3. Introduction We are excited that you are interested in being a “table host” for our upcoming banquet. The following pages will help you understand your role as a “Table Host.” Next
4. What is a “Banquet?” The Panama City Rescue Mission hosts a number of “banquets” for the purpose of raising funds for the ministry. They are FREE to attend, but our hope is that the guests will feel led to pledge or give a one time gift. During the banquet, we have a presentation about our ministry, we dine on a wonderful meal and we are entertained by our students. Next
5. What is a “Table Host?” We recruit “Table Host” to help us involve new potential donors in our Banquets. The responsibility of the Table Host is: Invite folks from your sphere of influence. You will need 6-7 people to fill your table. (You and seven other people.) Explain to them the purpose of our banquets and to come with an open heart. (You will find an example of wording in this document.) Remind them about the banquet. Attend the Banquet with them. Next
6. Table Host Timeline Now: You will register you as a Table Host on our online system. You will be sent an e-mail on how to manage registering your table guests. Four – six weeks prior to the event: Invite your guests. Two weeks prior to the event: Register your guests online for the event. A confirmation e-mail will be sent automatically. Three days before event: You should call all of your guests and remind them of the day and time. Day of event: Arrive 15 minutes early to greet your guests and accompany them with registration. Next
7. Tips for Inviting Guests You will need to think of 14-15 people to invite. Only 6-7 will be able to come. If you have more than you and seven others that would like to attend, we will accommodate them at another table. Sample script for calling potential guests: “Hello________, I’d like to invite you to join me at my table at the Gulf Coast Hope CenterBanquet. This is a free dinner for potential donors to come and learn more about our organization. Yes, it is a fundraiser too. You will be asked to consider making a contribution. But don’t worry, there will be no minimum or maximum gift requested. It will be the job of the Gulf Coast Hope Centerto inspire you to want to give. The Gulf Coast Hope Center is important to me. I would be delighted if you could join me.” Focus on quality versus quantity. It is ok with us if you are not able to fill your table. Next
8. Tips Continued…. Your initial invitation should be by phone or face to face. Think about individuals who are currently aware of the Panama City Rescue Mission. Our banquets are 60% more successful if the individual has been to a luncheon or volunteered at the Rescue Mission. If you have someone in mind, but they have not attended a luncheon, ask them if they would like to take a tour and give Rev. Joe Atkinson their name. There may be an opportunity during the program for you to give your testimony of supporting our Ministry. This is optional. Next
9. Contact Information Call or email Rev. Joe Atkinson with any questions. 769-0783, or jatkinson@pcrmission.org Thank you for partnering with the Panama City Rescue Mission. We need YOU!
