                     Considering the nature of your resources

                     Carry out an audit of the resources required for the setting up and running of your festival.

                     (You may wish to break into groups to complete this task; each group considering one of
                     the areas identified below and reporting back to the class.)

                     (Each individual have to consider a programme content in our festival including the facilities,
                     spaces, venues, equipment, materials etc and report back to the class)

                     Art Exhibition room

                     Your audit should consider:

                                                         1              Facilities, spaces and venues:

                           a) Consider the size and shape of each space you intend to use. – Box shape, classroom
                                  size, excluding the chairs and tables it should be big enough for 30 people in the room.

                           b) Is it specialist space e.g. a theatre space or simply a ‘room’? – Simply a classroom
                                  sized room.

                           c) How might the space be adapted for your use? – The paintings will be presented in
                                  the sides and all around and the pots and sculptures will be in the middle of the
                                  classroom on a table.

                           d) What health and safety issues need to be considered? (E.g. fire exits, maximum
                              room capacity.) – The only exit from the room is the way they enter the room so there
                                  so fire exiting will not be really considered in that room as there is only one door out. The
                                  maximum room capacity including all the artworks will fit in approximately 20-25 people.

                                                         2              Equipment:

                           a) Is all the equipment needed available or will you need to borrow or hire some
                              items? The artwork will be made by some of the people that might give their work in to
                                  us, as the art team including me, will promote a ‘Call for submission’ poster. Also, we will
                                  put some of our own artwork that we produced when we were doing our Creative and
                                  Media Unit 3 coursework. We will also need to borrow the schools’ tables to display the
                                  pots and sculptures. We also need to hire a van to bring the art work, pots and sculptures
                                  to the venue.

                           b) Who will set up and/or operate the equipment? The volunteers will help set up the art
                                  exhibition.

                           c) What health and safety issues need to be considered? (E.g. operation of machinery,
                              lifting or moving heavy equipment.) Moving the artwork that will be stored in boxes

                                  and plastic bags will be quite heavy to carry around so trained people that are used to
                                  carrying heavy objects will bring in the artworks in the art exhibition room.

                                                         3              Materials:

                           a) What is your budget for materials? Our overall budget for materials is £2000 for this
                                  festival.

                           b) How will you use your budget to best effect? By not needing to spend your budget at
                                  all is the best way because you have money left. For the art exhibition room, we didn’t
                                  have to use our budget at all because we didn’t have to. The artworks will be cost free
                                  because people will submit their work and we will borrow some of the artworks from the
                                  GCSE art students and also some of the artworks are our own. The trained people that
                                  will carrying the heavy objects and the people that will be delivering the artwork from the
                                  Harley Grove site to the College Terrace site are volunteers and they already work for the
                                  school so we do not have to use our budget on them.

                                                         4              Human resources:

                           a) What are the strengths of the people on your team? We are the Creative and Media
                                  Diploma team but we also separated ourselves in smaller groups for example my team is
                                  the art team and we are responsible to make the posters, decoration, theme etc. Our
                                  strengths are that we are all good at art and very creative. We are good at working as a
                                  group/team.

                           b) How can you ensure that everybody understands their role and responsibilities in
                              the setting up and running of the festival? Everyone will already know their roles and
                                  responsibilities but to be on the safe side, we planned that on the day of the festival
                                  everyone will have to come in two hours earlier for preparation and setting everything up
                                  and everyone will be told again what their responsibilities are to make sure they are
                                  certain.

                           c) What specialist help from outside your team might you need to use? We will need
                                  teachers and volunteers. Ben Cole is the communities and events manager in our school
                                  so we definitely need to discuss all our plans with him.
