What is the Day of Caring?

• One day structured service opportunity for local
  businesses and nonprofits, coordinated by United
  Way of East Central Iowa.
• 2012 Stats
   – Over 1,200 volunteers participated!
   – 50+ nonprofit agencies.
   – 100 different projects.

Why Participate in Day of Caring?


•   Provides participants with a glance at volunteering.
•   Company exposure in the community.
•   Increases team spirit and company morale.
•   YOU can make a difference!
•   Establishes a relationship with a local nonprofit
    agency.
What Type of Projects Are There?

• Agencies submit projects (AKA their “wish list”)
  – Painting
  – Yard work/Landscaping
  – Construction
  – Office Work: Interacting with clients, data entry, etc.
  – Indoor Spring Cleaning
  – Skilled opportunities: website, marketing, technology
    assistance
  – Much More!
How to Sign Up to Participate
• Complete a online form (link will be emailed to you)
   – Company name
   – Company Coordinator name, phone, email
   – Secondary contact
   – Availability:(9-12, 1-5, full day)
   – Number of volunteers
   – Group interest: indoor, outdoor, painting, construction, yard work,
     cleaning
   – Other project interests or skills available
   – Day of Caring sponsor ($400)
   – Sponsor materials for agency ($ amount)
Registering for Day of Caring project (s)

• Sneak preview of all projects will be emailed to you
• A separate email with information about the date the registration will
  open and the link to register.
• Please register your entire group at once for a project. If you have
  additional (or fewer) members after signing up, please notify the Agency.
• Please consider the opportunities which need your number of volunteers
  first before considering opportunities that require greater or fewer
  volunteers than you can provide.
• Having small groups occupy some slots for larger projects may prohibit
  larger groups from finding projects that will accommodate their size.
Examples of projects
 Painting Project, Indoor, Full Day
•    Agency: Area Substance Abuse Council - IA - Cedar Rapids
•    Project Name: Painting Project: Indoor, Full Day
•    Primary Address: 3601 16th Avenue SW Cedar Rapids, IA 52404
•    Description: Help us paint our adult residential bedrooms! All you need to participate is basic painting
     skills. We will provide all painting supplies, snacks, lunch, and water. If volunteers could bring extra
     painting stools or ladders, that would be very helpful.
•    Participants Still Needed: 8
•    Date / Time: May 10, 2012 - 09:00 am to 05:00 pm

Drywall Repair: Indoor, Morning, Construction
•   Agency: Boy Scouts Of America, Hawkeye Area Council
•   Project Name: Drywall Repair: Indoor, Morning, Construction
•   Primary Address: 660 32nd Ave. SW Cedar Rapids, IA 52404
•   Description: Replace a 3' X 8' section of drywall and insulation in our volunteer service area. We'll
    provide lunch, water, and cleaning supplies. We'd like volunteers with experience hanging and finishing
    drywall on metal framing. Volunteers will need to provide one sheet of drywall, insulation, drywall tape,
    joint compound, drywall finishing tools, and gloves for handling insulation.
•   Participants Still Needed: 2
•   Date/Time: May 10, 2012 - 09:00 am to 12:00 pm
To register for a project
-click on the project that interests your group
Read through the information, and if you would like to
register your group for the project, click the link titled
                      “Register”.
Enter the number of people who will be participating
with your company at this project and then click “Save
                  and Continue”.
1) Read and check the “Communication and Safety Waiver”
2) Enter the name of your company.
3) Enter your name and contact information in the space under “Participant 1”.
4)Please DO NOT add any additional volunteers We only need the name and
contact information of the Day of Caring project company coordinator.
5)Click “complete Registration” at the bottom when completed.
Congratulations! You have now officially requested a project. This project request will be
reviewed and then approved shortly. When approved, you will receive an email from the
United Way informing you of your approval and connecting you with your agency contact.
       Thank you very much for signing up for the 2013 United Way Day of Caring.
Planning for Day of Caring

• UWECI will approve all company/agency matches.
• An email will be sent to the Volunteer Project
  Leader that will include the agency contact
  information.
• Once matched, connect with agency to plan
  details.
  – Assign company staff leads for multiple projects.
  – Go on an agency site visit.
  – Who is providing water, snacks and/or lunch, material,
    tolls etc. ?
Agency Checklist
Company Coordinator Responsibilities
• T-shirt sizes due by Friday, April 12 (delivery begins Friday, May 3, 2013 )
• You are the only source of communication with your team.
• You are the main source of communication with your agency.
• Do a final check the week before to ensure that your volunteers are still
  coming and you have the necessary materials.
• Arrive slightly before the designated time to help other volunteers with
  check-in procedures.
• Be motivated to keep up excitement during the project
• Post Event Survey
Agency Comments

• Volunteers didn’t help with clean-up.
• Company sent more volunteers than expected.
• Volunteers were unaware of what their project
  was before they arrived.
• Volunteers weren’t skilled to do the work.
• Rural agency projects don’t always get filled
  because travel is required.
Volunteer Comments

• All details were not verified ahead of time by
  company coordinators, so time was wasted
  finalizing details
• Make sure that the location details are clearly
  communicated prior to the event.
