outlook:mac 2011 backup profile. The number of searched mails reduces to just one. Mail Backup X, with this option, only finds the emails from that specific folder, only.For this, you need to choose the exact folder, where the mail is located.
  • 84. Here are few keywords that help finding the emails quicker and finer. List: In the following example, we tried searching “list:andrew”.Mail Backup X finds us quite a number of mails. The searched item can be part of the email id or the name associated. The menu bar of every mail window indicates the subject of the mail. Next is the information of the location of mail. It is shown as: Profile name/location of the mail with the entire folder structure. In the following screenshot we can see “andrew” in CC.
  • 85. In the following screenshot we can see “andrew” in the Bcc. In the next screenshot, we can find “andrew” as the receiver.
  • 86. In another mail, “andrew” can be seen as the sender. It can, thus, clearly be seen that “list:” operator finds you the mails, where the item is present as any of the above positions only (to, from, cc and bcc). “list:” operator can be extended for better and refined searches, by reducing it to either of “from:”, ”to:”, “bcc:” or ”cc:”. from: Use this operator when you need to find mails from a specific sender. For example, we searched as from:ebayand the Viewer produces all the mails that were sent by eBay.
  • 87. to: Use this operator when you need to find mails been sent to a specific receiver. For example, we searched as to: lily and the Viewer produces all the mails that were sent to mail ids/names associated with “lily”. Cc: this operator filters all the mails with that specific word mentioned in cc only. Using “Cc:” without any other searched item helps finding all the mails containing the “Cc:” field. Now, here is an example where we have searched just for “cc:”. It shows up all the mails containing a “cc:” field.
  • 88. To narrow down the search result, you will need to mention the name with “cc:”. We tried searching “cc:andrew” and it finds us the mails where “andrew” is present in the cc field. Bcc: this operator filters all the mails with that specific word mentioned in Bcc only. If no word has been used with Bcc, Mail Backup X finds you all the mails containing a Bcc field. Subject: it finds all the mails with the searched word mentioned in the subject part only. We had tried searching “right” with “Subject:” and it comes up with all the mails with the same word in the Subject field.
  • 89. Text: It finds all the mails with the searched word mentioned in the Text part only (except the list and the subject part). Here, we have searched “text:apple” and Mail Backup X finds us all the mails containing the word “apple” in the text part only. From the following screenshot this can be noted that the term “apple” is neither present in the “to:” field, nor the “from:” field. It isn’t present in the subject section either.
  • 90. Scrolling down the same mail, “Apple” can be found in the text. Date:This operator helps finding mails delivered or sent on a specific date. The calendar pops up with this operator. Click on the date and the viewer finds you all the mails of that specific date. Here, we had liked to search all the mails that were arrived or sent on 3rdfeb 2018. Type “Date:” and a calendar pops up.
  • 91. Click on the date and all the mails start appearing. After: This operator filters all the mails that have arrived/sent on or after that date, to present. In the following example we first typed ”after:” and it gave us the calendar. We chose for 12th of February. And this was the result:
  • 92. This can be clearly seen that Mail Backup X found us mails 12th of Feb onwards. Before: Choose any date from the popped up calendar and this operator helps you find all the mails that have arrived/sent on or before that specific date. Type ”before:” and the select the desired date. Mail Backup X finds all the ails that were received/sent on or before the date. Here, we have chosen before: 15th December 2107. Mail Backup X lists all the mails accordingly. Attachment: With this keyword, all the mails containing attachments can be found.
  • 93. Here, we had searched for “attachment:”. Mail Backup X finds all the mails containing attachment of any kind. Attachment_name: Mail Backup X also lets you find mails by the attachment name. Search it as-> “attachment_name:” followed by the name of the attachment and it filters all the mails containing the provided name as the name of the attachments. Here we were supposed to find the mail with a pdf attachment named “Introduction to IC technology”. Typing “attachment_name:” followed by the first two letters, Mail Backup X finds us all the mails with the entered letters as part of the attachments’ names. Just click on the right option and the desired mail is on the screen.
  • 94. Attachment type: Mail Backup X lets you find mails by the attachment type. Search it as-> “attachment_type: format” and it filters all the mails containing the provided format as the file format of the attachments. For example, we have entered here: “attachment_type:pdf” and Mail Backup X finds all the mails containing pdf attachments. Multiple operators can be used together for a better refinement. They can be used with operators like OR and AND. If multiple conditions have been set, Mail Backup X, by default considers it as AND function, and makes sure you are delivered mails satisfying both the conditions together. However, OR function has to be used explicitly, when in need. OR: With OR operator, Mail Backup X checks all the mails with any of the two conditions being followed. i.e. if the two conditions are A and B, Mail Backup X finds all the mails for A, all the mails for B and all the mails that satisfy both A and B together. Example: In the following illustration, we have pushed two conditions Orred together. - From Andrew - To Steve
  • 95. It is necessary that the “OR” should be chosen from the “Operators” section only. Otherwise the Search tool fails to consider the word as an operator. Applying both the conditions, quite a number of mails appear on the screen. Following screenshot shows the mail, which was sent “to steve” The next screenshot shows the mail sent “from Andrew” There are few more mails like this:
  • 96. These mails are sent “from Andrew” “to steve”. i.e. it is meeting both the conditions. AND: With AND operator, Mail Backup X checks all the mails with both the conditions being followed, together. That is, if the two conditions are A and B, Mail Backup X finds all the mails that satisfy condition A, as well as B. More the filters, narrower is the result. Example: Here, we tried searching just by “cc:” and the results were multiple. We narrowed down the search by ANDing the previous condition with “from:Monte Pierre”. That ended our result to just one. ( and): With brackets, searches can be made more complex and hence, more refined. Quite handy when using AND and OR operators together. (A OR B) AND C: here, Mail Backup X finds all the mails satisfying C along with either A or B. Here is the complete how-to-do: Type the open bracket and select the option as marked:
  • 97. Enter the first condition and the operator (OR in our case). Again, the operator needs to be selected from the suggestions only to perform as an operator. Push the second condition and close with the closing bracket. Now push the second operator (AND in our case) with the desired condition. Our search is:- (to:steve.prior OR to:TonyBales) AND from:Chess.com the results: We find mails from Chess.com Opening each mail, we find, either they are sent to the “steve” mail or to the “tony” mail.
