Summary
  Student Cumulative Folders are a vital and required tool that
enables the school, principal, teachers and other officials to
acquire, assess and analyze information on students ranging from
demographics to academic standing throughout a student’s
formative school years.
  Cumulative Folders are required by Board Policy in the
maintenance of student records. Folders may have and not limited
to registration forms, court appointed documents and other forms
that schools provide in the assessment of student progress.
Awards and other student generated extra-curricular activities may
be added to this folder.

  • #2 Cum Folders are accessed at least 3-4 times in a school year. Before school year begins, before 1st quarter ends, after end of 1st semester and end of year clearance.Folders are managed by the school guidance counselor and controlled by the school principal.It is maintained in a confined area accessible to school officials, central office staff (i.e. Special Education CRTs, etc.) and is always kept locked.Check-out and In with Signatures is required on both occasions.
  • #4 This is the front section of an Official Student Cumulative Record folder.Section 1 show the Full Name of the student, Gender, DOB, Place of birth…town or state and nationality.Suggested data that can be filed in this folder include:Section 17 is for Transcripts information and,Section 18 is for Additional Items or interests.
  • #5 Read out each section and determine extent of what elementary teachers are required to fill out.School Guidance Counselors generally handle and in charge of all student cumulative records. Teachers are guided by counselors at all times.Guidance counselors schedule meetings with teachers in groups or by grade levels.
  • #6 This section contains Student & Parental information.Information must be in compliance with student Birth Certificate or Passport.Immigrants must have required forms filled out during registration upon entering school (naturalization documents, Home Language Survey or HLS, etc.)It is important that teachers know which parent has legal guardianship. Official court documents must be filed in this folder for reference as required by Board Policies.
  • #7 SECTION 5 is the Elementary School Record.This section is where student academic yearly progress is recorded.In the “year” column, input the SY and Grade. Each SY has two columns to be filled out by teachers.The “1st column” (high ligheted in peach) is where teachers input FINAL grades for each subject.Input “other” subject such as PE and Chamorro if not listed. This can be inputted below the “music” subject.Next, input Attendance section for “total” days present, absent and times tardy.Finally, on the second column (or blue high lighted section), teachers will print in “promoted to”, teacher’s signature and End of SY date.
