8 Steps to great meeting
1. Agenda
Ever been in a
beautifully-planned garden?
It got that way
with a clear plan
Make your agenda
Clear
Concise
Attainable in one meeting
Ever had too much food
on your plate?
Only bite off what
you can chew….
And
NEVER
have so much on the
agenda.
You have to
schedule another
meeting
2. Right People
Ever felt totally
lost in a meeting,
or trapped?
If someone does
not
need to be there
DON’T invite
them!
3. Technology
Ever wasted 10
minutes
because you
couldn’t
get the projector to
work?
Get there early
and iron out all the
kinks
4. Timing
You know how to
catch a plane on time
You know how to get
to the movies on time
You know how to
catch a plane on time
 So get your meeting on time.
 Start on time
 Never penalize them
who show up, by making
them wait for latecomers
You started at 1 pm,
and now it’s 4:30 pm...
A word about
meetings that
melt...
5. Conference calls
Ever had
everyone wait,
while someone
called the ones
who
were not on the
call?
Its not because they forgot
Its because they
don’t want to be on it!
Make your conference
calls
REALLY short
Ever wonder what
they’re really doing
on a conference
call?
6. Be here now
Have everything ready?
Pens, paper, water,
snacks...
Whatever might be
needed,
have it available??
A note about
phones and laptops…
If people are doing the
work
at the meeting,
that they would be doing
if they were not at the
meeting….
then
a. there’s something wrong
with the meeting
or
b. they didn’t need to be there
7. Beauty
If our meetings
looked like plants,
would they look like…
this? Or this?
Black belt tip:
Always have something
natural in the room
A plant —some real flowers
it makes a huge difference…
Ever come in and
the room is not clean?
When you’re done,
leave the plus for the
next people.
Clean up — they’ll
appreciate it.

Ever been in a meeting
where the atmosphere
looks like this?
Pay deep respect to all people
no matter what kind of
person
they might be
If you’re a LEADER
then be a leader, and...
#. Before you shoot
someone down, ask...
#. What I think you
said was,
(repeat back to them)
is that correct?
#. You’ll be amazed
how much
respect YOU get from
your team for that