  • 98. Basically, Mail Backup X finds all the mails from Chess.com (being ANDed) and either from the “steve” mailbox or from the “tony” mailbox (being ORed). Backup Process Priority This option allows to prioritise the CPU usage of Mail Backup X over the rest of applications. The window also brings a checkbox and offer to start Mail Backup X the sooner your system is turned on. It saves quite a time as you won’t have to find and turn on Mail Backup X and wait till it syncs up. All these are skipped for you and are carried out at the back-end, if clicked. Based upon your needs, Backup Process Priority can be set as: a. High Here, the Backup operation of Mail Backup X is given the utmost priority over other applications. It leads to a very high CPU usage, which leads to slow down the rest of the applications. It speeds up the backing process and thus a boon for the clients, with heavy mail dependency.
  • 99. b. Normal(Default) With this option, Backup process is performed at normal priority. A bit slower than the High priority and has lesser impact on rest of the applications c. Low A still lower priority than normal. Preferred for the clients with lesser mail dependency. Backup done at lower pace. Allows the rest of the applications run faster compared to the priorities mentioned above. d. Extremely Low(Idle) As the name suggests, this option lets backup of the mails, when the system is at an idle state. No other application is running at the back-end. The CPU isn’t indulged in any other activity. The backup operation is significantly slow. Recommended only for the clients with very low mail arrivals. Preserve Folder Hierarchy We maintain different folders in our mail account. The reason being, we need an easy and a quicker access to the desired mail(s). Grouping the always works some or the other way. However, exporting from one mail client to another, often leads to a loss in the folder hierarchy. As a result, you end up messing up with your mails without having the slightest idea which mail has move to which place.
  • 100. Mail Backup X is a helping hand here. In the previous paragraph we came to know about the check box” Preserve Folder Hierarchy”. This checkbox ensures that even after exporting the mails, the folder hierarchy of the mails remain unhampered. Following are the illustrations for both the cases: a. Unchecking the checkbox In the Mail Backup X viewer, the location of the mails can be seen at the left pane. In our case, it is: Google->[Gmail]->Important . We exported the mail, as suggested previously. Imported to Outlook. As we haven’t opted for “Preserve Folder Hierarchy”, it is expected that the mails will be imported to a different folder in the new mail client. The mail could be found at Apple Mail backup PST1 ->Inbox. b. Checking the checkbox: We have already known the location of the mail as Google->[Gmail]->Important. Export the mails as explained before. Import the mails through the new mail client (Outlook). The location in the Outlook can be found as: Apple Mail Backup PST -> Google -> [Gmail] -> Important The folder hierarchy is thus been restored after the export.
  • 101. Uncached mails in Mail Backup X The email contents which your mail client fails to download to its database, are not readable from Mail Backup X. They are called “Uncached emails”. Reasons are unidentifiably, many. It varies from a mail client to other. Most of the times, it’s because of the attachment type. Resolutions to fix these uncachedmails, vary for every mail client. ResolveUncached mails in Thunderbird The Dashboard warns for arrival of any such uncached mail. It points “Resolve this Warning”. These mails seem empty from The Viewer until fixed.
  • 102. Click on “Resolve This Warning” button from the Dashboard itself Or 1. Go to the Viewer 2. Find the mail folder that received the warning. 3. Click on the drop-down button to select View Uncached Items. 4. The icons of the folders change and you will be viewing only the uncached mails. 5. Right click the mail. 6. Click on “Resolve Uncached-Data Warning”. 7. Follow the instructions carefully, as mentioned in the pop up.
  • 103. 8. After the manual fix in the mail client, return to Mail Backup X and recheck the mail folder. 9. You can find that, there are no more uncached mails. Uncached mails in Outlook The Dashboard shows that Outlook mail account has got a Resolve this warning button. The mails can either be totally resolved or can be ignored. Resolved ones are backed up with complete information. Uncached mails, that are ignored, are backed up without full content. Click on the button. A pop up message shows up. A thorough read-out is recommended. Click on OK to continue.
  • 104. Wait till the resolve is completed. Another message pops up. Click on Yes, that automatically makes out the needed changes in your Outlook.
  • 105. Resolve Uncached Apple mails From the Dashboard, click on Resolve this Warning. A pop up message shows up. A thorough read-out is recommended. Click on OK to continue. Wait till the resolve is completed.
  • 106. By far, almost every mail gets resolved with these steps. Individual mails can be resolved from the Viewer window. Switch to the Viewer window. Click on the dropdown button for the concerned mail account. Click on View Uncached Items. That shows up all the mails and folders containing uncached items. Select the desired folder. Right click the mail(s). Click on resolve uncached-Data Warning. Repeat the steps for resolving these mails, already mentioned. You can repeat the steps multiple times, until the mails are sorted out.
  • 107. Ignoring the Uncached mail warning If resolving isn’t a success, you can opt to ignore the warning. It won’t download the entire mail, however it will stop probing further warnings. Switch to the Viewer window. Click on the dropdown button for the concerned mail account. Click on View Uncached Items. That shows up all the mails and folders containing uncached items. Select the desired folder. Click on IgnoreUncached.
