Gone are the days of old-fashioned time clocks where employees insert heavy paper cards into slots to mark their timestamps. Today’s time and attendance technology offers innovative solutions for nearly any workplace, from biometric fingerprint readers and proximity badges to mobile interfaces with geolocation technology and kiosk software that runs on Internet-enabled tablets.

Editor's Notes
Thanks for joining us today for “5 Ways to Collect Time and Attendance Data with stratustime.” Attendees are still gathering, so we’ll begin in just a few minutes.
Hi, and welcome to “5 Ways to Collect Time and Attendance Data with stratustime.” If you’re on Twitter, our marketing team will be live tweeting throughout the webinar using hashtag Data Collection, or you can follow us directly at nettime.
This webinar will be recorded and emailed out to all registrants, so if you need to step away or you have colleagues who would like to view the webinar, we’ll have that ready for you tomorrow.
My name is Jennifer Spencer, and I’m the Director of Marketing here at nettime solutions. I’m also joined today by Ruli Garcia, who is one of our Technical Sales Engineers here at nettime.
(Ruli intro)
When I tell people that I work for a time and attendance company, this is inevitably what most people picture. An archaic punch clock in which an employee would insert a piece of cardstock on a given day and the machine punches the time using some kind of ribbon, either in black or red ink. I call this device archaic, but actually there are still many, many employees still punching in and out on a clock just like this one …. In fact you can walk into your favorite office supply story today and leave with one of your own for the bargain price of around $300. And you might even say that this punch clock gets the job done, but with today’s technological advancements, why would you continue to use an antiquated tool?
At nettime solutions, we’re very proud of our innovative spirit and our culture of experimentation which continues to influence the way we create, deliver, and support advanced software solutions to meet the anticipated needs of our clients.
So in this session, we’re going to show you precisely how that innovative spirit applies to the act of collecting employee data by introducing you to the five distinct ways our customers collect data to use within stratustime.
But first let’s look back at that old-fashioned punch time clock. When I look at this from the perspective of collecting data, there are three red flags that come to my mind:
Fraudulent time records
Manual errors
Immobility
According to a 2008 study, 74% of organizations reported to have a problem with buddy punching.
What is buddy punching? Buddy punching is the term used when a worker has a co-worker punch in or out for him or her.
An employee might think it’s really no big deal to have a friend punch him in a few minutes early since he’s running late, or punch him out a few minutes later because he has to make it across town for an appointment. But what this employee may not realize is that this is a fraudulent practice that is considered employee theft, and it’s costing companies on average 2.2% of their gross payroll each year.
What happens to the data when an employee punches in on a traditional punch clock? All of that information has to be compiled and processed for payroll, which is a situation rife with error. Even the use of spreadsheet software does little to reduce manual errors. In fact in some instances studies have found that 94% of spreadsheets contained at least one error, with the average spreadsheet having one error for every 20 cells.
Spreadsheets are more likely to contain errors when they are
Complex: The more complex a spreadsheet becomes, the more likely it will contain an error.
Frequently Used/Updated: Spreadsheets that are used frequently and are updated regularly are more likely to contain errors because the people using the spreadsheets can accidentally mistype into the spreadsheet.
Used for a Long Time: The longer a spreadsheet is in use (month after month, or year after year), the more likely they are to contain an error.
Used by Many People: More users simply equal more errors.
According to the International Data Corporation, by 2015 the world’s mobile worker population will reach 1.3 billion, representing 37.2 percent of the total workforce. These numbers are staggering, and traditional time clocks simply do not support these mobile workforces.
When we speak to organizations with mobile workers, we find that they are largely keeping track of time on scrap pieces of paper that are reported via email and then plugged into a spreadsheet… and now we know what happens to that data once it’s in a spreadsheet.
So in this session, we’re going to show you precisely how that innovative spirit applies to the act of collecting employee data by introducing you to the five distinct ways our customers collect data to use within stratustime.
Some notes you may want to cover: most popular; cloud-based; connects directly to stratustime; large color touchscreen; simple interface; employee self service (clock in and out, review hours, check schedules, request time off, check accrual balances); customizable features (biometric fingerprint – how this works??, magnetic stripe, barcode, proximity badge, touch screen)
Now I’d like to open the webinar up for any questions you might have. You can go ahead and enter those questions right into Go To Webinar’s control panel, and we’ll answer them as they come in.
Sample Questions:
Are there contracts? How does pricing work?
Can you use a mix of data collection options or do you have to pick one or to and how does pricing work on that?
Do the clocks have their own battery source or do they have to be plugged in?
