Key duties/responsibilities for administrative associate 
1. Monitor closely all non-sponsored financial records to ensure that each transaction 
is charged to appropriate account. Reconcile budget statements, correct 
inaccuracies, investigate and resolve discrepancies in a timely manner. Keep 
faculty apprised of fund activity and fund balances. 
2. Work in cooperation with Engineering Research Administration for faculty's grants 
and contracts. 
3. Prepare budgets and financial projections. 
4. Schedule meetings with multiple time constraints 
5. Arrange domestic and international travel, details often complicated and quickly 
changing. 
6. Initiate visa applications for visiting faculty and scholars, communicate with the 
visitor and the Bechtel International Center for timely visa submission and 
approval. 
7. Prepare and monitor annual equipment maintenance contracts 
8. Train and assist members of the research groups the process of purchasing and 
using the Oracle Financial System 
9. Prepare and monitor annual equipment maintenance contracts 
10. Review and verify purchases expensed on the research groups' purchasing card 
within the allowable time frame 
11. Process reimbursements in a timely manner
Key job qualifications for administrative associate 
1. AA/AS degree and five years of administrative experience, or 
combination of education and relevant experience. 
2. Advanced computer skills and demonstrated experience with office 
software and email applications. 
3. Demonstrated success in following through and completing projects 
4. Excellent organizational skills and attention to detail. 
5. Excellent verbal and written communications skills. 
6. Excellent customer service and interpersonal skills. 
7. Ability to prioritize and multi-task. 
8. Ability to take initiative and ownership of projects 
9. Ability to routinely and independently exercise sound judgment in making 
decisions. 
10. Successfully pass a background check (Criminal, Education, Employment 
Verification).
