1. Introduction:
Thank you for choosing CIMtrek for your Lotus Notes Archiving project.
We are proud of the product that we have created but should you have any issues
when using, please let us know and we shall endeavor to correct any shortcomings.
One of our key design objectives was ease of use; from installation through
configuration and execution. For the first phases of your migration project you will
need very little in the way of technical know-how, however some knowledge of IBM
Domino server and Notes client would be beneficial but is not, by any means, a
prerequisite for using CIMtrek and deriving benefit from each of the stages.
The remainder of this document is designed to guide you through the initial
installation, the discovery and analysis and finally the various stages of the actual
migration process as shown in Figure 1 below:

2. Overview
CIMtrek's archiving solution was developed to meet the need to systematically
extract data (attachments, RTF’s, images, etc) from any number of Notes Databases
and make them available to view without having an application to whilst at the same
time mirroring the structure of the Notes application & document database.
The tool enables the user to:
 Select the Notes NSF file to archive
 Followed by the main view used to form the folder structure
 Finally the view columns to use
This structure is then used to re-cast the applications views and columns as windows
desktop folders as shown in this simple Document Library example.
The end folder will contain an HTML or ASPX presentation of the original form and
any rich text fields and attachments. The output can be a desktop folder solution or
an Office365 SharePoint deployment.
There is also a pre-parser option to select all Notes NSF files that contain OLE
documents.
An additional archiving option entails CIMtrek removing any buttons on forms that
might result in updating data - in this scenario we remove all buttons, formula,
business logic etc. and the application becomes, effectively, a read only solution.

3. Process
The only configuration requirement is for use with SharePoint. If you are archiving to
some other environment there is no need for the settings.
If you are migrating to SharePoint then you need to provide the relevant login
credentials and the target site collect.
Please note that CIMtrek assumes that the site collection exists so you will need to
have created it before archiving the NSF file.
Using the Archiving tool starts with a discovery process. As soon as you log on to the
Notes environment by clicking on the connect key CIMtrek will scan the file store
and present you with a list of NSF files.
On completion of the scan you will see a list of NSF files. To select the one you want
to archive simply click on the radio button on the left of the list.

Selecting the radio button results in a list of views that will form the basis of the
archive. Select the view in the same way that you selected the NSF file.
The following screen shot shows the columns that will be used to form the structure
of the archive. You can add single view columns or all in one go and you can change
the order by simply clicking on a column and selecting the “Move Up” or “Move
Down” buttons.
The selections you make will form the basis of the directory structure of the archive.
Things to be aware of:
1. As with Notes, not all views display all documents - $ALL should give you
everything
2. In the Windows API the maximum length for a path is MAX_PATH, which is
defined as 260 characters so be aware that having complex structures could
cause issues – check the CIMtrek Archive log if you suspect that may have
happened – We do address the issue but it means we change the structure
which may result in something you don’t want.
There are a couple of options that will assist you as follows:
Selecting the O365 checkbox will cause the folder structure and all files to be
exported to Office 365 SharePoint document library (as defined in the Config see

above). This is a post extract exercise – in other words, CIMtrek will create the
archive locally and then automatically upload the files to O365.
The Extract OLE document will perform a parse of the database and list every
occurrence found of embedded documents. During this process a desktop folder will
be created to hold the results. This parse will NOT archive anything.
The Archive process puts everything it finds in the forms into the html or ASP format
– so all hidden fields, comments, etc. These values are often held in Sub forms so if
you want to ignore them you can by selecting the appropriate box. This may cause
unpredictable results but it often makes the final HTML page easier to read.
At this stage you’re ready to go – one last question is where you would like to store
the results. you want to put the output. You will be taken to this location at the end of
the process.
