Catch up, keep up, or get ahead
Right now do you feel behind?“Too much to do, and not enough
time to do it all…” that isyour reality. Look, there isn’t some fairy-
tale land called “work/life balance.” Every task will either get you
caught up, keep you up or will get you ahead. Every one…

30 minutes…It’sabout 2% of your day. Imagine the Return On
Investment (ROI ) by spending just 30 minut esthinking about or

If you have ever tried to “manage time” you know at the end of an
hour that time isgone. To get the most from the time you have,
start thinking about staying on the “focusline” alittle longer .
Hold your attention on one task/problem/project with minimal
distractionsand gain (or regain!) maximum productivity.

Your 1%
It’s not a lot of time, 15 minutes.
But, you don’t have all that much
time anyway; there’s more to do
than you have time for. There are
3 reasons why it’s important to
plan AND review your work in 15-
minute increments:
• 15 minutes…it’s “about” your
attention span. Think about
the things that could grab your
attention every day. Imagine
what you can do when you
focus on just one at a time.
• 15 minutes…it’s actually a
long time. 900 seconds of
doing just one thing? Choose
ONE thing to work on - without
distractions - and track how
much gets done in just 15
minutes.
• 15 minutes…you get more of
them than you think. Every
day, something comes up that
gets you one more block of 15
minutes. It’s like a magic return
on the investment called “life.”
Review tomorrow’s calendar… Do
you need to add a few blocks of
time? (You know, to eat, follow up
with people, plan your schedule
for the rest of the week?)

You lose time when you’re
interrupted. You also lose focus
during what we call “recovery
time.“ Every time you’re
interrupted, you have to
(a) respond to the request, then
(b) return to the original task.
The total time-loss can equal
hours a week. Here are three
thing you can do to save - and
decrease - recovery time.
• Email Signatures. When you
“find, copy, and paste” a
response you’ve used before,
create an extra “signature” so
that you can use that
information faster next time.
• iPhone Shortcuts. Stop typing
the same words and phrases in
iOS; make shortcuts of your
most frequent responses.
• Externalize Reminders. Use
your calendar to “set and
forget” a reminder. Hint: Copy
the message in to the body of
the appointment so that you
know exactly what to do when
the reminder returns.
Each of these tips will take
minutes to set up, and can save
you several hours each month.

The next time you review the list
of people invited to the meeting
you’re preparing to attend,
consider the 3 kinds of
conversations you’ll initiate:
• Transactions.
At this level, you’re discussing
the to-dos, status of delegated
projects, and any upcoming
issues that may impact
individual performance and
organizational productivity.
• Relationship Building.
Here, you’re “catching up” with
one another. The point is to
continue the overall trust
among the team.
• Opportunity Development.
At least weekly, review the
calendar 45-60 days out. When
you’re talking with one of your
team members, ask if there’s
something that you could be
working on NOW to make it
easier THEN.
See page 105 of the book, Your
Best Just Got Better for more
tips on the three kinds of
conversations.

Formula 1 Pit Stop narration…
The highs were 65-75% chance of parole. ( a Yes response.)
I found this research that tracked 8 judges who made 1,112 judicial rulings on whether a prisoner would get parole or not.The cases the judges were deciding were big. The prisoners were convicted of crimes such as embezzlement, theft, and murder. Serious stuff….
The reason I love this study is Judges are people who pride themselves on fairness, facts, and being unaffected by circumstances… most people I know consider themselves in that same way.
You know what the biggest factor was in their fate?
The highs were 65-75% chance of parole. ( a Yes response.)
and the lows were as low as 0%!
Can you guess what this pattern matches up to?
But according the research they were HEAVILY influenced by the simple fact of when they’d eaten!
The highest probability of receiving parole was right AFTER a a meal break at 65%, and the absolute lowest chance, sometimes 0% chance was right BEFORE a meal break!
How many of us (and I say us, because I’m in this too…)
I’m going to work through lunch and just get this done.”?
I don’t have time to take a break and I have a deadline.
I just need to finish what’s on my list, then I’ll take a break…
