22. SUMMARISATION
The Summarization function in IDEA is very useful for grouping and creating unique records across
any database One of the lesser known and used utilities in the Summarization dialog box is 'Include
% in Output Database When the user clicks this box in the Summarization dialog the output
database will contain the following:
• Unique Grouping Field Reference Count of Items in the Unique Grouping Field Total of Chosen Value
Percent Total of Each Group to Total of all Groups So as an example - if I would like a report through
IDEA of customer wise sales on a sales ledger the summarization output database will contain
• Customer Code
• Customer Name

• Count of Sales to the Customer
• Total Sales (Value)
• Total Sales (Percentage)
Also, The advantage of having the percentage in the output database is improved
insight and visualization into my top customers - say customers composing my top 70%
of business.
24. AGEING
• The “Ageing” Function in IDEA lets you prepare an Ageing Report as on
a specific Date like say 31st March 2018. So you can Age “Open Purchase
Orders - Pending Delivery” as on 31st March 2018.
• While this can be a compelling Report for insight gathering and
Ordering pattern analysis the Aging is conducted on a fixed date viz 31st
March 2018.
• Now if we would like to make this Ageing repeatable through a Macro -
Visual Script or IDEA Script, future Aging Reports will always run on
31st March 2018 unless the Macros is manually edited each time or the
date changed in a pop up dialog input box through the IDEA Script.
25. • If you would like to make the Aging dynamic and repeatable on a floating system
date you can append a virtual numeric field titled “Age in Days” and use the
Criteria –
• Example - @Age(@Date(), Purchase Order Date)
• The above criteria will give you the difference in days between the current system
date whenever you run the Report and the Purchase Order Date

26. For Completeness Check
• IDEA's Gap Detection can be applied to identify breaks in accounting
document series attributable to missing or cancelled entries.
• As an example on the revenue billing front Gap Detection can be applied
on the Sales Invoice Number to identify missing Invoices or on the Sales
Date to identify dates on which sales have not been made.
• So any pre-formatted, fixed length, sequential number or character or
date series can be subject to a Gap Detection in IDEA.
• Its a very convenient mode to apply accounting completeness checks.
